First, if your request is urgent or sensitive, an email isn't the best way to deliver it. We tend to jump straight into messaging, even when other options may be more suitable, says Erica Dhawan in the HBR . 

Emails can be missed (or ignored). If you're dealing with a deadline, any delay could cause issues, so pick up the phone. Suppose your email is asking for sensitive information or personal details (such as asking for bank account information). In that case, an email will be inappropriate (and, in some cases, illegal). 

On the other hand, if your email request isn't urgent, ask yourself: can it wait until you meet someone?

An email request is required if it's not urgent but simply can't wait a little longer. 

7 essential rules and principles of email requests

Each email should follow basic principles and an established structure to ensure you receive a response. While not each step is essential, following them can help you create more effective emails. 1. Don't beat around the bush 

In business, time is precious, so the most effective request emails are short and sweet. You'll want to be upfront and open about what you want.

Don't ask for a favor without explaining why. Don't mislead them or misrepresent what you want. 

Put simply, make your intentions clear immediately. 

2. Be concise 

Email requests should be concise and clear. Tell someone what you want and when you want it. Don't leave room for misunderstanding. That doesn't mean you must be rude but respectful of their time. Say what you mean immediately.

3. Don't assume others will complete the request

In a perfect world, you'd receive an immediate and positive response. But it doesn't always happen that way. 

Don't put pressure on the person you're messaging. For example, avoid using terms such as "thanks in advance" or "I look forward to your reply", as it can provide unwanted pressure on an interaction.

Offer them a mechanism to reject your request (if they want to). This can help the recipient to save face if they can't – or won't – comply with your request. Why do this? There are many reasons why someone may not be able to agree with your request. Giving them a way out can preserve and protect your relationships. 

4. Make the request as easy as possible for the other party

You'll want to make it as easy as possible for the other person to understand what you want. Use clear instructions and consider breaking things down into steps. Use single sentences.

If your request is complicated, consider using bullet points to break things down into easy-to-understand chunks.

5. Convey how urgent and important the request is 

Your request will likely be time-limited, so spell out when and why you need a response. Provide the person you're emailing with a clear deadline. If your request is urgent, say so. As we've said before, if your request is urgent, it may be more appropriate to call. Of course, you can always send an email if you don't get a reply. 

6. Convey that they are the right person for the job 

Be clear about why the person you're messaging is the right person for the job. A little flattery can work wonders in getting a response. Explain why they are the only person that can complete the task. But don't stop there; convey why they are the best person for the job.

7. Provide a clear call for action (CTA)

Ensure that the person you're emailing understands what you're asking them to do. Then, consider breaking things down into simple steps with clear timelines for what happens next. In marketing terms, it's known as a  call-to-action (CTA).  Writing a great CTA is part of science and art. Still, breaking it down to its basics is about providing clear instructions on what you want someone to do. Don't try and be sophisticated with your CTAs, be simple.

Email format for requesting something

Each request email is a  formal email that follows a standard format . There's no need to complicate matters, just follow this structure, and you'll find your messages are simple to write and easy to understand.

Each request email has five parts:

  • Opening lines & Body

Let's break these down and detail what to include and avoid.

1. How to write an email subject line for a request

The subject line is the first thing your recipient will see, so make it clear and keep it simple.

In the subject line, you can clarify whether your request is urgent, essential, or time-limited. You can make it obvious you're asking for help and why you're asking for help.

Don't just copy and paste these. Instead, spend time crafting a suitable subject line for your resignation email as it's more likely to get a response.

2. How to start an email asking for something

There are no rules about opening an email, but you must be upfront about what you want. However, diving too early into demanding something can seem rude.

  • Start by introducing yourself and creating a connection with the recipient. Don't be too informal, just friendly enough to make a good impression.
  • Follow up with details of your request.

If your request is formal, we'd recommend using the traditional endings. However, don't let formality define your emails. Instead, find an end that's respectful of your relationship.

How to Write Proposals for Office Computer Equipment

If you need new computer equipment in your office, an employer will often ask you to put it in writing. Sometimes, this may be a request for a formal business proposal, especially if the equipment is expensive. In other situations, you may simply be asked to write a proposal letter or a request letter.

