The Top 3 Tips for Preparing Your Business Presentation in English

1. have a plan.

Always have a plan. Spend some time thinking about not only what you’re going to say but how you’re going to say it.

If English isn’t your native language, it’s very important that you think about what language you’re going to be using. Think about all the vocabulary, phrases and grammar that will make your message clear and easy to understand.

What are the big ideas you want to explain for your presentation? Which words will express these ideas best? I recommend:

  • Have a clear goal in mind to help you stay on track and be logical. Whenever you feel lost during the presentation, just remember this clear, main goal. An example of a goal could be to convince potential clients to work with you. Whenever you don’t know what to say next, remember to focus on the advantages you want to present and on examples of what you did in the past to deserve their trust. Encourage them to ask you questions related to this goal.
  • Research content. If you know your facts, you already have the core of your presentation prepared. Write these facts down on topic cards, give out handouts (papers) with important information or include them on your PowerPoint slides.
  • Prepare the delivery. Rehearse giving the presentation several times. Some people like recording themselves, others prefer practicing in front of a mirror or having friends listen to them while presenting. Choose the method that works best for you.
  • Decide whether you are going to read or speak freely. Reading can sound unnatural, but you can use certain tricks to avoid this. You can underline important sentences which you can memorize, so that from time to time you can stop reading, say your memorized lines and look at the audience. In this way, reading can be made more natural. Make sure you slow down so that the audience can follow you.

Speaking freely is much better if you can remember everything you want to say, because you will seem more knowledgeable, prepared and confident. However, this can be more stressful.

2. Use Visuals

Using some visuals can make your presentation more entertaining, easier to understand and can get your points across more convincingly. My advice:

  • Decide whether you need a PowerPoint presentation or not. Do you have graphs, results or other things like this to show? Then yes, you need one. Are you just telling a story? Then you probably do not.
  • Do not fill your slides with too much information. Use a maximum of seven short lines of text—even seven can be too many. Highlight key words so the audience can see the main ideas right away. Use bullet points rather than full sentences.
  • If you are presenting graphs or charts , give the audience time to read them.  Do not show a huge table of data if they audience will not have time to read and understand it. Make sure you try reading each slide while timing yourself to see how long it takes, so you do not jump to the next slide too early during your presentation.

3. Structure Your Presentation Well

It is a common mistake to give an unclear and unorganized presentation. This happens when the presenter just starts speaking without a clear goal in mind. They might suddenly realize their allotted speaking time has ended, or that the audience is bored because they are not following what is being said. Here’s what you should do instead:

  • Decide on three main points (or less) that you want to make. Audiences can’t usually focus on more than three points.
  • Tell them from the beginning what points you will be making. Audiences like to know what to expect. Tell them the main goals of your presentation directly in the introduction.
  • Presenting main points: firstly, secondly, last but not least
  • Making additions: moreover, furthermore, in addition, besides, what’s more
  • Making purposes clear: in order to, so as to
  • Presenting reasons and causes: on account of, due to, since, seeing that
  • Presenting consequences: consequently, as a result, therefore
  • Expressing contrast: in spite of, despite, although, even though, however, nevertheless, in contrast, on the contrary

So with this, you’ve mastered the 25 most commonly used phrases used in presentations and my three favorite tips.

Once you learn them, I think you’ll find them very useful to you in any presentation.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

Public Speaking and Presentations: Tips for Success

This resource includes tips and suggestions for improving your public speaking skills.

Even if you’ve never spoken in front of a large group before, chances are you will encounter public speaking sometime during your life. Whether you’re giving a presentation for your classmates or addressing local politicians at a city council meeting, public speaking allows you to convey your thoughts and feelings in clear ways. Having the right tools can prepare you for successful public speaking and equip you with high-quality communication skills.

Know Your Audience

Different audiences require different modes of public speaking. How you address a room full of preschoolers will vary from how you address a group of professors at an academic conference. Not only will your vocabulary change, but you might alter your pacing and tone as well.

Knowing your audience also helps you decide the content of your speech. For example, if you’re presenting research to a group of scientists, you might not need to define all your scientific language. However, if you present that same research to a group of individuals who are unfamiliar with your scientific field, you may need to define your terms or use simpler language.

Recognizing the extent to which your audience is familiar with your topic helps you center your presentation around the most important elements and avoid wasting time on information your audience either 1) already knows or 2) does not need to know for the purpose of your speech.

Knowing your audience also means tailoring your information to them. Try to keep things straight and to the point; leave out extraneous anecdotes and irrelevant statistics.

Establish Your Ethos and Feel Confident in Your Subject

It’s important to let your audience know what authority you have over your subject matter. If it’s clear you are familiar with your subject and have expertise, your audience is more likely to trust what you say.

Feeling confident in your subject matter will help establish your ethos. Rather than simply memorizing the content on your PowerPoint slides or your note cards, consider yourself a “mini expert” on your topic. Read up on information related to your topic and anticipate questions from the audience. You might want to prepare a few additional examples to use if people ask follow-up questions. Being able to elaborate on your talking points will help you stay calm during a Q & A section of your presentation.

Stick to a Few Main Points

Organizing your information in a logical way not only helps you keep track of what you’re saying, but it helps your audience follow along as well. Try to emphasize a few main points in your presentation and return to them before you conclude. Summarizing your information at the end of your presentation allows your audience to walk away with a clear sense of the most important facts.

For example, if you gave a presentation on the pros and cons of wind energy in Indiana, you would first want to define wind energy to make sure you and your audience are on the same page. You might also want to give a brief history of wind energy to give context before you go into the pros and cons. From there, you could list a few pros and a few cons. Finally, you could speculate on the future of wind energy and whether Indiana could provide adequate land and infrastructure to sustain wind turbines. To conclude, restate a few of the main points (most likely the pros and cons) and end with the most important takeaway you want the audience to remember about wind energy in Indiana.

Don't be Afraid to Show Your Personality

Delivering information without any sort of flourish or style can be boring. Allowing your personality to show through your speaking keeps you feeling relaxed and natural. Even if you’re speaking about something very scientific or serious, look for ways to let your personality come through your speech.

