Best presentation software

Short answer

What is the best presentation software?

You need to leave static slides behind if you want to make an impact.

Let's face it, unless you're a design wizard, the thought of crafting a presentation probably doesn't fill you with excitement.

You've seen them all – those templates that scream 'I'm a template!' with their predictable layouts and yawn-inducing designs.

You see, most presentation software still clings to a relic from the 80s: the slideshow. Meanwhile, modern audiences are craving something entirely different.

They're all about engaging, scroll-based web pages and snappy animated clips. Sticking to static slides? You might as well be speaking a foreign language to your audience.

Now, here's the deal: if you skip out on this read, you risk being overshadowed by those who've embraced the new wave of presentation tools.

But, if you stick with me, you're in for a treat. I'm about to introduce you to a world of presentation apps that will not only hold your audience's attention but also elevate your message, making it resonate like never before.

Dive in, and let's turn those snooze-fest slides into something spectacular.

Static vs. interactive presentation software

In the world of presentations, static presentation programs are like that old, reliable sedan. They'll get you from point A to B, but don't expect anyone to turn their heads. These tools rely on a series of slides, each a frozen moment in time, offering little beyond basic visuals and text.

The problem? They're predictably dull. Your audience has seen it all before – slide after slide, a one-way street of information.

Enter interactive presentation software, the flashy sports car of the presentation world. These tools are all about engagement and versatility. They invite your audience on a journey, not just a lecture.

With interactive elements like clickable content, embedded videos, and dynamic animations, they transform passive viewers into active participants.

For more information, check out our resource on why static slides are bad for you .

And here's the change adding some interactivity can make:

What features should you look for in online presentation tools?

Navigating the sea of online presentation tools can feel like sailing without a compass – exciting but a bit overwhelming. But don't worry, the secret is in knowing which features are your true north. Here's your navigational chart:

User-friendly interface: Opt for a tool that's as intuitive as your favorite social media app. Complexity is the last thing you need.

Rich multimedia integration: The power to embed videos, audio, and interactive elements is crucial. It turns a presentation into a conversation.

Customizable templates: A variety of templates is your fast track to sleek, professional presentations without starting from scratch.

Real-time collaboration: A tool that supports teamwork in real-time is invaluable. It's about bringing minds together effortlessly.

Analytics and feedback tools: Insights into audience engagement can transform your future presentations from guesswork to precision.

Cross-platform compatibility: Ensure your presentation shines on any device, be it a desktop, tablet, or smartphone.

Cloud-based access: The freedom to access and tweak your presentation from anywhere is a modern-day necessity.

Interactive elements: Engage your audience with polls, Q&A sessions, and clickable content. Interaction is the heartbeat of a great presentation.

Best presentation software to get viewers hooked

Ready to turn your next presentation into a showstopper? It's all about choosing the right software. In a world where attention is the new currency, having the best tools in your arsenal isn't just nice – it's necessary.

I've scoured the Internet to bring you a selection of the best apps for presentations currently available. These are the tools that promise to hook your viewers from the first click, transforming your ideas into captivating visual stories .

1. Storydoc

Storydoc interactive presentation maker

We’re a bunch of content geeks crazy about effective storytelling and Storydoc is our beloved brainchild. So, of course, we’re going to kick off the list with our product—because we want you to love it too.

Storydoc is a professional presentation software tool created to meet the needs of contemporary business. Instead of switching between static slides, it lets you scroll down and uncover mesmerizing, animated content. All that to help you get your leads engaged and, in the end, close more deals.

What’s best about it

In a word: results. Storydoc presentations have helped businesses across various industries instantly boost their key metrics.

Yes, the decks made in our app are beautiful, but that’s not the point in itself. We’re in the business of maximizing your conversion rates and we’re serious about it.

Who it’s for

We created Storydoc primarily with sales and marketing teams in mind. As presentation software for business, Storydoc is best suited for sales presentations, proposals, pitch decks, and company collateral.