In either case, your reasons for the purchase of new equipment should always be from a business point of view. Having a slow computer or a printer that stops printing may be frustrating, for example, but your reasoning should focus on lost time and productivity instead.

Writing a Proposal to Purchase New Computers

Before writing a proposal, it's important to first do your research. You should know exactly what is needed, why it's needed and how much it will cost. Contact the company where you buy computers or research them online to find exactly which models of equipment you need and their prices. The proposal should consist of six to seven sections after a title page and table of contents .

Executive Summary

If your proposal is more than three or four pages, summarize the proposal in an executive summary at the beginning of the document. This section should not be longer than a single page.

Introduction

Briefly describe the equipment you are proposing, its cost and why it is required. If there is a background story to this proposal, like a meeting that led to the suggestion of a proposal or planned purchases in the past that were not agreed upon, include that information here.

Description of the Situation

This section describes the current situation and details the reasons the new equipment is required. Think of this section as the description of the problem.

Description of the Solution

Explain the best solution for the current situation, including how the new equipment will solve the problems. List the equipment that is ideal to solve the current situation and then itemize the cost of each item. Don't forget to include the time and cost of migrating programs from the old computers to the new computers. Provide a total cost at the bottom.

Alternate Solutions

If there are less-expensive solutions that will solve some of the problems in the current situation, include them here. Use the same format as the ideal solution, including the itemized costs and total.

Evaluation of the Solutions

Compare the pros and cons of each solution. For example, the first may be more expensive but may require less time to install. The second may be less expensive but may require staff training.

Conclusion and Recommendations

Explain why you think the first solution is the better option. State when you think the purchase should be made and when the equipment should be installed.

Writing a Request Letter for New Equipment

A request letter for office computer equipment is much shorter than a proposal. However, it should contain two of the same elements as a proposal. First, explain the reason the equipment is needed from a business point of view and then state what you need.

In most cases, the letter should formally address the person responsible for purchasing new equipment. Your letter should be concise but should include any relevant details to make your request understandable.

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.  

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Start with a form template

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu. 

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control .

A picture control is most often used for templates, but you can also add a picture control to a form.

Insert a building block control

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

Insert a combo box or a drop-down list

In a combo box, users can select from a list of choices that you provide or they can type in their own information. In a drop-down list, users can only select from the list of choices.

Select the content control, and then select Properties .

To create a list of choices, select Add under Drop-Down List Properties .

Type a choice in Display Name , such as Yes , No , or Maybe .

Repeat this step until all of the choices are in the drop-down list.

Fill in any other properties that you want.

Note:  If you select the Contents cannot be edited check box, users won’t be able to click a choice.

Use the legacy form controls

Legacy form controls are for compatibility with older versions of Word and consist of legacy form and Active X controls.

Select the Legacy Form control or Active X Control that you want to include.

Set or change properties for content controls

Each content control has properties that you can set or change. For example, the Date Picker control offers options for the format you want to use to display the date.

Select the content control that you want to change.

Go to Developer > Properties .

Add protection to a form

If you want to limit how much others can edit or format a form, use the Restrict Editing command:

Open the form that you want to lock or protect.

Select Developer > Restrict Editing .

After selecting restrictions, select Yes, Start Enforcing Protection .

If you want to protect only parts of the document, separate the document into sections and only protect the sections you want.

To do this, choose Select Sections in the Restrict Editing panel. For more info on sections, see Insert a section break .

Open a template or use a blank document

To create a form in Word that others can fill out, start with a template or document and add content controls. Content controls include things like check boxes, text boxes, and drop-down lists. If you’re familiar with databases, these content controls can even be linked to data.

Go to File > New from Template .

In Search, type form .

Double-click the template you want to use.

Select File > Save As , and pick a location to save the form.

In Save As , type a file name and then select Save .

Go to Developer , and then choose the controls that you want to add to the document or form. To remove a content control, select the control and press Delete. You can set Options on controls once inserted. From Options, you can add entry and exit macros to run when users interact with the controls, as well as list items for combo boxes, .

In the document, click or tap where you want to add a content control.

On Developer , select Text Box , Check Box , or Combo Box .

To set specific properties for the control, select Options , and set .

Repeat steps 1 through 3 for each control that you want to add.