For example, when Jeopardy! host Alex Trebek announced in March of 2019 that he had stage 4 pancreatic cancer, he still let his trademark dignity and professionalism set the tone for his address. He began his announcement by saying “it’s in keeping with my long-time policy of being open and transparent with our Jeopardy! fan base.” Later, he joked that he would need to overcome his illness in order to fulfill his contract, whose terms required him to host the show for three more years. Though the nature of Trebek's announcement could easily have justified a grim, serious tone, the host instead opted to display the charm that has made him a household name for almost thirty-five years. In doing so, he reminded his audience precisely why he is so well-loved.

Use Humor (When Appropriate)

Using humor at appropriate moments can keep your audience engaged and entertained. While not all occasions are appropriate for humor, look for moments where you can lighten the mood and add some humor.

For example, just two months after the assassination attempt on Ronald Reagan, Reagan was in the middle of giving a speech when a balloon loudly popped while he was speaking. Reagan paused his speech to say “missed me,” then immediately continued speaking. This off-the-cuff humor worked because it was appropriate, spontaneous, and did not really distract from his message.

Similarly, at the end of his final White House Correspondents Dinner, Barack Obama concluded his speech by saying “Obama out” and dropping the mic. Once again, the humor did not distract from his message, but it did provide a light-hearted shift in his tone.  

Don't Let Visual Aids Distract From Your Presentation

Visual aids, such as PowerPoints or handouts, often go alongside presentations. When designing visual aids, be sure they do not distract from the content of your speech. Having too many pictures or animations can cause audience members to pay more attention to the visuals rather than what you’re saying.

However, if you present research that relies on tables or figures, having many images may help your audience better visualize the research you discuss. Be aware of the ways different types of presentations demand different types of visual aids.

Be Aware of Your Body Language

When it comes to giving a presentation, nonverbal communication is equally as important as what you’re saying. Having the appropriate posture, gestures, and movement complement the spoken element of your presentation. Below are a few simple strategies to make you appear more confident and professional.

Having confident posture can make or break a presentation. Stand up straight with your shoulders back and your arms at your sides. Slouching or crossing your arms over your chest makes you appear smaller and more insecure. However, be sure you’re not too rigid. Just because you’re standing up tall does not mean you cannot move around.

Eye contact

Making eye contact with your audience not only makes them feel connected to you but it also lets you gauge their response to you. Try to look around the room and connect with different audience members so you’re not staring at the same people the whole time. If you notice your audience starting to nod off, it might be a good time to change your tone or up your energy. 

Avoid distracting or compulsive gestures

While hand gestures can help point out information in a slide or on a poster, large or quick gestures can be distracting. When using gestures, try to make them feel like a normal part of your presentation.

It’s also easy to slip into nervous gestures while presenting. Things like twirling your hair or wringing your hands can be distracting to your audience. If you know you do something like this, try to think hard about not doing it while you’re presenting.

Travel (if possible)

If you are presenting on a stage, walking back and forth can help you stay relaxed and look natural. However, be sure you’re walking slowly and confidently and you’re using an appropriate posture (described above). Try to avoid pacing, which can make you appear nervous or compulsive.

Rehearse (if Possible)

The difference between knowing your subject and rehearsing comes down to how you ultimately present your information. The more you rehearse, the more likely you are to eliminate filler words such as like and um . If possible, try practicing with a friend and have them use count the filler words you use. You can also record yourself and play back the video. The more you rehearse, the more confident you will feel when it comes time to actually speak in front of an audience.

Finally, Relax!

Although public speaking takes time and preparation, perhaps one of the most important points is to relax while you’re speaking. Delivering your information in a stiff way prevents you from appearing natural and letting your personality come through. The more relaxed you feel, the more confident your information will come across.

Even after spending hours preparing and practicing your presentation speech, the first few moments on stage are what truly sets the tone of your presentation . When it’s time to deliver your speech, you only have a few seconds to establish command of the room and build rapport. Learn how to start a speech and make a great impression on your audience using these 8 powerful tips.

1. Start your presentation speech with a strong emotion

Strong emotions can capture the attention of your audience and set up an interesting discussion. Use strong words such as “hate,” “love,” and “worst.” For example, when delivering a speech on teamwork, start by saying this: “What I love about emperor penguins is that they know how to take a hit for the team. They show a ferocious, ambitious, and territorial attitude in the worst weather conditions by taking their turn to fight the elements for their team.” 

Your goal is to get a reaction from your audience at the start of your speech. This will help them focus on your message.

2. Refer to current or historical events

Tying your message to current or historical events can help you start a presentation speech in an immediately relatable way. Try drawing parallels between well-known events and your content. This will familiarize the audience with your topic without extra preamble. Use relevant images and videos in your presentation, and take advantage of Prezi’s zoom animations to help your audience visualize the way they’re connected. However, be mindful when choosing a current event to reference. Beyond making sure it’s relevant to your content, you should generally avoid polarizing subjects such as politics.

For this to be effective, though, you need to choose a number that’s actually impressive. Saying that a campaign drove 10% retention may not sound great by itself. However, if you state that it’s a 100% improvement over last year’s efforts, this context will accentuate your message.

4. Use an anecdote

One of the most effective ways to capture your audience’s attention is by starting your presentation with a story, personal anecdote, or case study. Before you include a story, first think about the goal of your speech. What emotion do you want to elicit from your audience? Find the appropriate anecdote to share, and then work on delivering it with the right pacing and tone. Storytelling can be one of the best ways to inform and inspire others, so learn how to incorporate compelling storytelling to make your message more memorable. 

5. Involve your audience

A great way to get the attention of your audience is to involve them right away. One method is to speak with, not to, your audience. Asking questions at the beginning of your speech creates audience participation right from the start. They’ll feel like they’re part of the presentation, and you’ll also better understand your audience in turn. For example, during a media training speech, ask people to think of their biggest fear when being interviewed on camera or on the mic, then ask one or two individuals in the audience to share. Motivating people to share personal stories or experiences with others creates a sense of community. As a result, your speech resonates with the feeling of togetherness and leaves everyone feeling more connected to you and your message.

The best presentations are interactive and conversational as if you’re chatting over a cup of coffee. As you speak, change the tone, speed, and pitch of your voice. Another way to involve your audience is to ask for a show of hands. This is a great way to show everyone how their answers compare to their peers. 6. Introduce a problem

Figuring out how to start a speech doesn’t have to be complex – even something as simple as introducing the problem you want to solve can be effective. Choose a problem that most of your audience shares to really capture their attention. For example, you could start by saying, “x percent of Baby Boomers don’t have sufficient retirement money put aside to sustain them for the rest of their lives. We need to address this problem and take action to make sure that everyone who retires can continue living comfortably.” 