Storydoc’s pricing is tailored to individual needs of each of our customers. We’ll need to get in touch to provide you with accurate pricing information depending on your use case. To learn more and leave your contact details, visit our pricing page .

2. Slidebean

Slidebean presentation maker

Marketed as an interactive presentation software powered by no magic at all but Artificial Intelligence , Slidebean does give off a sense of riding on the cutting edge of content creation .

You can write an outline for your presentation in their no-code content-brief and editor, and the tool will automatically format your slides, according to a set of predefined best practices. I took Slidebean for a test drive and was genuinely impressed by how accurate it was at understanding my intentions.

Their claim about letting you make a presentation “in minutes instead of hours” stretches it a bit yet it’s true that Slidebean is one of the quickest presentation software tools out there. Despite the AI-engineered experience you maintain a healthy degree of control: you can have the tool rearrange the slides you don’t like or use fill-in-the-blank templates if you’re in more of a DIY mood. The only downside lies in the very basics: the slide designs feel a bit dated and somewhat crowded for a piece of presentation software based on the technology of the future. While you’ll be able to create a presentation easily, it might not impress your audience as much as you’d like.

It takes the tedious away and is very fast. If you’re not in a mood to tinker around with formatting and just want your presentation to “look right,” Slidebean will take care of that.

According to their website: startups, sales, business, marketing, and academia. Hard not to agree with their list with the only caveat that their decks are probably too flashy for research purposes.

Free to play around with, you only pay when you want to export your presentations.

Starting at $96 per year for a Starter plan (not much in it), to $228 per year for a Premium plan (a very solid package), to $1,788 per year for a “Founder’s Edition” that comes with full hands-on support, office hours with their experts, and their financial modelling feature. Billed annually. (50% discount for verified .edu accounts.)

Best presentation software - Ludu

Unlike Slidebean above, the Ludus team have made “magic,” specifically, one of their main selling points and, upon diving into their presentation-making tool, you begin to understand why. It’s an insanely advanced product for creators and designers. Its full list of features constitutes, wait for it, 64 items (and it’s actually carefully hidden so as not to overwhelm some less-savvy customers). A very interactive presentation software tool, Ludus really makes sure sky's the limit for you. You can create your own templates, copy and paste any kind of content saved in other formats (SVG, Figma, Illustrator, you name it), add video, GIPHY files, animations.

Sound like a lot of work? It is so, but if you’re a designer, you’ll have tons of fun with it.

Hands-down, third-party integrations. You can take your content from any source, then mix and match for a desired effect.

Professional visual content creators, no doubt about it. Although they claim, “simple and easy or highly creative, there’s a way for everybody,” you clearly won’t make the most of Ludus’ capabilities if you’re only into basics.

All plans offer the full set of features, you pay for the number of team members using the tool. Starting at $14.99 per month per user and getting cheaper the more users you bring in. You can save 20% by switching to annual billing.

Best presentation software - Visme

Visme is a very good tool for creating presentations from scratch. With no advanced algorithm involved and few hi-tech gimmicks, this template-based presentation app will work great for individual users. Visme offers hundreds of templates and themes so no matter your unique needs, you’ll find one you like. If you want to pack your presentation with graphics, charts, and other kinds of supporting media, you’ll find it all inside the app.

Want to stick to basics? Visme will let you put together a clean, uncluttered presentation as well. To our liking, their templates are slightly too far on the “art for the art’s sake” side of the spectrum, with features that are out there but don’t bring real value to the message you’re trying to deliver.

The variety of templates you can fill out. Yes, it might take some time to find the perfect one for you, but you’ll surely have plenty of options to choose from.

Perhaps the best choice for individual users who want to make a free presentation that isn’t generic. For business purposes, there are better presentation software apps on the market: you want to keep a razor-sharp image for your business content so it’s best not to rely on a fairly basic tool.

Free plan available, with up to 5 projects, JPG downloads and a limited (but still very wide) selection of templates. Paid plans start at $25 a month. If you choose to subscribe for a year, you can save 4 months’ worth of fees.