Options let you set common settings, as well as control specific settings. Select a control and then select Options to set up or make changes.

Select Macro to Run on lets you choose a recorded or custom macro to run on Entry or Exit from the field.

Bookmark Set a unique name or bookmark for each control.

Calculate on exit This forces Word to run or refresh any calculations, such as total price when the user exits the field.

Add Help Text Give hints or instructions for each field.

OK Saves settings and exits the panel.

Cancel Forgets changes and exits the panel.

Set specific properties for a Text box

Type Select form Regular text, Number, Date, Current Date, Current Time, or Calculation.

Default text sets optional instructional text that's displayed in the text box before the user types in the field. Set Text box enabled to allow the user to enter text into the field.

Maximum length sets the length of text that a user can enter. The default is Unlimited .

Text format can set whether text automatically formats to Uppercase , Lowercase , First capital, or Title case .

Text box enabled Lets the user enter text into a field. If there is default text, user text replaces it.

Set specific properties for a Check box .

Default Value Choose between Not checked or checked as default.

Checkbox size Set a size Exactly or Auto to change size as needed.

Check box enabled Lets the user check or clear the text box.

Drop-down item Type in strings for the list box items. Press + or Enter to add an item to the list.

WASHINGTON (AP) — Former President Donald Trump is asking the Supreme Court to extend the delay in his election interference trial, saying he is immune from prosecution on charges he plotted to overturn his 2020 election loss.

His lawyers filed an emergency appeal with the court on Monday, just four days after the justices heard Trump’s separate appeal to remain on the presidential ballot despite attempts to kick him off because of his efforts following his election loss in 2020.

“Without immunity from criminal prosecution, the Presidency as we know it will cease to exist,” Trump’s lawyers wrote, repeating arguments that have so far failed in federal courts.

The filing keeps on hold what would be a landmark criminal trial of a former president while the nation’s highest court decides what to do. It met a deadline to ask the justices to intervene that the federal appeals court in Washington set when it rejected Trump’s immunity claims and ruled the trial could proceed.

The Supreme Court’s decision on what to do, and how quickly it acts, could determine whether the Republican presidential primary frontrunner stands trial in the case before the November election.

There is no timetable for the court to act, but special counsel Jack Smith’s team has strongly pushed for the trial to take place this year. Trump, meanwhile, has repeatedly sought to delay the case. If Trump were to defeat President Joe Biden, he could potentially try to use his position as head of the executive branch to order a new attorney general to dismiss the federal cases he faces or even seek a pardon for himself.

The Supreme Court’s options include rejecting the emergency appeal, which would enable U.S. District Judge Tanya Chutkan to restart the trial proceedings in Washington’s federal court. The trial was initially scheduled to begin in early March.

The court also could extend the delay while it hears arguments on the immunity issue. In that event, the schedule the justices set could determine how soon a trial might begin, if indeed they agree with lower court rulings that Trump is not immune from prosecution.

In December, Smith and his team had urged the justices to take up and decide the immunity issue, even before the appeals court weighed in. “It is of imperative public importance that Respondent’s claim of immunity be resolved by this Court and that Respondent’s trial proceed as promptly as possible if his claim of immunity is rejected,” prosecutors wrote in December.

Trump’s legal team has ascribed partisan motives to the prosecution’s push for a prompt trial. “Conducting a months-long criminal trial of President Trump at the height of election season will radically disrupt President Trump’s ability to campaign against President Biden — which appears to be the whole point of the Special Counsel’s persistent demands for expedition,” the former president’s lawyers wrote.

Courts should not rush into a trial because the subject of presidential immunity from criminal charges is “a novel, complex, and momentous question that warrants careful consideration on appeal,” the legal team led by D. John Sauer wrote.

In their request to keep the trial on hold, Trump’s lawyers indicated they would seek to stretch out the delay by also asking the full federal appeals court in Washington to weigh in. Only after that would they file a formal appeal to the Supreme Court, the lawyers wrote. That could add weeks, if not months, before trial preparations could restart.

Now it’s up to a court on which three justices, Amy Coney Barrett, Neil Gorsuch and Brett Kavanaugh, were appointed by Trump when he was president. They have moved the court to the right in major decisions that overturned abortion rights , expanded gun rights and ended affirmative action in college admissions.