By introducing the problem first, your audience will have a clear understanding of what your speech is going to be about. Also, this will incite curiosity to find out what is your take on the issue or if you have a solution that can help solve it.

7. Use your body language

Your body language plays an important role in entertaining and captivating your audience. Don’t just stand behind the podium or stare at the screen. Show off your passion by commanding the stage and moving around with confident body language . You can even start your speech by walking into the audience. The same applies to online presentations. For example, if you want to discuss career choices, try starting your presentation speech off by saying, “what if money didn’t matter?” You can follow up by asking a more direct question, such as, “what kind of a job would you like to have?”

“What if” scenarios and other questions that evoke imagination are great openings that make it clear what your speech is going to be about. However, make sure that these scenarios are tailored for your audience and are not too specific.

How to Write a Speech in Just a Few Simple Steps

In fact, once you understand the concepts below, you can use our Online Speech Writer to organize and print your presentation. A little warning, though, the process is very simple if you follow every step . If you skip a step, you can get bogged down, and the process can take a lot of time. However, if you follow the steps, you can write an effective speech in just a few minutes (versus hours or days)!

This post is the second in a series designed to help people create a perfect speech from scratch. Last week, I gave you a few ways to start a speech . Next week, I will show you how to end a speech . We will also cover a few unique types of presentations in future posts such as writing a eulogy . We will cover a few other types of speeches that are common such as a wedding speech , a persuasive speech , and a graduation speech.

A Few Concepts You Need to Know Before Writing a Speech.

Remember that if you want to hold your audience’s attention, less is more . Short is better than long. No one ever said, “That meeting was so good, I wish everyone would have spoken longer.” So, a few concepts (bullet points) covered really well is much better than a bunch of stuff covered in a cursory way. Another great tip is that writing a presentation word-for-word and then trying to memorize your entire speech is hard. To make this writing process easier, people will often use note cards and try to practice in front of the mirror. This often will just make you more nervous. Instead, create a presentation outline and use literary devices to add “meat to the content.” For instance, examples and stories are fantastic reinforcement for your points or concepts. You can also use analogies, quotes, and visual aids to prove your points.

When you do practice, practice in front of an audience. Live audiences will let you practice making eye contact and make sure you are using proper body language when you present. A run-through in front of real people will also help you fit your speech into the proper time limit.

Step #1: narrow down your topic first, and your speech writing will be faster and easier..

So, the first thing you want to do is narrow down your topic. An easy way to do this is to use the five W’s from journalism: Who, What, When, Where, Why?

For instance, let’s say that I am giving a work presentation about our company financials last quarter. The who is the company. The when is last quarter. If I narrow down the where, I might want to focus on just the Midwest Region. So, now I have to ask, “What exactly happened with our company offices in the Midwest Region last quarter?”

Well. sales increased more in that region than anywhere else. The final question is, “Why?” Why was this region different from the other regions? They hired a new regional sales manager. She and her team focused on repeat business from past customers. After finding answers to each of these questions, I can create a much more narrow and focused title. Financials from Last Quarter Becomes… A Focus on Generating Repeat Business from Past Customers in the Midwest Region Generated a Sharp Increase in Revenue Last Quarter. If you have trouble narrowing down the focus of your topic, make sure to focus on the WHY? Why would your audience care about the topic that you are presenting? Why should they pay attention to you? If you can add the answers to these questions into your title, your presentation will be more narrow and interesting to your audience.

Step #2: Create a Speech Outline Out of Your Main Ideas.

Keep listing these important points until you have five to ten of them. Then, rank them from the most important idea to the least important. The process here is to brainstorm possible concepts or different points to cover, and then sort them from most important to least important.

By the way, you won’t be able to effectively cover ALL of the points that you brainstormed. You will only want to cover three, four, or five of these items. That is why you want to sort them by importance. If you can only cover a few points, why not cover the most important?

The number of items that you cover will be determined by the required length of time that you have to speak. A good rule of thumb is to cover one item or bullet for every seven to 10 minutes that you have to speak. However, you definitely want to limit your bullets to just five per sitting. For a short speech (less than 20 minutes,) three points is a good number. If you have 45 to 50 minutes, you probably want to cover five bullet points.

Pro Tip! Go through the same process of determining the “Why?” for each of your bullet points. This will make your entire presentation something that the audience will want to pay attention to. Just read each of your bullets and ask, “Why does my audience need to know this?” Whatever the answer is, add that why to the statement that you made in the bullet point.

Now that you have your topic and your three to five bullet points, you have a great presentation outline. You can also use this outline as your slide or visual aid.

Step #3: Insert “Impact Ideas” to Add Content to Your Presentation.

Instead, use what we call a Presentation Impact Idea to better explain each bullet point. Pretend that your audience members are a jury. The bullet points are the statements that you are trying to prove. And the “Impact Ideas” are the pieces of evidence that prove that each statement is true. Below are some of my favorite items, but anything that answers the question, “How can I prove this bullet point to my audience?” will do.

  • Add a Personal Story or Example : Relay a quick story that occurred to actual people. These stories are solid proof that what you are saying is true because it happened before. The funny thing about stories is that most presenters avoid stories like the plague. But professional speakers use almost nothing but great stories to make their points. (That is why most speakers are boring and most professional speakers are interesting.) Going back to the jury analogy, a story about a personal experience is like an eye-witness testifying in court.
  • Quotes : A simple quote from an expert that you can remember will add a lot of credibility to your speech. By inserting a quote, you are borrowing credibility from another expert. To continue with the jury analogy, this is like bringing in an expert witness.
  • Analogy : After you have used a quote from an expert or a story to verify that your bullet point is true, adding an analogy can add flavor to your presentation and make your points memorable. If you recall from literature class, an analogy is a comparison. You can use these to compare a point that you are trying to explain to something that the audience can better relate to.   • Connect with your audience. Interact with your listeners and make them feel as if they are a part of the conversation. A passionate speaker is sure to attract an audience.
  • Concentrate on your central message. Focus on the message you want to relay to your audience by providing key points.
  • Use visuals. Providing supporting visuals will allow your audience to further understand your message. You can use images, charts, graphs, and the like.
  • Maintain eye contact. Eye contact is essential for face-to-face communication. This is sure to attract attentive listeners.