Best presentation software - Canva

More than just presentation software, Canva is an online design empire loaded with thousands of templates for business content such as resumes, portfolios, business cards, and, you guessed it, presentations. A nice bonus to their presentation themes is a gallery of over a million stock images you can plug into your presentation. In terms of functionalities, Canva doesn’t offer much more than traditional software such as PowerPoint, but their designs are super neat, elegant, and very much contemporarily-looking.

Templates created by real design pros. Some of the themes you can find on Canva have that unique polished look hard to find elsewhere.

Canva presentations are a great pick for creative fields such as photography, fashion, or advertising. This also means, you’ll be better off using Canva if you have a knack for graphic design.

Stepping into Canva's world of sleek design doesn't mean emptying your pockets. Start with the free version, packed with numerous templates and a vast stock image library.

For those seeking the full array of design superpowers, Canva Pro is the way to go. At just $12.99 per month (or $119.99 annually), you unlock premium templates, advanced features, and an extensive image gallery.

6. Zoho Show

Best presentation software - Zoho Show

A part of a powerful software suite of 60+ products, Zoho Show presentation app deserves a separate mention on our list. In short, it could be described as Google Slides on steroids. The tool offers real-time collaboration and full integration with other formats, including the said Google Slides and PowerPoint. What gives Zoho an edge are really solid customization options including animations, video, and interactive charts and graphics (note, however, that animated elements won’t work when you send Zoho deck in PDF).

Plus, Zoho comes with very convenient Android and iOS apps: easier to use than its Google counterpart.

They said it and they were right: “Minimalist and contextual UI.” Zoho is fun to use even for a presentation newbie. With the same amount of effort, you can create slideshows that look way more professional than those made with GSuite or Microsoft products.

Anyone, really! Especially those who need a presentation for personal use will appreciate the free access for individuals. If your business is using other Zoho tools and you haven’t tried their presentation software yet, give it a go, too.

Free plan for a single user available. $5 per user per month with a Standard plan, $8 per user per month with Premium.

Best presentation software - Powtoon

The only presentation software tool on our list dedicated solely to creating videos. Powtoon offers video templates that are extremely easy to fill out and customize so you can create video presentations in minutes. You can add voiceover, customize the templates, and add extra animations.

The premise of this presentation app is commendable and if you need to have an explainer video about your brand or product now, it should be your go-to tool.

The problem is, videos created with Powtoon give out an amateurish vibe, nothing like content you’d get from a professional video editor or a presentation deck that is truly on brand.

Probably the most affordable tool to create product videos available online.

Brand managers, internal communications teams, or HR. If you need a video that will make or break your project or campaign, reach out to an agency (and be prepared to pay at least 10x more).

Starting at $89 a month. You can save a lot if you go for annual billing: from $228 to $1,188 a year.

Best presentation software - Prezi

Last but not least, a dinosaur in the presentation-making business (but a very lively one), Prezi. They burst onto the scene in 2009, offering one of the first ever alternatives to traditional slide decks.

Their USP is a particular kind of movement across consecutive slides, giving an impression of seamlessly flowing through content. And, while that caused a sensation in the early 2010s, today it looks much more like a gimmick than means to any effective end.

Prezi’s templates and animations they feature are, no doubt, unique. Perhaps paradoxically, though, this is exactly what makes it really hard to focus on the content.

On the flip side, Prezi went into overdrive adjusting their product to contemporary realities, substantially improving their “Prezi Video” solutions, enabling users to appear on live video alongside their content while presenting to their audience.

It’s still very unique. Also, you can get quite a lot out of the free plan, so if you just need to make a few presentations, you’re in luck.

Prezi is a good freemium choice for educators, as well as students, not ideal for business use, as the templates are too wacky: there are more interesting paid options to choose from.

Up to 5 public projects at a time for free. Starting at just $3 a month for unlimited visual content, ending at $59 a month for a full-blown Premium plan that comes with an analytics panel.

How can I design an effective presentation?

Designing an effective presentation is an art form in itself. It starts with a crystal-clear message – your presentation's backbone. Layer this with a visually engaging design: think bold colors, compelling graphics, and fonts that pop off the screen. Your slides aren't just information carriers; they're the canvas for your ideas.

