1. Preparations

Preparations for writing a comprehensive business trip report begin before proceeding on a business trip. You should note down the core corporate of the business trip you expect to meet. The entire trip itinerary will focus on accomplishing this goal. The measure of the trip’s success will depend upon the details and supportive documents you provide while submitting the trip report. Continue noting down all details about your achievements as your business trip progresses. Collecting bills or receipts is an essential prerequisite to facilitate expense reporting. Platforms like Paxes can help you with planning, booking, and producing the necessary travel data and invoices needed to back your report. Remember to get snaps and video clips of important events besides documentary evidence of your achievements, like feedback forms to justify your accomplishments.

2. Headings and essential details

The heading section should provide a quick introduction to the trip report with the total cost of the business trip. Mention the core purpose in the first section of a business trip report. Include the cities and places you covered with dates. Write down the names of colleagues if they accompanied you on the trip. List the names of prospects, customers, and business associates you met on the business trip.

3. Introduction of the report

A general overview of the business trip is an essential feature of the introduction. Let the introduction outline the goal and the results of the business trip. Mention the places you covered and the people you met with the outcome. One should briefly describe the activities such as attending the exhibition stall, highlighting product benefits, meeting prospects, or attending seminars. Focus on how you accomplished the trip’s aim without providing data or supportive documents.

4. Business trip report’s body

The main section of the business report is the body. You should provide details of the activities that helped you meet your business objectives. By providing reasons, you should also reveal the goals you missed to achieve. One should add any other achievements, not part of the trip’s original objectives, in the body. You should explain how the achievement can benefit the organization.

5. Summary of the report

The summary justifies the consumption of resources to cover the trip. Share your observations by mentioning how the business trip can help the organization win more customers, increase sales revenues, or improve the company’s brand awareness. The summary should focus on the expected rise in the business to help travel managers know the ROI from the business trip. The report should include attachments like data, snaps, and customer feedback reports that will help support your accomplishments.

Your business trip is over, and now it’s time to draft up a travel report. Why does your manager ask for a business trip report? And what should a good report include? Scroll down to learn everything you need to know about how to write a travel report.

how to make business trip report

What is a business trip report? self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":Raqjm:",1)

A business trip report, or business travel report , is a document about a business trip, usually written for a manager. It’s like a memo of the trip, its purpose, learnings, and outcomes.

The meaning of a business trip report is to give an overview of the trip and justify the expenses.

With a travel report, you tell your manager (or other relevant people in the company) what your trip was about: purpose, goals, achievements, learnings, and recommendations. The purpose of a business trip can be, for example, to solidify business partnerships, prospect for new clients, or learn about the latest industry trends.

A business trip report also justifies the investment the company makes. If your employer sends you on a business trip and pays for the costs, how will it benefit from your travel?

What should a travel report include? self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R1iqjm:",1)

There isn’t one set format for a travel report. You can check if your company has a template for reporting business trips or if there are some conventions or requirements the report should follow. If not, you can find a simple business trip report template in this article.

Unless you work in a traditional industry, a travel report doesn’t have to be too formal. Your manager probably doesn't want to scan through a 20-page report.

It’s okay to keep the report brief and concise. You can skip the table of contents and executive summary and focus on the goals, outcomes, and learnings of the trip – the part that matters the most.

A simple outline for a business trip report  self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R2iqjm:",1)

If you want to keep your travel report short and sweet, you can follow this simple structure.

Basics : Your name, participants (your colleagues), travel period, and destination.

Purpose of trip : Why did you go on this trip? What were the goals?

Overview : What events did you attend? Who did you meet? What learnings did you gain?

Summary and Conclusions : A brief summary of the trip and recommendations or action points.

Expenses : You can list your expenses here or deliver your expense claim separately.

Attachments : If you claim expenses, attach receipts and invoices as proof of travel costs.