If you’re going to make it in the professional world, most likely you’ll have to give a presentation in English at some point. No reason to get nervous!

Most of the work involved lies in the introduction. You may or may not need an English presentation PPT file, your topic, audience, or time limit may vary, but a strong opening is a must no matter what! Everything that follows can build from the opening outline you present to your audience.

Let’s look at some guidelines for starting a presentation in English. If you can master this part, you’ll never have to worry about the rest!

Opening in a Presentation in English

While it’s important to have your entire presentation organized and outlined, planning and organization are especially important in the introduction. This is what will guide you through a clear and concise beginning. Let’s look at how to start a presentation with well-organized thoughts .

Introduction Outline

  • Introduce yourself and welcome everyone.
  • State the purpose of your presentation
  • Give a short overview of the presentation

As we say, it’s as easy as 1-2-3. (No need for a more detailed English presentation script!) Let’s examine the first step.

1. Introduce Yourself & Welcome Everyone

The self-introduction is your opportunity to make a good first impression. Be sure to open with a warm welcome and use language that is familiar and natural. Based on your audience, there are a few different expressions you can use to start your presentation.

If you’re presenting to coworkers who may already know you:

  • Hello, [name] here. I would like to thank you all for your time. As you may know, I [describe what you do/your job title] I look forward to discussing [topic] today.
  • Good morning/afternoon/evening everyone. Thank you for being here. For those who don’t know me, my name is [name], and for those who know me, hello again.

If you’re presenting to people you’ve never met:

  • Hello everyone, it’s nice to meet you all. My name is [name] and I am the [job/title].
  • Hello. Welcome to [event]. My name is [name] and I am the [job/title]. I’m glad you’re all here.

There are certainly more ways to make an introduction. However, it’s generally best to follow this format:

  • Start with a polite welcome and state your name.
  • Follow with your job title and/or the reason you’re qualified to speak on the topic being discussed.

2. State the Purpose of Your Presentation

Now that your audience knows who you are and your qualifications, you can state the purpose of your presentation. This is where you clarify to your audience what you’ll be talking about.

So, ask yourself, “ What do I want my audience to get from this presentation? ”

  • Do you want your audience to be informed?
  • Do you need something from your audience?
  • Do you want them to purchase a product?
  • Do you want them to do something for the community or your company?

With your goal in mind, you can create the next couple of lines of your presentation. Below are some examples of how to start.

  • Let me share with you…
  • I’d like to introduce you to [product or service]
  • Today I want to discuss…
  • I want to breakdown for you [topic]
  • Let’s discuss…
  • Today I will present the results of my research on [topic]
  • By the end of this presentation, you’ll understand [topic]
  • My goal is to explain…
  • As you know, we’ll be talking about…

When talking about the purpose of your presentation, stick to your goals. You purpose statement should be only one to three sentences. That way, you can give your audience a clear sense of purpose that sets them up for the rest of the presentation.

3. A Short Overview of the Presentation

The final step in starting your presentation is to give a short outline of what you’ll be presenting. People like a map of what to expect from a presentation.

It helps them organize their thoughts and gives a sense of order. Also, it lets the audience know why they’re listening to you. This is what you’ll use to grab their attention, and help them stay focused throughout the presentation.

Here are some examples of how you can outline your presentation:

  • Today, I’m going to cover… Then we’ll talk about… Lastly, I’ll close on…
  • We’re going to be covering some key information you need to know, including…
  • My aim with this presentation is to get you to… To do that we’ll be talking about…
  • I’ve divided my presentation into [number] sections… [List the sections]
  • Over the next [length of your presentation] I’m going to discuss…

That’s it! It’s as simple as 1-2-3. If you have a fear of public speaking or are not confident about presenting to a group of people, follow these three steps. It’s a simple structure that can get you off to a good start. With that in mind, there are other ways to bring your introduction to the next level too! Read on for bonus tips on how to really engage your audience, beyond the basics.

For a Strong Presentation in English, Engage your Audience

Presentations aren’t everyone’s strongest ability, and that’s OK. If you’re newer to presenting in English, the steps above are the basics to getting started. Once you’re more comfortable with presenting, though, you can go a step further with some extra tricks that can really wow your audience.

Mastering the skill of engaging an audience will take experience. Fortunately, there are many famous speakers out there you can model for capturing attention. Also, there are some common techniques that English-speakers use to gain an audience’s attention.

*How and when you use these techniques in your introduction is at your discretion, as long as you cover the 3 steps of the introduction outline that we discussed earlier.*

Do or say something shocking.

The purpose of shocking your audience is to immediately engage them. You can make a loud noise and somehow relate the noise to your presentation. Or, you can say, “ Did you know that… ” and follow with a shocking story or statistic. Either way, the objective is to create surprise to draw their attention.

Tell a story

Telling a story related to your presentation is a great way to get the audience listening to you.

You can start by saying, “ On my way to [location] the other day… ” or “ On my way here, I was reminded of… ” and then follow with a story. A good story can make your presentation memorable.

Ask your audience to take part

Sometimes a good introduction that captures attention will involve asking for help from the audience. You can ask the audience to play a quick game or solve a puzzle that’s related to your presentation. Also, you could engage the audience with a group exercise. This is a great way to get people involved in your presentation.

There are many more ways to engage the audience, so get creative and see what you can think up! Here are some resources that will help you get started.

They offer free lessons and events to help you master your English speaking, and also offer additional help to paying members.

How to Prepare for a Presentation, with Examples

This guide covers everything you need to know to prepare for your presentation. including what you need to think about beforehand, during and after the presentation.

1. Rehearse, rehearse, rehearse (always aloud)

Once you have your presentation worked out, you will need to practice it, but even though you might think it’s the best way to have a flawless presentation, don’t memorise what you’re going to say.

That might sound like incredibly bad advice, but here’s why:

  • If you memorise your speech, you’ll get stuck in thinking you can only deliver your ideas in that way, and that stifles your creativity, and the chance for new thoughts and ways to put things that come up as you speak.