But a great presentation is more than just a pretty face. It's about creating a connection with your audience, making your message interactive, and weaving a narrative that sticks. Balance your content with design, ensuring each slide tells a part of your story compellingly and cohesively.

How to choose the best online presentation maker?

Selecting the best online presentation maker is like picking the perfect outfit for a big event – it needs to match your style, occasion, and comfort level.

First, identify your needs. Are you crafting a quick pitch or an in-depth report? This will determine the complexity and features you require.

Next, consider usability. You want a tool that’s intuitive, not something that requires a manual the size of "War and Peace." A user-friendly interface is key, especially if you need to whip up presentations on the fly.

Don’t forget about customization. Your presentation should be a reflection of your unique style and message. Look for a maker that offers a wide range of templates and design options.

Consider multimedia integration. Today's audiences expect dynamic content. Your tool should effortlessly incorporate videos, animations, and interactive elements.

Look at the pricing model. Whether you're a one-time user or need a long-term solution, the pricing should align with your usage and budget.

Don't overlook support and resources. A robust support system and a library of resources can be lifesavers, especially when deadlines loom.

Lastly, think about collaboration and sharing capabilities. In today's connected world, the ability to collaborate and share your work easily is non-negotiable.

Remember, the best presentation maker is the one that fits you like a glove – enhancing your message and making your presentation process smoother and more enjoyable.

14 Must-Have Online Presentation Tools So You Can Own The Stage

The secret to winning your presentation is to own it, and using online presentation tools is one of the best ways to do it. Here are 14 creation tools on the web that boost your engagement with your audience.

Innovative Online Presentation Tools That Are Engaging

How to pick online presentation tools.

I can never count the number of online presentation tools out there, and most of them are amazing. Using a lot of them can be time-wasting, though. What I then do is to set up my list of criteria and then match the tool’s features and benefits with it.

Some of my main preferences are the following:

  • Allows collaboration
  • Allows online and offline editing and sharing
  • Can be accessed across multiple device platforms
  • Has compelling and engaging visual and audio features
  • Has good technical support (for troubleshooting)

With these in mind, here are my top 14 recommended online presentation tools:

A post shared by Canva (@canva) on Mar 28, 2017 at 12:39pm PDT

One of my favorite online presentation tools is Canva. This one has both a free and a premium version. Either of the two is great.

Canva is a free presentation maker where you can create different kinds of visuals. You can use the images in their library, which comes with a fee or upload your own. This way, you can further personalize the look. This application makes it easy to build an original design. You can also alter the ready-made templates.

With Canva, you can edit online and download your saved work to your PC. This is a useful tool even for presenters who don’t have the skills in designing.

Access it here.

2. CustomShow

CustomShow | 14 Must-Have Online Presentation Tools So You Can Own The Stage

CustomShow is for marketing presentations . It works like cloud-based presentation software. You can use its cloud storage to collaborate and share files online. Here, you can customize your presentations based on your brand preference. You can also stream your presentations through its web meetings feature.

CustomShow works across multiple devices such as iPad whether online or offline. It also has its analytics platform, although there’s still room for improvement in its data intelligence.

3. Genially

Work on your genially with your best friend. Learn how to make it collaborative! 👭👬🤝👍 #Innovation https://t.co/gERvBJydTa — Genially (@genially_en) September 4, 2017

One of the most interactive online presentation tools is Genially. You can make stunning and impactful visual media. These include infographics and mind maps. It also allows real-time collaboration among users. You can even embed some animation into your presentations. Plus, it can gather its own statistics. It then helps measure the effectiveness of your presentations.

Don’t forget to try it here.

4. Google Slides

A post shared by Google Slides (@custom.gs) on Jun 13, 2017 at 9:14pm PDT

This application is somewhat easy to use. One of its downsides is the limited design it offers. It doesn’t promote customization. Its history and accountability features aren’t always reliable.

Go try it out now.