Claim travel expenses with an expense report self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R3aqjm:",1)

If you’ve paid travel expenses from your own pocket, you can claim expense reimbursement from your employer. Depending on your company’s conventions, you can either attach the expense claim to the report or deliver it separately.

More and more companies use digital tools to manage travel expenses, which means that you don’t need to claim back travel costs with a paper document (and not even with a PDF). For example, Pliant features an integration to Circula , a software designed to streamline and automate claiming and managing travel costs and allowances.

Use a business travel report template  self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R42qjm:",1)

If your company doesn’t have a fixed structure for a business travel report and you’re not sure how to go about it, here’s a template to help you get started.

You can use this template to summarize your trip and its expenses in a simple and easy-to-skim format.

Bear in mind that this isn’t an official travel report template – if there is such a thing. Feel free to edit and customize it for your needs. You can skip or add sections that you see useful. If you want to highlight something particular, add new sections, like Goals or Learnings.

How to write a travel report?  self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R52qjm:",1)

Following the structure of the template above, here’s how you write a travel report.

Start with the basics self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R5iqjm:",1)

First things first. In addition to your own name, mention any colleagues that were with you on the trip. Include the travel period and destination.

Focus on the benefits for the company  self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R62qjm:",1)

The body is the most important part of your report. You can use a structure that works best for you, but if you’re not sure what to include, here are some ideas.

You can start with the purpose . Why did you go on this trip? What were the goals? This could be, for example, to keep up with the industry trends at a conference.

Provide an overview of the trip. Who did you meet? What events did you attend? What did you learn? This is your chance to shine. Stress how the trip was beneficial for the company. Not only did you pick up new skills at a seminar, but now you can put them to use in your work for the company. You’ll want to show how sending you on this trip was a good investment.

Close with a summary and conclusions . Write a summary and revisit the key points, like your learnings, how the goals were met (or why they weren’t), and recommendations and an action plan for the next steps.

Attach a cost summary and receipts (if necessary) self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R7aqjm:",1)

Depending on your company’s travel expense policy, you can attach a cost summary of your reimbursable expenses and relevant attachments to the travel report. Attachments include receipts and invoices as proof of incurred expenses during the trip.

If you deliver an expense claim with an app or in another way established in your workplace, you don’t have to include it in the travel report.

What is an example of business travel? self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R82qjm:",1)

There are many types of business travel, ranging from conferences to trade shows to visiting international branches of the same company.

What qualifies as business travel in the eyes of the tax office varies from country to country. But usually, there’s some kind of requirement for temporary travel for work purposes.

Examples of business travel include:

Conferences and seminars

Trade shows and fairs

Travel to meet business partners, like suppliers or clients

Internal visits and meetings at different locations

Company retreats and events

Not every type of business travel requires a travel report. If you’re traveling to a company retreat or summer party to unwind and bond with your colleagues, you can skip the report.

When does a business trip require a travel report? self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":R9iqjm:",1)

Whether a business trip report is required depends on the organization and its travel policy. A travel report isn’t always necessary, so it’s best to ask your manager.

But if you claim reimbursement for business-related travel expenses, you do need to submit an expense report and receipts. This is usually required by the tax office to provide a clear audit trail of why your employer is making a (tax-exempt) payment to you. But this doesn’t mean you have to write a report on the whole trip.

Depending on the policy of your company, you might either submit an expense claim with an app or software or in another fashion that is established in your organization.

In summary self.__wrap_b=(t,n,e)=>{e=e||document.querySelector(`[data-br="${t}"]`);let s=e.parentElement,r=R=>e.style.maxWidth=R+"px";e.style.maxWidth="";let o=s.clientWidth,i=s.clientHeight,c=o/2-.25,l=o+.5,u;if(o){for(;c+1 {self.__wrap_b(0,+e.dataset.brr,e)})).observe(s)};self.__wrap_b(":Raiqjm:",1)

Business travel report policies vary from company to company. While a travel expense claim may be required by the tax office, a business trip report is usually just used for internal purposes.