Not only that, but every  audience is different . Sometimes they laugh out loud, sometimes they sit and smile, and you never know which type of audience you’ll have until you’re live.

If you’re going off a memorised presentation, it’s much more difficult to break away from that to go with the flow on the day, and respond naturally to your audience.

  • If you forget your speech in the middle of it, you will be thrown, and you’ll have more chance of complete brain freeze, which really will knock your confidence.
  • Memorising your presentation gives you a false sense of security, which could leave you high and dry if something goes wrong. If you’ve only got your memorised speech, for example, what will you do if your PowerPoint freezes or your props break, and you can’t do what you were going to do?

Rehearse in front of colleagues, friends, a mirror, in virtual reality – always aloud. Make sure you spend plenty of time practising your presentation, it will make you feel much more relaxed if you know your material.

2. Memorise your opening line

Do, however, memorise your opening line. If you know how you’re going to begin, you’ll get a strong start and that will build your confidence.

Many speakers and stage actors find that the minute they’ve actually delivered their first line, the nerves are gone and they’re well into their stride.

3. Practise your speech from written notes

Writing your presentation out in your own handwriting will help you clarify your ideas and may well bring you new ones.

4. Practise presentation flow

As well as practising for the ideas and what you want to say, practise how you want your presentation to flow. Think of it almost as a symphony, with high points, slow movements and crescendos. If it’s important, think about how you want your audience to feel, what emotions you want them to have, and when.

5. The power of silence

Don’t be afraid to pause and use the power of silence. A good pause can have a huge emotional impact. It allows people to really absorb what you are saying and react, and it’s vital to pause if you’re using humour so that the next part of your presentation doesn’t get lost underneath people’s laughter.

6. Have a backup

There’s nothing worse than the projector dying or finding that your laptop won’t communicate with the projector for some reason. If you know you have a backup, even if it’s only a pre-prepared flip chart, you’ll feel better, and you’ll be more confident.

7. Arrive early

Following on from that, arrive at least half an hour early so you aren’t feeling rushed, and so you have time to check your equipment and get your notes laid out ready to go. That gives you time to breathe and relax before you go on, knowing everything is as set as it can be.

8. Use physical props for a demo

Use physical props, if possible, for a demo. This can make you stand out and be more memorable among all the other speakers who only use PowerPoint, and it can add greatly to the impact of your presentation.

9. Structure your presentation

First, find out how much time you have to present, is it 10 minutes, 15, an hour? Prepare enough material for this time and have a couple of extra slides as backup – we tend to speak much quicker when nervous so you might find you finish your presentation too early. At some large conference events, timings may change on the day, be aware of this have a shorter version of your presentation in mind (i.e. know which slides to skip over).

10. Prepare for questions

Have a few backup slides for questions you think will arise from your presentation. It is sometime a tactic to explain a section briefly in your speech, so that you get a question about it afterwards. If you don’t understand the question, ask for it to be rephrased.

If there are no questions, it is not an indication how good or bad your presentation was. You many have explain your material extremely well, or simply that people are tired at the end of the day and want to go home.

11. Prepare for where you are presenting

If you can, go to the room you are speaking in before the actual event. It gives you an idea of furniture layout, podium height, location, room size, audience size and lighting. You can then visualise the room while practising and avoid the shock of suddenly being faced with a huge room when you expected a tiny one.

Ask the organiser if you need any particular props, for example a table to help with your live demo.

Additional planning to think about before your presentation:

1. Purpose  – what outcome are we trying to achieve? How can results be measured? What will success look like?

2. Topic  – Novelty? Complexity? Technical?

3. People  – Who should attend? What do they already know? How are they going to help?

4. Timing  – When will it happen and how long will the presentation take?

5. Location  – Where will the presentation be held? Do you have access to the correct facilities for the presentation?

6. Papers  – Who is keeping minutes? Do you need to send out an agenda before the presentation? Background information required?

7. Visual aids  – Is a  projector required ? Boards?

8. Style  – Structure or unstructured, discussion style? How assertive should you be? How should the meeting items be organised?

12. Choose the signals to give to your audience

Before the presentation, think about these 5 topics:

Use of negative space: These presentations make use of a lot of white space between text, images, and blocks to create high levels of contrast. The amount of text is also very limited to make sure that viewers don’t spend too much time reading the slides.  

Strategic content placement: Images and text are placed strategically throughout the slides and are only used when they add to the message in some way. Often, images in these speeches include graphs, tables, bubble charts, or other data-driven images.  

Powerful typography: Bold and dramatic typography is incorporated into minimal presentations to draw the viewer’s eyes and make a statement. The typography needs to tell a story or convey a certain emotion.  

A call to action: End the presentation with a clear CTA that leaves the viewers (and potential clients) with actionable steps that they can take to implement the tips, messages, or instructions that you’ve given them throughout the speech. 

What are the benefits of having a simple presentation?

Due to its minimal use of elements, simple presentations make it far easier for viewers to stay focused and enticed. 

Audience members are forced to listen because there’s minimal text on the screen. The only way they can truly walk away with food for thought is if they pay attention to what you’re saying.

How to use the Simple Presentation Template

Here are the steps you can follow to get the most out of the Simple Presentation Template. 

Step 1: Decide on your colors

Don’t choose more than two colors. You can either use your business colors or choose theme colors that portray your message best. For example, when you look at color psychology, the color “yellow” portrays creativity and warmth, whereas the color “purple” portrays luxury and ambition. Have a look at other colors to find one that suits your speech best. 

Step 2: Decide on your font

Different fonts convey different messages. Make sure to choose a font that suits your presentation. Dramatic fonts that are bold and big make a great impact. To make it easier for the audience to read, try choosing a basic font that’s part of the Serif, Display, Monospace, Handwriting, or Sans Serif font families. 

Step 3: Choose a few key images

Only include images that support your message or add to the speech’s credibility. Try to include different types of charts or data-driven images that support your claims. You can also use original, bright, high-quality photos that were either taken or designed by you or one of your team members. Avoid using boring and barely related stock photos. 

Step 4: Create your slides

Combine all of your components — text, images, colors — in different slides. Minimalist presentations are all about strategic placement. When you want to place focus on a specific element, place it in the center of the slide. This way, your audience’s eyes will be drawn directly to it.  