Keynote | 14 Must-Have Online Presentation Tools So You Can Own The Stage

Keynote has neat templates and its own transition features. You can apply them to improve your visuals. Plus, it integrates animations. To maximize this presentation tool, though, you need to take the time to learn it.

7. Preseria

Preseria | 14 Must-Have Online Presentation Tools So You Can Own The Stage

Preseria is one of the must-have online presentation tools if you’re planning a conference . It allows you to manage and organize different presentations on one platform. Aside from that, Preseria can project these presentations. The only downside is you cannot change your content with it.

Use it today.

8. Prezi (Personal)

A post shared by أصدقاء النجاح 🕊🌱.. (@friend_of_success) on Mar 16, 2018 at 11:57pm PDT

A Prezi presentation breaks away from conventions. With this free presentation maker, you can zoom in on the important points of your discussion. A presentation in Prezi uses Pathway Points. This way, you can maneuver the different parts without jumping from one slide to another.

Note, though, the presentations made using its free edition are set to public view by default. It also takes some time to learn how to operate Prezi.

Make a Prezi presentation with this.

10. SlideDog

SlideDog | 14 Must-Have Online Presentation Tools So You Can Own The Stage

I love smart online presentation tools such as SlideDog. Its beauty lies in the fact you can combine different file types. It can be a PDF, PowerPoint, Prezi, web pages, images, and videos. The app organizes these files and creates a playlist out of them. It also features a live and interactive audience poll. You cannot use it to create presentations.

Experience how it works.

A post shared by Haiku Deck (@haikudeck) on Feb 19, 2015 at 5:03pm PST

The Haiku deck is well-known for its being gorgeous. You can select from a wide variety of amazing and appealing images. It clears away the clutter as well, so the focus goes straight to your message.

11. PowerPoint Online

PowerPoint Online | 14 Must-Have Online Presentation Tools So You Can Own The Stage

Our list of online presentation tools is not complete without PowerPoint Online. As its name suggests, it is the web-based version of MS PowerPoint. It is handy if, for some reason, you don’t use the Windows operating system. The features are almost the same. Moreover, you can now add social media posts including live tweets.zoho

Here’s a link so you can try it.

13. LibreOffice Impress

A post shared by AlloPC24 (@allopc24) on Jan 31, 2018 at 5:55pm PST

Bonus: Slideshare

As a hosting service, you cannot build presentations with Slideshare. Instead, it lets you share your work from other online presentations tools to the public. It is already under LinkedIn, which means it’s a reliable business-oriented application.

Online presentation tools can make life easier for a public speaker or salesperson. I know they’ve made mine. They make presentations less nerve-racking and more engaging.

Sora: OpenAI launches tool that instantly creates video from text

Model from ChatGPT maker ‘simulates physical world in motion’ up to a minute long based on users’ subject and style instructions

OpenAI revealed a tool on Thursday that can generate videos from text prompts.

The new model, nicknamed Sora after the Japanese word for “sky”, can produce realistic footage up to a minute long that adheres to a user’s instructions on both subject matter and style. According to a company blogpost, the model is also able to create a video based on a still image or extend existing footage with new material.

“We’re teaching AI to understand and simulate the physical world in motion, with the goal of training models that help people solve problems that require real-world interaction,” the blogpost reads.

One video included among several initial examples from the company was based on the prompt: “A movie trailer featuring the adventures of the 30-year-old space man wearing a red wool knitted motorcycle helmet, blue sky, salt desert, cinematic style, shot on 35mm film, vivid colors.”

The company announced it had opened access to Sora to a few researchers and video creators. The experts would “red team” the product – test it for susceptibility to skirt OpenAI’s terms of service, which prohibit “extreme violence, sexual content, hateful imagery, celebrity likeness, or the IP of others”, per the company’s blogpost. The company is only allowing limited access to researchers, visual artists and film-makers, though CEO Sam Altman responded to users’ prompts on Twitter after the announcement with video clips he said were made by Sora. The videos bear a watermark to show they were made by AI.