In some companies or industries, lengthy reports may be the norm. But just the same, there may not be a culture of writing travel reports at all. When in doubt, ask your manager.

How to Write a Trip Report & Recap Your Company’s Investment

WRITTEN BY Jill Henning ON September 24, 2018

NBAA 2016 attendees - trip report

Before heading to your next aviation conference, you might want to consider how you’ll recap the event with a trip report.

A trip report is a communication document addressed to your aircraft owner, aviation reporting executive, director and/or members of your team.

It’s meant to review why you attended, what you learned and who you met. It will likely also include your recommendations based on your learnings. You might even include tips to prepare for next year’s event.

The Importance of a Trip Report

Why are trip reports important? For starters, your company is likely making a significant investment to send you on business travel. Whether it’s for personal or professional development reasons (or both), they’ll want to ensure that there’s a benefit.

We thought it might be helpful to share the following few tips with those planning to attend NBAA’s upcoming Business Aviation Convention & Exhibition . Hopefully, in this way, you can make the most of your company’s investment—ahead of your return. And, when you do write your trip report, you’ll have a wealth of relevant information to include.

Tips for Writing a Trip Report

Have a plan

First up, having a plan is critical to getting the most out of your event attendance. Before you go, research what sessions you’ll be attending and who you’ll be meeting with (colleagues, partners, vendors, etc.).

Be sure to ask yourself: What do I want to accomplish? To learn? Why am I attending? And how can I use my experience at the event to train/educate others when I return?

Schedule your time

If possible, use the show’s event app to schedule where you’ll be during the NBAA event. This allows you to make sure you’re using your time as wisely as possible. It also serves to let others know where you might be if they’re interested in getting hold of you.

It’s extremely helpful to use a Google Sheets app (or other recording tools) to document what you’re learning—as you learn it. You can also take notes on your iPad or laptop during sessions. Capture relevant content, products, important presentation slides or signage using your phone or iPad. Don’t forget, a picture is worth a thousand words!

Your digital documentation helps you avoid having to go back and retype everything when you return from the show.

Lastly, we recommend scanning any collected business cards into your phone using a free digital scanner. One example is the CamCard app . It’s free and will save you time retyping contact details into your Outlook, Gmail, etc.

Be specific

Try to frame what you’ve learned in terms of the benefits it provides you. Did you meet the goals you set out for yourself in your plan?

Provide specific examples of events relevant to your goals or anything that happened that will benefit your company. Discuss specifically how those benefits will help the company—for example, it might be that you are able to decrease the company’s need to hire outside vendors now that you have a particular skill you picked up at the show.

The event app is a great way to see who’s exhibiting, along with who is attending special functions. More than likely, the app will offer a messaging tool (similar to Twitter), and you maybe be able follow the official event hashtag, such as “nbaa18.” If you’re traveling solo, connecting with others online might be the perfect way to break the ice.

Use your time wisely

Be mindful of the free time you have at—and following—the event. Perhaps you can use your travel time on the trip home to document the salient points of your trip in a PowerPoint or Google doc. Doing so will ensure that you’re ready to go on the Monday after your return.

Submit expenses

An easy way to capture all your expenses is to snap photos of your receipts. Doing so will help you calculate the Return on Investment (ROI) for your attendance. List the total cost for the trip, any expected financial benefit to the company and your recommendation for the future. The more specific you can be about the benefits of your trip, the easier it is for your management team to calculate a return on their investment.

Recommendations

If the trip was worth it to you, try and list any tips for attendees who might be planning to attend the same event next year (these tips might include recommendations where to stay, how to get around, how to use the app, etc.)

As we hope these few tips will remind you, a little bit of planning and structure around your attendance at the NBAA event (or any other one, for that matter) can make a world of difference when you sit down to write a trip report. At the very least, you’ll return from the event with the satisfaction of having gotten the most out of it you can.