Step 5: Deliver the presentation

When you’re done adding your elements to the slides, you can use the presentation mode to adjust the slide layout and remove or add more slides. You can simply click the “present” button and move between slides with your arrows during the presentation. 

Why is minimalism important in creating an effective presentation?

The more you remove distracting elements, the easier it’ll be for your audience to access the information you’re giving them. They won’t be distracted by unnecessary clutter — and will be far more likely to take in your core message.

Why should there be minimal text on a presentation slide?

The reduced amount of text on your slides means that your audience will be forced to listen to you as opposed to simply reading the slides (which will likely result in them not understanding a single word of it). Thus, your audience won’t only understand your message better, but they’ll also be more engaged since you’ll be able to transition between your slides a lot faster.

What is the minimum text-point size for a presentation slide?

The minimum text-point size for a presentation slide is 24 points. Text smaller than this is too small for your audience to read. Keep in mind that different font types are smaller or bigger at the same font size. For example, Arial’s 24-point text might be bigger or smaller than Georgia’s 24-point text. To ensure that your text is, in fact, comparable to common fonts in 24-points, measure it against a common font (such as Arial) to guarantee that it’s still readable.

Nothing really stand out? No problem. Start by writing a list of things that interest you. Keep going until you find something you know a good deal about and that you could talk about forever. Choose something that will get your blood boiling, that you feel strongly about, even if others don’t. You’ll likely convert some people to your way of thinking just by the way you speak about your chosen topic.

No matter what topic you choose, always be credible and purpose-driven. Giving false facts is a big “no-no” and so is being wishy-washy with you speech. Give it meaning, give it purpose.

Just remember, what may be  easy speech topics to one person, isn’t always easily understood by someone else. So keep that in mind when persuading your audience.

Powerful speech opening lines set the tone and mood of your speech. It’s what grips the audience to want to know more about the rest of your talk.

The first few seconds are critical. It’s when you have maximum attention of the audience. And you must capitalize on that!

Instead of starting off with something plain and obvious such as a ‘Thank you’ or ‘Good Morning’, there’s so much more you can do for a powerful speech opening (here’s a great article we wrote a while ago on how you should NOT start your speech ).

To help you with this, I’ve compiled some of my favourite openings from various speakers. These speakers have gone on to deliver TED talks , win international Toastmaster competitions or are just noteworthy people who have mastered the art of communication.

After each speaker’s opening line, I have added how you can include their style of opening into your own speech. Understanding how these great speakers do it will certainly give you an idea to create your own speech opening line which will grip the audience from the outset!

1. Ric Elias

Opening: “Imagine a big explosion as you climb through 3,000 ft. Imagine a plane full of smoke. Imagine an engine going clack, clack, clack. It sounds scary. Well I had a unique seat that day. I was sitting in 1D.”

How to use the power of imagination to open your speech?

Putting your audience in a state of imagination can work extremely well to captivate them for the remainder of your talk.

It really helps to bring your audience in a certain mood that preps them for what’s about to come next. Speakers have used this with high effectiveness by transporting their audience into an imaginary land to help prove their point.

When Ric Elias opened his speech, the detail he used (3000 ft, sound of the engine going clack-clack-clack) made me feel that I too was in the plane. He was trying to make the audience experience what he was feeling – and, at least in my opinion, he did.

When using the imagination opening for speeches, the key is – detail. While we want the audience to wander into imagination, we want them to wander off to the image that we want to create for them. So, detail out your scenario if you’re going to use this technique.

Make your audience feel like they too are in the same circumstance as you were when you were in that particular situation.

2. Barack Obama

Opening: “You can’t say it, but you know it’s true.”

3. Seth MacFarlane

Opening: “There’s nowhere I would rather be on a day like this than around all this electoral equipment.” (It was raining)

How to use humour to open your speech?

When you use humour in a manner that suits your personality, it can set you up for a great speech. Why? Because getting a laugh in the first 30 seconds or so is a great way to quickly get the audience to like you.

And when they like you, they are much more likely to listen to and believe in your ideas.

Obama effortlessly uses his opening line to entice laughter among the audience. He brilliantly used the setting (the context of Trump becoming President) and said a line that completely matched his style of speaking.

Saying a joke without really saying a joke and getting people to laugh requires you to be completely comfortable in your own skin. And that’s not easy for many people (me being one of them).

If the joke doesn’t land as expected, it could lead to a rocky start.

Keep in mind the following when attempting to deliver a funny introduction:

  • Know your audience: Make sure your audience gets the context of the joke (if it’s an inside joke among the members you’re speaking to, that’s even better!).   • The joke should suit your natural personality. Don’t make it look forced or it won’t elicit the desired response
  • Test the opening out on a few people who match your real audience. Analyze their response and tweak the joke accordingly if necessary
  • Starting your speech with humour means your setting the tone of your speech. It would make sense to have a few more jokes sprinkled around the rest of the speech as well as the audience might be expecting the same from you

4. Mohammed Qahtani

Opening: Puts a cigarette on his lips, lights a lighter, stops just before lighting the cigarette. Looks at audience, “What?”

5. Darren Tay

Opening: Puts a white pair of briefs over his pants.

How to use props to begin your speech?

The reason props work so well in a talk is because in most cases the audience is not expecting anything more than just talking. So when a speaker pulls out an object that is unusual, everyone’s attention goes right to it.

It makes you wonder why that prop is being used in this particular speech.

The key word here is unusual . To grip the audience’s attention at the beginning of the speech, the prop being used should be something that the audience would never expect. Otherwise, it just becomes something that is common. And common = boring!

What Mohammed Qahtani and Darren Tay did superbly well in their talks was that they used props that nobody expected them to.

By pulling out a cigarette and lighter or a white pair of underwear, the audience can’t help but be gripped by what the speaker is about to do next. And that makes for a powerful speech opening.

6. Simon Sinek

Opening: “How do you explain when things don’t go as we assume? Or better, how do you explain when others are able to achieve things that seem to defy all of the assumptions?”

7. Julian Treasure

Opening: “The human voice. It’s the instrument we all play. It’s the most powerful sound in the world. Probably the only one that can start a war or say “I love you.” And yet many people have the experience that when they speak people don’t listen to them. Why is that? How can we speak powerfully to make change in the world?”