The company debuted the still image generator Dall-E in 2021 and generative AI chatbot ChatGPT in November 2022, which quickly accrued 100 million users. Other AI companies have debuted video generation tools, though those models have only been able to produce a few seconds of footage that often bears little relation to their prompts. Google and Meta have said they are in the process of developing generative video tools, though they have not released them to the public. On Wednesday, it announced an experiment with adding deeper memory to ChatGPT so that it could remember more of its users’ chats.

https://t.co/uCuhUPv51N pic.twitter.com/nej4TIwgaP — Sam Altman (@sama) February 15, 2024

OpenAI did not disclose how much footage was used to train Sora or where the training videos may have originated, other than telling the New York Times that the corpus contained videos that were both publicly available and licensed from copyright owners. The company has been sued multiple times for alleged copyright infringement in the training of its generative AI tools, which digest gargantuan amounts of material scraped from the internet and imitate the images or text contained in those datasets.

AI Presentation Maker

When lack of inspiration or time constraints are something you’re worried about, it’s a good idea to seek help. Slidesgo comes to the rescue with its latest functionality—the AI Presentation Maker! With a few clicks, you’ll have wonderful slideshows that suit your own needs . And it’s totally free!

empire of online presentation tools

Generate presentations in minutes

We humans make the world move, but we need to sleep, rest and so on. What if there were someone available 24/7 for you? It’s time to get out of your comfort zone and ask the AI Presentation Maker to give you a hand. The possibilities are endless : you choose the topic, the tone and the style, and the AI will do the rest. Now we’re talking!

Customize your AI-generated presentation online

Alright, your robotic pal has generated a presentation for you. But, for the time being, AIs can’t read minds, so it’s likely that you’ll want to modify the slides. Please do! We didn’t forget about those time constraints you’re facing, so thanks to the editing tools provided by one of our sister projects —shoutouts to Wepik — you can make changes on the fly without resorting to other programs or software. Add text, choose your own colors, rearrange elements, it’s up to you! Oh, and since we are a big family, you’ll be able to access many resources from big names, that is, Freepik and Flaticon . That means having a lot of images and icons at your disposal!

empire of online presentation tools

How does it work?

Think of your topic.

First things first, you’ll be talking about something in particular, right? A business meeting, a new medical breakthrough, the weather, your favorite songs, a basketball game, a pink elephant you saw last Sunday—you name it. Just type it out and let the AI know what the topic is.

Choose your preferred style and tone

They say that variety is the spice of life. That’s why we let you choose between different design styles, including doodle, simple, abstract, geometric, and elegant . What about the tone? Several of them: fun, creative, casual, professional, and formal. Each one will give you something unique, so which way of impressing your audience will it be this time? Mix and match!

Make any desired changes

You’ve got freshly generated slides. Oh, you wish they were in a different color? That text box would look better if it were placed on the right side? Run the online editor and use the tools to have the slides exactly your way.

Download the final result for free

Yes, just as envisioned those slides deserve to be on your storage device at once! You can export the presentation in .pdf format and download it for free . Can’t wait to show it to your best friend because you think they will love it? Generate a shareable link!

What is an AI-generated presentation?

It’s exactly “what it says on the cover”. AIs, or artificial intelligences, are in constant evolution, and they are now able to generate presentations in a short time, based on inputs from the user. This technology allows you to get a satisfactory presentation much faster by doing a big chunk of the work.

Can I customize the presentation generated by the AI?

Of course! That’s the point! Slidesgo is all for customization since day one, so you’ll be able to make any changes to presentations generated by the AI. We humans are irreplaceable, after all! Thanks to the online editor, you can do whatever modifications you may need, without having to install any software. Colors, text, images, icons, placement, the final decision concerning all of the elements is up to you.

Can I add my own images?

Absolutely. That’s a basic function, and we made sure to have it available. Would it make sense to have a portfolio template generated by an AI without a single picture of your own work? In any case, we also offer the possibility of asking the AI to generate images for you via prompts. Additionally, you can also check out the integrated gallery of images from Freepik and use them. If making an impression is your goal, you’ll have an easy time!