How about you? Do these tips spark any of your own you’d care to add? If so, we encourage you to share them

A business trip report is a document detailing what happened or what an employee did for the whole duration of the trip. The main purpose of the report is to know what the employee achieved during the trip (e.g., if they were able to close a deal or partnership). It is also used to determine what the employee learned from the trip (e.g., if they’re attending some form of training or a conference). Through the report, managers and department heads can assess if the employee followed the company’s  business travel itinerary  and travel policy . The employee’s performance during the trip is also evaluated using the report. It is then used as a basis to decide whether to send the same employee on another business trip or select a different candidate.

Before the trip, you’ll need to have a business trip report template or a conference trip report template ready. That is because the best time to start writing the report is during the business trip. If you have time, you can start documenting the little details. But it’s never wrong to write the report once you’re back in the office.

Want to write a better business trip report? Then you better check out the tips that we have gathered just for you!

A well-written business trip report is all about proper documentation. You’ll need to document all of the important details of your trip that are beneficial to the company. That includes your name, the names of your colleagues who are on the same business trip, the names of clients that you met during the trip, the exact dates of the trip, the objectives or goals of the trip, etc. And don’t forget to add a heading.

Identify which transactions make up the key activities of your trip. Write a summary of all the key transactions and make sure to highlight important information.

Make an itemized list of all your expenses, as well as what you gained during the trip. This is tough, but you can make the task lighter by using a travel  expense report template .

When it comes to writing a business report, following company policy is a must. It will help you write a business trip report that is both useful to the company and easy to understand.

For a complete business trip report, you should include the following components:

  • Name of the business trip
  • Business trip destination (include site location if going on a site visit)
  • Name of client/clients (if meeting clients)
  • Duration of the business trip
  • Participants of the business trip
  • Purpose of the business trip
  • Travel report summary
  • Highlights for the business trip
  • Business trip-related expenses and receipts
  • Insights or learnings during the trip
  • Additional comments

Business trip report samples make good reference materials or guide when writing one’s own report. It is especially useful for employees who are required to write a business trip report for the first time. The samples can also be used as a reference for writing a travel report for a school project or a field trip report for a course requirement.

An employee who just went on a business trip is required to submit a written report on what happened during the trip. Most people would make the report once they get back to the office. But it is ideal to write a business trip report during the trip. That is because the memories of what happened are still fresh, allowing you to write an accurate and comprehensive business report .

You may be asked to present your report in front of managers or department heads, so you’ll need to prepare a powerpoint presentation using a business trip report template ppt. Of course, after the presentation, you’ll still be required to send an email of your report. To do this, you can simply use a business trip report email sample as a guide. Make sure to send your report to the correct email addresses. Keep a copy of your email for documentation purposes.

With the help of the samples above, you can easily make a comprehensive and well-written business trip report. Report writing is not an easy task, but the entire process can be made simpler if you know how to utilize the resources that are available to you effectively.

How to Write a Visit Report

Last Updated: December 27, 2023 References

Whether you’re a student or a professional, a visit report helps you document the procedures and processes at an industrial or corporate location. These reports are fairly straightforward. Describe the site first and explain what you did while you were there. If required, reflect on what you learned during your visit. No additional research or information is needed.

Things You Should Know

  • Check the report requirements before writing down general information about the visit. Explain the site’s purpose, operations, and what happened during the visit.
  • Identify the site’s strengths and weaknesses. Add recommendations for improvement and describe what you learned there if you’re a student.
  • Give your report a title page, write clearly and objectively, and include relevant pictures in the report. Proofread it carefully before submitting it.

Describing the Site

Step 1 Look over the requirements of your visit report.

  • Reports are usually only 2-3 pages long, but in some cases, these reports may be much longer.
  • In some cases, you may be asked to give recommendations or opinions about the site. In other cases, you will be asked only to describe the site.
  • Ask your boss or instructor for models of other visit reports. If you can't get a model, look up samples online.

Step 2 Start the paper with general information about the visit.