How to use questions to open a speech?

I use this method often. Starting off with a question is the simplest way to start your speech in a manner that immediately engages the audience.

But we should keep our questions compelling as opposed to something that is fairly obvious.

I’ve heard many speakers start their speeches with questions like “How many of us want to be successful?”

No one is going to say ‘no’ to that and frankly, I just feel silly raising my hand at such questions.

Simon Sinek and Jullian Treasure used questions in a manner that really made the audience think and make them curious to find out what the answer to that question is.

What Jullian Treasure did even better was the use of a few statements which built up to his question. This made the question even more compelling and set the theme for what the rest of his talk would be about.

So think of what question you can ask in your speech that will:

  • Set the theme for the remainder of your speech
  • Not be something that is fairly obvious
  • Be compelling enough so that the audience will actually want to know what the answer to that question will be

8. Aaron Beverley

Opening: Long pause (after an absurdly long introduction of a 57-word speech title). “Be honest. You enjoyed that, didn’t you?”

How to use silence for speech openings?

The reason this speech opening stands out is because of the fact that the title itself is 57 words long. The audience was already hilariously intrigued by what was going to come next.

But what’s so gripping here is the way Aaron holds the crowd’s suspense by…doing nothing. For about 10 to 12 seconds he did nothing but stand and look at the audience. Everyone quietened down. He then broke this silence by a humorous remark that brought the audience laughing down again.

When going on to open your speech, besides focusing on building a killer opening sentence, how about just being silent?

It’s important to keep in mind that the point of having a strong opening is so that the audience’s attention is all on you and are intrigued enough to want to listen to the rest of your speech.

Silence is a great way to do that. When you get on the stage, just pause for a few seconds (about 3 to 5 seconds) and just look at the crowd. Let the audience and yourself settle in to the fact that the spotlight is now on you.

I can’t put my finger on it, but there is something about starting the speech off with a pure pause that just makes the beginning so much more powerful. It adds credibility to you as a speaker as well, making you look more comfortable and confident on stage.

9. Dan Pink

Opening: “I need to make a confession at the outset here. Little over 20 years ago, I did something that I regret. Something that I’m not particularly proud of. Something that in many ways I wish no one would ever know but that here I feel kind of obliged to reveal.”

10. Kelly McGonigal

Opening: “I have a confession to make. But first I want you to make a little confession to me.”

How to use a build-up to open your speech?

When there are so many amazing ways to start a speech and grip an audience from the outset, why would you ever choose to begin your speech with a ‘Good morning?’.

That’s what I love about build-ups. They set the mood for something awesome that’s about to come in that the audience will feel like they just have to know about.

Instead of starting a speech as it is, see if you can add some build-up to your beginning itself. For instance, in Kelly McGonigal’s speech, she could have started off with the question of stress itself (which she eventually moves on to in her speech). It’s not a bad way to start the speech.

But by adding the statement of “I have a confession to make” and then not revealing the confession for a little bit, the audience is gripped to know what she’s about to do next and find out what indeed is her confession.

11. Tim Urban

Opening: “So in college, I was a government major. Which means that I had to write a lot of papers. Now when a normal student writes a paper, they might spread the work out a little like this.”

12. Scott Dinsmore

Opening: “8 years ago, I got the worst career advice of my life.”

How to use storytelling as a speech opening?

“The most powerful person in the world is the storyteller.” Steve Jobs

Storytelling is the foundation of good speeches. Starting your speech with a story is a great way to grip the audience’s attention. It makes them yearn to want to know how the rest of the story is going to pan out.

Tim Urban starts off his speech with a story dating back to his college days. His use of slides is masterful and something we all can learn from. But while his story sounds simple, it does the job of intriguing the audience to want to know more.

As soon as I heard the opening lines, I thought to myself “If normal students write their paper in a certain manner, how does Tim write his papers?”

Combine such a simple yet intriguing opening with comedic slides, and you’ve got yourself a pretty gripping speech.

Scott Dismore’s statement has a similar impact. However, just a side note, Scott Dismore actually started his speech with “Wow, what an honour.”

I would advise to not start your talk with something such as that. It’s way too common and does not do the job an opening must, which is to grip your audience and set the tone for what’s coming.

13. Larry Smith

Opening: “I want to discuss with you this afternoon why you’re going to fail to have a great career.”

14. Jane McGonigal

Opening: “You will live 7.5 minutes longer than you would have otherwise, just because you watched this talk.”

How to use provocative statements to start your speech?

Making a provocative statement creates a keen desire among the audience to want to know more about what you have to say. It immediately brings everyone into attention.

Larry Smith did just that by making his opening statement surprising, lightly humorous, and above all – fearful. These elements lead to an opening statement which creates so much curiosity among the audience that they need to know how your speech pans out.

This one time, I remember seeing a speaker start a speech with, “Last week, my best friend committed suicide.” The entire crowd was gripped. Everyone could feel the tension in the room.

They were just waiting for the speaker to continue to know where this speech will go.

That’s what a hard-hitting statement does, it intrigues your audience so much that they can’t wait to hear more! Just a tip, if you do start off with a provocative, hard-hitting statement, make sure you pause for a moment after saying it.

Silence after an impactful statement will allow your message to really sink in with the audience.

15. Ramona J Smith

Opening: In a boxing stance, “Life would sometimes feel like a fight. The punches, jabs and hooks will come in the form of challenges, obstacles and failures. Yet if you stay in the ring and learn from those past fights, at the end of each round, you’ll be still standing.”

How to use your full body to grip the audience at the beginning of your speech?

In a talk, the audience is expecting you to do just that – talk. But when you enter the stage and start putting your full body into use in a way that the audience does not expect, it grabs their attention.

Body language is critical when it comes to public speaking. Hand gestures, stage movement, facial expressions are all things that need to be paid attention to while you’re speaking on stage. But that’s not I’m talking about here.

Here, I’m referring to a unique use of the body that grips the audience, like how Ramona did. By using her body to get into a boxing stance, imitating punches, jabs and hooks with her arms while talking – that’s what got the audience’s attention.

The reason I say this is so powerful is because if you take Ramona’s speech and remove the body usage from her opening, the entire magic of the opening falls flat.

While the content is definitely strong, without those movements, she would not have captured the audience’s attention as beautifully as she did with the use of her body.