But the Supreme Court hasn’t been especially friendly to Trump on legal matters directly concerning the former president. The court declined to take up several appeals filed by Trump and his allies related to the 2020 election. It also refused to prevent tax files and other documents from being turned over to congressional committees and prosecutors in New York.

Last week, however, the justices did seem likely to end the efforts to prevent Trump from being on the 2024 ballot. A decision in that case could come any time.

The Supreme Court has previously held that presidents are immune from civil liability for official acts, and Trump’s lawyers have for months argued that that protection should be extended to criminal prosecution as well.

Last week, a unanimous panel of two judges appointed by President Joe Biden and one by a Republican president sharply rejected Trump’s novel claim that former presidents enjoy absolute immunity for actions that fall within their official job duties. It was the second time since December that judges have held that Trump can be prosecuted for actions undertaken while in the White House and in the run-up to Jan. 6, 2021, when a mob of his supporters stormed the U.S. Capitol.

The case was argued before Judges Florence Pan and J. Michelle Childs, appointees of Biden, a Democrat, and Karen LeCraft Henderson, who was named to the bench by President George H.W. Bush, a Republican.

The case in Washington is one of four prosecutions Trump faces as he seeks to reclaim the White House. He faces federal charges in Florida that he illegally retained classified documents at his Mar-a-Lago estate, a case that was also brought by Smith and is set for trial in May.

He’s also charged in state court in Georgia with scheming to subvert that state’s 2020 election and in New York in connection with hush money payments made to porn actor Stormy Daniels. He has denied any wrongdoing.

Dear Colleague Letter: Expanding Geographic and Institutional Diversity in Computer and Information Science and Engineering (CISE)

Dear Colleagues:

The National Science Foundation's (NSF) Directorate for Computer and Information Science and Engineering (CISE) welcomes submission of both new proposals and supplemental funding requests from Established Program to Stimulate Competitive Research (EPSCoR) eligible institutions to broaden geographic and demographic participation. Through this Dear Colleague Letter (DCL), NSF aims to promote CISE-funded activities that enable sustainable growth and competitiveness across EPSCoR jurisdictions . The goal is to increase the representation of NSF awards and funding to organizations across the twenty-eight (28) EPSCoR-eligible jurisdictions. Proposals from institutions across EPSCoR-eligible jurisdictions are welcome to submit to all CISE programs. Collaborative proposals between EPSCoR and non-EPSCoR institutions with EPSCoR institutions as lead and proposals from Minority Serving Institutions (MSIs) and Emerging Research Institutions (ERIs) in EPSCoR jurisdictions are particularly encouraged.

This DCL aims to reaffirm CISE’s commitment to bolster CISE-funded research that reaches diverse and talented communities across our country, in particular organizations located within EPSCoR jurisdictions. NSF recognizes the incredible potential and contributions of these institutions to the U.S. science and engineering ecosystem and encourages the science and engineering community’s active involvement in furthering discoveries that benefit all Americans. CISE firmly believes in the immense untapped potential within EPSCoR jurisdictions and through this DCL is actively seeking proposals and supplemental funding requests to enhance the participation of EPSCoR institutions in NSF-funded research. These contributions are pivotal in ensuring that research and innovation are not confined to geographical boundaries but are inclusive and collaborative across the nation.

This DCL encourages proposal submissions from EPSCoR-eligible institutions to any and all active CISE funding programs, with an aim to enhance engagement within the science, technology, engineering, and mathematics (STEM) enterprise, specifically associated with geographic location, and thereby enabling the jurisdiction’s national competitiveness. The DCL responds to Section 10325 (expanding geographic and institutional diversity in research) of the CHIPS and Science Act of 2022 , which directs NSF to dedicate an increasing percentage of its budget to organizations across EPSCoR jurisdictions. Through this DCL, CISE aims to promote funded activities that enable sustainable growth in the competitiveness of EPSCoR jurisdictions, including:

  • research proposals to CISE core and cross-cutting programs;
  • infrastructure investments to build research capacity in EPSCoR jurisdictions;
  • scholarships, fellowships, and traineeships within new and existing programs to promote development of sustainable research and academic personnel;
  • partnerships with non-EPSCoR institutions that are led by EPSCoR institutions with the goal of building and/or expanding research, education, and workforce development capacity in EPSCoR jurisdictions; and
  • capacity building activities for ERIs and MSIs.