  • If you visited a factory, explain what it is producing and what equipment it uses.
  • If you visited a construction site, describe what is being constructed and how far along the construction is. You should also describe the terrain of the site and the layout.
  • If you’re visiting a business, describe what the business does. State which department or part of the business you visited.
  • If you’re visiting a school, identify which grades they teach. Note how many students attend the school. Name the teachers whose classes you observed.

Step 4 Explain what happened during the visit in chronological order.

  • Who did you talk to? What did they tell you?
  • What did you see at the site?
  • What events took place? Did you attend a seminar, Q&A session, or interview?
  • Did you see any demonstrations of equipment or techniques?

Step 5 Summarize the operations at the site.

  • For example, at a car factory, describe whether the cars are made by robots or humans. Describe each step of the assembly line.
  • If you're visiting a business, talk about different departments within the business. Describe their corporate structure and identify what programs they use to conduct their business.

Reflecting on Your Visit

Step 1 Describe what you learned at the site if you’re a student.

  • Is there something you didn’t realize before that you learned while at the site?
  • Who at the site provided helpful information?
  • What was your favorite part of the visit and why?

Step 2 Identify the strengths and weaknesses of the site.

  • For example, you might state that the factory uses the latest technology but point out that employees need more training to work with the new equipment.
  • If there was anything important left out of the visit, state what it was. For example, maybe you were hoping to see the main factory floor or to talk to the manager.

Step 3 Provide recommendations for improvement if required.

  • Tailor your recommendations to the organization or institution that owns the site. What is practical and reasonable for them to do to improve their site?
  • Be specific. Don’t just say they need to improve infrastructure. State what type of equipment they need or give advice on how to improve employee morale.

Formatting Your Report

Step 1 Add a title page to the beginning of your report.

  • If you are following a certain style guideline, like APA or Chicago style, make sure to format the title page according to the rules of the handbook.

Step 2 Write in clear and objective language.

  • Don’t just say “the visit was interesting” or “I was bored.” Be specific when describing what you learned or saw.

Step 3 Include any relevant pictures if desired.

About This Article

Madison Boehm

To write a visit report, start by including a general introduction that tells your audience where and when you visited, who your contact was, and how you got there. Once you have the introduction written out, take 1 to 2 paragraphs to describe the purpose of the site you visited, including details like the size and layout. If you visited a business, talk about what the business does and describe any specific departments you went to. Then, summarize what happened during your visit in chronological order. Make sure to include people you met and what they told you. Toward the end of your report, reflect on your visit by identifying any strengths and weaknesses in how the site operates and provide any recommendations for improvement. For more help, including how to format your report, read on! Did this summary help you? Yes No

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Start with a form template

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Start with a blank document

Select Blank document .

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu.

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control .

Click or tap where you want to insert the control.

Rich text control button

To learn about setting specific properties on these controls, see Set or change properties for content controls .

Insert a picture control

A picture control is most often used for templates, but you can also add a picture control to a form.

Picture control button

Insert a building block control

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

building block gallery control

Select Developer and content controls for the building block.

A boomer Uber driver's business had over $100,000 in earnings, but he estimates over half of that was lost to expenses and commissions. He shares why he plans to keep driving.

  • A boomer Uber driver's business had over $100,000 in 2023 revenue, but he estimates pocketing far less.
  • He said Uber commissions alone ate up $38,000, with driving expenses further cutting into profits.
  • The driver shared why he planned to keep working for Uber .

Insider Today

Dean Ceran spends a lot of time behind the wheel of his Kia Forte .

Since 2016, the 66-year-old has put over 410,000 miles on the vehicle, more than 90% of which came while driving for Uber , he told Business Insider.

In a typical week, Ceran works between 50 and 60 hours. He drives between 7:30 a.m. and 5:30 p.m. every weekday except Wednesday — his off day — keeps the same schedule on Saturdays, and then works between 11 a.m. and 5:30 p.m. on Sundays. In his seven years as a driver, he's completed over 26,000 trips.