Is this new functionality free? As in “free of charge”? Do you mean it?

Yes, it is, and we mean it. We even asked our buddies at Wepik, who are the ones hosting this AI Presentation Maker, and they told us “yup, it’s on the house”.

Are there more presentation designs available?

From time to time, we’ll be adding more designs. The cool thing is that you’ll have at your disposal a lot of content from Freepik and Flaticon when using the AI Presentation Maker. Oh, and just as a reminder, if you feel like you want to do things yourself and don’t want to rely on an AI, you’re on Slidesgo, the leading website when it comes to presentation templates. We have thousands of them, and counting!.

How can I download my presentation?

The easiest way is to click on “Download” to get your presentation in .pdf format. But there are other options! You can click on “Present” to enter the presenter view and start presenting right away! There’s also the “Share” option, which gives you a shareable link. This way, any friend, relative, colleague—anyone, really—will be able to access your presentation in a moment.

Discover more content

This is just the beginning! Slidesgo has thousands of customizable templates for Google Slides and PowerPoint. Our designers have created them with much care and love, and the variety of topics, themes and styles is, how to put it, immense! We also have a blog, in which we post articles for those who want to find inspiration or need to learn a bit more about Google Slides or PowerPoint. Do you have kids? We’ve got a section dedicated to printable coloring pages! Have a look around and make the most of our site!

5 Tips for Creating Attractive Online Presentations

It’s fantastic to have a presentation tool that functions well and has amazing capabilities, but you also need to know how to make presentations that are outstanding. If you’re a beginner, check out these fast suggestions for making presentations online.

Drafting the content

When drafting the content, utilize a header and bullet points to make your points since no one will read long paragraphs. Include information that is pertinent to the topic you will discuss, written as simply as you can. Wherever you can, give examples as well, and make sure your introductions and conclusions are appealing.

Add graphics

Long simple text could appear uninteresting. By including relevant movies, photos, and other items on various slides, you may make your presentation more engaging.

Ensure simplicity

The addition of images is excellent, but your presentation doesn’t have to look like a sketchbook overflowing with hues and design components. It needs to be done carefully. Your choice of pictures, videos, and design components must be elegant, match the text, and be arranged so that the viewer doesn’t feel overpowered.

It’s important to decide how long the presentation will last. Don’t make it too brief, leading people to believe you didn’t put enough effort in, or too long, leaving them confused and bored. Consider the time and find a medium ground to express your message.

How to Make Your Online Presentation More Engaging

Updated on: 29 August 2023

Keeping your audience’s attention over a long period of time is undoubtedly one of the most challenging aspects of an online presentation. Not only does the audience have a shorter attention span but since they are participating online from the comfort of their own home, they are often subjected to additional distractions.

What does it take to give a remarkable online presentation? In this post, we will discuss tools and tips you can rely on to engage and retain your audience’s attention and give you some useful templates to start creating an effective online presentation right away.

Online Presentation Tips

These tips are to help you ensure that your audience stays engaged till the end of your online presentation.

Select the right tool

With the rise of collaborative software over the last decade, the choice of tools you have for creating and delivering an online presentation are many. You can switch between them or use a combination of them based on the purpose of your presentation.

Here are a few options you can explore;

  • MS PowerPoint : the go-to presentation software for any professional is PowerPoint. Everyone’s familiar with it, you can use pre-made templates if you are in a hurry, and all you have to do is share your screen with the rest of the participants. However in terms of interactivity, it has limitations, plus you have to rely on a third-party video conferencing app like Zoom, MS Teams, Google Meet, or Slack to see your audience while presenting.
  • Prezi : This tool gives you the option to create moving and zooming presentations where you can also appear alongside your content on the screen. Instead of separate slides, Prezi lets you use one large canvas that allows you to pan and zoom to different parts of the presentation, which makes it more engaging to the viewers.
  • Creately : This is an online canvas with in-app video conferencing and real-time collaboration , meaning all participants have access to the document containing the presentation. While you can pan and zoom to different slides or sections of your presentation on the canvas, you can also get the participants to join in adding comments, answers, or collaborate with you, etc. in real-time.