Examples of encouraged submissions may include, but are not limited to:

  • CISE Core proposals led by EPSCoR institutions.

  • Rapid Response Research ( RAPID ) submissions by EPSCoR institutions when there is a severe urgency with regard to availability of, or access to data, facilities or specialized equipment, including quick-response research on natural or anthropogenic disasters and similar unanticipated events. House Republicans request transcripts of Biden's interview with special counsel Robert Hur

WASHINGTON — House Republicans are requesting that the Department of Justice release full transcripts of special counsel Robert Hur's interviews with President Joe Biden , three GOP leaders announced Monday.

"Throughout Mr. Hur’s report, there is reference to a transcript of an interview conducted with President Biden on October 8 and October 9, 2023," said the letter to Attorney General Merrick Garland, which was signed by the heads of the House Ways and Means, Judiciary and Oversight committees. "The Committees require this transcript and any other records of this interview, including, but not limited to, any recordings, notes, or summaries of the interview."

Beyond the interview transcripts, the Republicans are requesting video recordings related to the interview and all documents and communications related to Hur’s interview with ghostwriter Mark Zwonitzer , among other requests.

In the letter, Reps. James Comer, R-Ky., Jim Jordan, R-Ohio, and Jason Smith, R-Mo., said that Biden’s handling of classified documents is a key part of their investigation into the president and that Hur’s interview and report will aid them in their determination if the evidence supports drafting articles of impeachment.

The committees "are investigating whether sufficient grounds exist to draft articles of impeachment against President Biden for consideration by the full House," the letter said. "Since the beginning of the 118th Congress — and, subsequently, in furtherance of the impeachment inquiry as detailed in a memorandum released by the three Committees — the Oversight Committee has investigated President Biden’s mishandling of classified materials."

The letter asks Garland to produce the information by 5 p.m. on Feb. 19.

A spokesperson for the Justice Department confirmed receipt of the letter but declined to comment on its contents.

The White House did not immediately respond to a request for comment.

The committees are also in talks with Hur to testify about his investigation into Biden’s handling of classified documents, according to two sources familiar with the discussions, which were first reported by CNN . The two sides are aiming to hold the hearing at the end of the month, but the timing is fluid. Hur has retained private counsel in preparation for his appearance.

The transcripts request comes just days after Hur released his report of Biden's handling of classified documents. The special counsel declined to file charges, while also finding evidence that the president "willfully retained and disclosed classified materials after his vice presidency when he was a private citizen."

The House Republican leadership has leaned into the report as a new way to criticize the president, issuing a rare joint statement Thursday: “A man too incapable of being held accountable for mishandling classified information is certainly unfit for the Oval Office.”

The three committees conducting the impeachment inquiry into Biden have largely focused on allegations that the Justice Department gave preferential treatment to the president’s son Hunter Biden when it worked with the IRS on an investigation of his tax payments, as well as whether the president was involved in any of his son’s overseas business dealings.

Pivoting to a primary focus on Biden’s handling of classified documents would be a shift in strategy for the committees — and a possible sign that they believe the Hur report presents them with a stronger case for impeachment.

Hur's report included several comments on Biden's memory, calling it "significantly limited" during his interviews.

"We have also considered that, at trial, Mr. Biden would likely present himself to a jury, as he did during our interview of him, as a sympathetic, well-meaning, elderly man with a poor memory,” the report said. “Based on our direct interactions with and observations of him, he is someone for whom many jurors will want to identify reasonable doubt. It would be difficult to convince a jury that they should convict him — by then a former president well into his eighties — of a serious felony that requires a mental state of willfulness.”

Hur said that during his interviews with the president, Biden had trouble remembering the timing of his vice presidency and his son Beau’s death, as well as a debate about Afghanistan.

The report has been roundly criticized by Democrats as well as some legal experts as "inappropriate," "politically motivated" or "gratuitous."

Biden fired back after the release of Hur's report, defending his memory and saying of the special counsel's references to his son, "How in the hell dare he raise that?"