"The pros are the money I earn and the people I meet along the way," Ceran said of Uber driving in Virginia. "The cons are the time it takes to keep track of all the expenses."

These expenses do more than just take up his time — they take a significant bite out of his earnings, which surpassed $103,000 in 2023, according to a tax document viewed by BI. Just how much of a bite can be hard to calculate, but after Uber took its cut and his driving expenses were accounted for, he estimates bringing in less than $50,000 in profits.

Even so, Ceran told BI that he had no plans to stop driving and that while it had become a bit harder to make money in recent years, he's still reaching his financial goals.

"Even after expenses, I am still making a nice living driving with Uber," he said.

Ceran is one of many Uber and Lyft drivers actively tracking their ride-hailing earnings and expenses to make sure the gig is worth their time. But the calculations drivers use — and what figures they value when evaluating their success — vary considerably. Some have daily trip and earnings goals , while others care more about their per-mile or per-hour earnings. Some are focused on their profitability after vehicle expenses , while others monitor their taxable income .

In recent months, several drivers have told BI that ride-hailing has become less profitable than it used to be , which many have attributed to the rising number of drivers and changes to company algorithms they say have resulted in lower pay . Some drivers said closely monitoring their earnings was more important than ever.

Ceran shared his top strategy for making money and what motivated him to stick with ride-hailing.

How commissions and driving expenses reduce drivers' profits

For tax purposes, Ceran reported roughly $83,000 in business expenses for 2023, of which $38,000 consisted of Uber's booking and service fees — effectively the commission the company takes from drivers' earnings. Deducting $38,000 from his $103,000 in gross pay took Ceran's Uber income for both tax and practical purposes to roughly $65,000.

But those aren't the only expenses. For drivers, the cost of using their vehicles is a business expense that reduces their profits.

When filing their taxes, drivers can calculate their business expenses in one of two ways . First, they can input their gas, insurance, maintenance, depreciation, and other vehicle expenses in a given year, but these can be tricky to keep track of — many drivers use their vehicles for both personal and business purposes. Ceran estimated that in 2023, he spent $13,000 on maintenance, $9,000 on gas, $2,000 on car insurance, and $800 on tolls.

Using the roughly $25,000 in aforementioned expenses, his total profits would fall to roughly $40,000.

But Ceran, like many drivers, chose the second option for calculating his taxable income: the IRS's standard mileage deduction .

According to the IRS website, the standard mileage rate is "based on an annual study of the fixed and variable costs of operating an automobile." It tends to be the easier option for drivers and often produces a higher expense figure than option one — meaning less of drivers' take-home pay is taxed.

In 2023, drivers could deduct $0.65 for every business mile they drove as a vehicle expense. This figure varies by year but has generally grown over time.

The deduction is intended to account for driving expenses such as gas and maintenance, so if a driver chooses this option, they're not supposed to deduct these expenses elsewhere on their tax returns.

"You have to choose between using the standard mileage deduction or actual car expenses like insurance, maintenance, etc.," Lisa Greene-Lewis, a certified public accountant and tax expert with TurboTax, told BI.

There are some exceptions to this — including expenses like tolls, parking, and complimentary water for customers — that drivers can deduct in addition to their mileage deductions, Greene-Lewis said.

Given that Ceran drove roughly 67,000 miles for Uber in 2023, his mileage deduction was about $44,000.

With Uber's $38,000 commission and the $44,000 in mileage deductions subtracted from his $103,000 in gross earnings, he reported about $21,000 in taxable business profits. Take out $800 worth of tolls, and you get about $20,000.

In terms of take-home pay, his true vehicle expenses were probably closer to the $25,000 estimate he provided. For some drivers, the ability to reduce their taxable income and pay less in taxes is a perk of the gig.

Accepting nearly every ride has helped him make money

Even before he first tried Uber, Ceran had plenty of experience driving for a living. He said he used to drive town cars and limousines in the '80s and '90s.