So if you have a speech opening that seems slightly dull, see if you can add some body movement to it.

If your speech starts with a story of someone running, actually act out the running. If your speech starts with a story of someone reading, actually act out the reading.

It will make your speech opening that much more impactful.

So there it is! 15 speech openings from some of my favourite speeches. Hopefully, these will act as a guide for you to create your own opening which is super impactful and sets you off on the path to becoming a powerful public speaker!

Do you give English presentations at work, but feel that you could communicate your message in a more objective, fluid way?

Maybe you have an English presentation coming up and want to make sure that your speech is clear and structured so that your audience doesn’t lose concentration and stays with you all the way to the end.

A technique that can help you achieve objective, clear, and structured English presentations, is to use linking phrases that join the separate parts of your presentation together.

English presentations normally consist of an introduction, the main body, individual parts of the main body, and the ending or conclusion.

To help maintain your audience’s attention, you need to signal when you are going from one part to another.

In this article, I teach you 52 phrases that do exactly this – linking the different parts together, and therefore, making your presentation flow better. You’ll find that these phrases will act as ‘signposts’ for the audience when you finish one part and start another.

The introduction.

All good presentations start with a strong introduction.

There are a number of different ways you can begin your English presentation. Here’s a simple, but effective introduction structure which works for most types of business presentations:

Introduce – Introduce yourself and greet your audience. Introduce the presentation topic – Explain the reasons for listening. Outline – Describe the main parts of the presentation. Question policy – Make it clear to your audience when they can ask questions: during or at the end?

Here are some phrases which you can use to structure the introduction in this way:

1. Good morning/afternoon (everyone) (ladies and gentlemen). 2. It’s a pleasure to welcome (the President) here. 3. I’m … (the Director of …)

Introduce the presentation topic

4. By the end of the talk/presentation/session, you’ll know how to… / …you will have learned about… / 5. I plan to say a few words about… 6. I’m going to talk about… 7. The subject of my talk is…

8. My talk will be in (three parts). 9. In the first part… 10. Then in the second part… 11. Finally, I’ll go on to talk about…

Question Policy

 Main Body

Now that you have finished the introduction, we now need to transition to the main body, and its individual parts in a smooth way.

There are three parts of the main body of a presentation where linking phrases can be used:

If you need to talk about goals, challenges, and strategies in your English presentation, listing phrases can help link these together and improve the flow of your speech. If you have to explain processes, sequencing phrases are helpful:

Linking phrases are like the skeleton which holds your presentation together.

Not only do they improve the flow and help guide the audience, but by memorizing them they can also help you remember the general structure of your presentation, giving you increased confidence.

To help you memorize, I recommend saying the linking phrases on their own from the beginning to the end of your presentation while you practice.

I also suggest memorizing the introduction word for word. By doing this, you will get off to a great start, which will settle your nerves and transmit a positive first impression.

Donald Trump threatens NATO, says he would 'encourage' Russia to 'do whatever the hell they want'

Former President Donald Trump again stirred fears about the future of NATO by suggesting he might not come to the aid of European nations if they're attacked by Russia − and might even "encourage" Russians "to do whatever the hell they want."

Trump, during a campaign rally in Conway, South Carolina, on Saturday said his decision , if he's elected again, would be based on whether NATO members are contributing enough to the foundational alliance. The former president said he made that very point during an international meeting that took place during his presidency.

“One of the presidents of a big country stood up and said, ‘Well sir, if we don’t pay and we’re attacked by Russia, will you protect us?’ I said, ‘You didn’t pay? You’re delinquent?’ He said, ‘Yes, let’s say that happened.’ No, I would not protect you."

Trump then added: "In fact, I would encourage them to do whatever the hell they want."

In a statement put out by his campaign, President Joe Biden said: “If my opponent, Donald Trump, is able to regain power, he is making it clear as day that he will abandon our NATO allies if Russia attacks and allow Russia to ‘do whatever the hell they want’ with them.” He added that Trump’s comments are “predictable coming from a man who is promising to rule as a dictator like the ones he praises on day one if he returns to the Oval Office."

Biden said "freedom and democracy itself are on the ballot in November.”

NATO Secretary General Jens Stoltenberg said Trump's comments could endanger lives.

“Any suggestion that allies will not defend each other undermines all of our security, including that of the U.S., and puts American and European soldiers at increased risk," Stoltenberg said in a statement. "I expect that regardless of who wins the presidential election, the US will remain a strong and committed NATO ally.”

Trump's periodic threats have outraged foreign policy analysts who believe that Trump will destroy NATO if he's elected to a second term. The former president's critics say Trump bashes NATO as a sign of support for Russia President Vladimir Putin , another longtime rival of the European military alliance.

The NATO charter requires members to come to the aid of others if they are attacked. NATO invoked this article to help the United States after the terrorist attacks of Sept. 11, 2001.

Members of the international organization, formed in the wake of World War II, do not pay dues as such. They use a budget formula that Trump has repeatedly mischaracterized during his years in public life.

NATO members are asked to spend at least 2% of their GDP on defense. Not all members have reached this goal, fueling Trump's criticism of the alliance.

The Biden administration immediately denounced Trump's latest comments about NATO. White House spokesperson Andrew Bates said that “encouraging invasions of our closest allies by murderous regimes is appalling and unhinged.”

He said “it endangers American national security, global stability, and our economy at home.”

Former South Carolina Gov. Nikki Haley, Trump's opponent in the race for the Republican presidential nomination, described NATO as "a success story for the last 75 years."

Speaking on CBS' "Face The Nation,' Haley criticized Trump for again taking the side of Putin, describing the Russian president as "a thug who kills his opponents."

"Now, we do want NATO allies to pull their weight," Haley told CBS. "But there are ways you can do that without sitting there and telling Russia, have your way with these countries."

Sen. Chris Coons, D-Del., appearing on ABC's "This Week," said that "NATO isn't a protection racket. It's a security alliance."

Meanwhile, a Republican senator, Marco Rubio of Florida, said on CNN's "State of the Union" that Trump was telling "a story" about something that "happened in the past." Rubio noted that Trump has already been president and did not pull the U.S. out of NATO.

"He doesn't talk like a traditional politician," Rubio said. "And we have already been through this now."