Simplify your presentation slides

Placing too much information on a single slide can overwhelm and confuse your audience. Instead you need to make sure that your content is well-structured, minimalistic, and compelling at the same time.

The easiest way to avoid complicating things is to stick to a single point or topic throughout the entire presentation, and making sure that the rest of the arguments, questions, metaphors, facts, and stats you will present will reinforce that point.

In addition, you can also consider taking the following steps,

  • Got too much important information to share? If the information you have is essential but too long, you can consider delivering them during separate sessions. Keeping your online presentation time short will help retain the attention of your audience.
  • Minimize the content on a slide by keeping only 1-3 ideas, facts, or statistics on them. This will help the audience to comprehend your point easily. Also having new slides appearing frequently can keep the minds of your audience from wandering off.

Or you can…

Use visuals to simplify the facts

Not only can people process visuals faster, but visuals are also very effective in helping them remember things better. You can portray a group of statistics with a histogram or a pie chart , or explain a process with a flowchart more easily than you can do with words.

When using visuals in your online presentation,

  • Use them here and there throughout the presentation to keep your audience engaged
  • Keep your illustrations and visuals simple and clean so it’s clear even when viewed on a smaller screen
  • Incorporate videos to reinforce your argument. Videos are also a great way to start up a discussion and stimulate the interest of your audience

Interact with the audience

Actively engaging with the audience is the easiest way to make sure that their attention doesn’t waver.

You can do this effectively by,

  • Use the first few minutes of your presentation to build rapport. A great way to do this is by asking some ice breaker questions or engaging in casual talk with the audience before the presentation starts.
  • Start your presentation with a strong hook, which can be an intriguing question, a bold statement, a shocking statistic, or even a story.
  • Regularly ask questions (at least every 10 minutes) from the audience or encourage them to pose their own.
  • Ask questions through live polls which allow you to get their instant feedback.
  • Incorporate an online whiteboard to explain your idea or concept by sketching or diagramming them out. The benefit of using an online whiteboard here is that you can also invite the participants to collaborate with you on the canvas in real-time.

Clarify the ground rules

How everyone conducts themselves during the length of a presentation has a significant impact on its effectiveness, especially when it is done online. In order to make sure that the participants know what to expect and how to interact and conduct themselves, set clear ground rules at the very beginning.

  • Keep everyone, except for the one who is presenting, muted to tune out all the distracting noises that otherwise would make it difficult to carry out the presentation.
  • If anyone has a question or wants to share an opinion, encourage that person to make a hand gesture before they unmute their mic and make a comment.
  • Encourage everyone to have their cameras turned on. This is important for making a connection with the audience, picking up on visual cues, and avoiding missing out on what someone is trying to say during the presentation, especially since everyone is joining remotely.

Be prepared

Fumbling around with your tech or slides at the start or during the presentation is simply unacceptable and unprofessional. A few things you need to check on are;

  • Double-check your equipment – microphone, web camera, internet, tools, and software prior to the presentation and ensure they are working fine.
  • If you are using any tool or software during the presentation, have them opened and logged into before the presentation starts.
  • Make sure you are set up in a distraction-free area of your home. In addition, turn off or silence your phone and desktop notifications.
  • Get rid of anything in the background that might be a distraction to your audience. Many video conferencing software allows you to add a virtual background, so you can try that option as well.
  • Many online presenters often neglect what they wear, but what you are wearing itself can be a cause for distraction to your audience. Avoid this by dressing appropriately, and professionally.

Nail the ending of your presentation

The ending can help you boost the impact that your virtual presentation has on your audience, intrigue them to take action, and/or inspire and motivate them. To make the most out of the presentation ending,

  • Have a concluding slide, summing up the key points and takeaways of the presentation.
  • Or you can add a call to action or provide actionable steps to encourage the audience to take action on what you have presented
  • Provide resources – PDF files, websites, books, and videos – the audience can refer to later