His first year driving Uber, 2016, was more eventful than anticipated: He got caught in Hurricane Matthew while driving in Norfolk, Virginia.

"I was actually stuck in door-deep water for a couple of hours and didn't get towed for 12 hours," Ceran said.

In the years following this incident, he said his Uber hours fluctuated widely but that he'd been doing it full-time since 2019.

Ceran's top strategy is to accept nearly every trip — his acceptance rate is 99%. When one ride ends, he said, he tries to get another as soon as possible.

"The idea is to let the app keep giving me trips and keep accepting them so I keep rolling and keep making money," he said.

Some drivers have opted for a different approach .

The biggest factor that has negatively influenced his earnings has been taking time off for vehicle repairs — he said he'd gotten in a few accidents over the years that weren't his fault.

The primary reason Ceran continues to drive is that he's satisfied with the income, but he said the gig also had social benefits .

"I love the interaction with the wide variety of people that request Uber rides," he said.

Russia-Ukraine latest: Vladimir Putin blamed for death of Alexei Navalny - as people told not to protest in Moscow

The jailed Putin critic Alexei Navalny has died in prison, according to Russian officials. Western leaders have condemned Vladimir Putin's regime and say the Russian president should be held accountable for the death.

Russian police have been arresting mourners and journalists at spontaneous gatherings for Alexei Navalny, according to reports.

People were filmed being grabbed by officers and put in the back of vans in St Petersburg by RusNews, including their reporter, Elina Kozich.

Novaya Gazeta said their photographer Alexei Dushutin was detained in the cityat the Memorial to Victims of Political Repression.

Earlier this evening, Associated Press photographers published images of people laying flowers at the site.

In Moscow, video appeared to show police struggling to pin down a protestor at a makeshift memorial while onlookers threw snow.

The footage, taken by freelance journalist Alec Luhn, also showed officers removing flowers from a monument in the city of Yekaterinburg.

The state prosecutor's office earlier told citizens of Moscow that any participation in events related to Navalny's death could lead to arrest.

Moving away from our coverage of Alexei Navalny for a moment, and Foreign Secretary David Cameron has responded to a US politician who told him to "kiss my ass" when he urged Congress to pass a Ukrainian aid bill.

Lord Cameron wrote an article for US political website The Hill in which he called on Washington to vote through £49bn in aid for the sake of global security, saying he was dropping "all diplomatic niceties".

"I do not want us to show the weakness displayed against Hitler in the 1930s. He came back for more, costing us far more lives to stop his aggression," he said.

Right wing Republican Marjorie responded by telling Sky News: "David Cameron needs to worry about his own country and, frankly, he can kiss my ass."

Lord Cameron has laughed off the rebuke, telling an audience at the Munich Security Conference: "I am very understanding of other countries' politics and when I say to American Congressmen and women, please vote for this bill, please release this money for Ukraine, I do it hugely respecting the pressures they are under politically."

He said the pair had met previously: "I went to the Republican study group lunch, talking about exactly this issue. We didn't get anatomical at that stage, it was very early in our relationship."

While Alexei Navalny's death has been covered extensively outside of Russia, domestic audiences have been watching very different coverage.

The loss of Vladimir Putin's fiercest critic and the country's de facto leader of the opposition was granted just seconds across TV networks in the country.

President Putin himself failed to mention the incident during a busy day of TV appointments.

Journalist Francis Scarr, who monitors Russian TV for the BBC, laid out the sparse coverage in a series of posts on X.

State TV presenter Olga Skabeyeva spent approximately 30 seconds covering Mr Navalny's death during the course of five hours of airtime, he reported.

It took more than 40 minutes for news channel Russia 1 to mention the death, spending 35 seconds on the incident.

NTV news saw the presenter read a report after 32 minutes.

And when a guest on a talk show tried to offer his condolences, presenter Andrei Norkin cut him off.

By James Matthews , US correspondent

A president's regard for a political warrior shone through the White House news conference.

Joe Biden called Alexei Navalny a "powerful voice for the truth" who stood up to corruption and violence perpetrated by Vladimir Putin, before adding that "Putin is responsible".

Mr Navalny has always been prominent on the US agenda with regard to Vladimir Putin's Russia - the personification of the oppressed there, a real life illustration of the politics of autocracy and its consequences.

President Biden raised the subject of Mr Navalny with Putin himself at a Geneva summit in 2021. Then, he told journalists the consequences for Russia would be "devastating" for Russia if he died in jail.

He didn't elaborate on what that would mean, but spoke of Russia's "ability to influence other nations in a positive way".

Four years on, we may have Putin's response - devastating, in itself, on a number of levels.

In 2020, the United States imposed sanctions and visa restrictions on four Russians involved in the poisoning of Alexei Navalny.

Four years on, the world is different – it has moved past the relative simplicity of sanctions against "fringe" players.

The complexity of war, and US involvement – in Ukraine and the Middle East - will shape America's response.

Biden will hear the cry from the free world for a robust reaction but he will calibrate carefully.

Nine months from an election, he doesn't need the complications of a grave geopolitical shift.

The president said the United States is "looking at a whole number of options".

For option number one, he turned towards the US Congress.

The Trump wing of the Republican party remains staunch in its opposition to $60bn in Ukraine funding.

The question is whether the death of Alexei Navalny, and everything that says about Putin, moves the debate.

A statement from Mike Johnson, the speaker of the House of Representatives, suggested it just might.

He is the man who can facilitate the funding's passage through Congress and, in his response to Navalny's death, said this:

"As Congress debates the best path forward to support Ukraine, the United States, and our partners, must be using every means available to cut off Putin's ability to fund his unprovoked war in Ukraine and aggression against the Baltic states."

It is no funding guarantee but, on the Trump wing of the Republican party, it does reflect a sharpened view of Moscow and its influence.

It is significant, amidst a diminished appetite for financing foreign wars and a diluted assessment of the dangers posed by Putin.

Tributes have been laid and vigils held for Alexei Navalny across Europe - including in Russia.

People laid flowers at the Wall of Sorrow, in Moscow, a memorial to victims of political repression under Joseph Stalin.

In another Russian city, St Petersburg, pictures of Mr Navalny were surrounded by more flowers at the Memorial to Victims of Political Repression under the Soviet Union.

Protests and a candlelit vigil took place outside the Russian embassy in Riga, Latvia.

Another Russian embassy, this time in Prague, was the site of another remembrance gathering.

The scene was repeated outside the Russian embassy in Vilnius, Lithuania.

And the embassy in Tbilisi, Georgia.

Joe Biden has begun addressing Russian reports of Alexei Navalny's death.

"I am both not surprised, and outraged, by the news," says Mr Biden.

Mr Navalny stood up "bravely" to the corruption and violence within the Putin administration, the president says.

He says he has no reason not to believe the reports of his death.

"Make no mistake, Putin is responsible for Navalny's death" and it is "yet more proof of Putin's brutality".

"This tragedy reminds us of the stakes of this moment. We have to provide the funding so Ukraine can keep defending itself," says Mr Biden.

He says: "History is watching the House of Representatives".

Hardline Republicans are holding up a vital aid bill for Ukraine in the Congressional chamber, after it passed the Senate with bipartisan support.

Mr Biden goes on to criticise remarks made by Donald Trump that he would not defend some NATO allies from Russia if elected.

"Putin and the whole world should know. If any adversary were to attack us, our NATO allies would back us, and if Putin were to attack a NATO ally, the US will defend every inch of NATO territory."

The president had said after meeting Vladimir Putin in June, 2021 that Mr Nalvany's death would risk devastating consequences for Russia.

Asked what consequences Mr Putin will face, Mr Biden says: "That was three years ago, in the meantime they have faced a hell of a lot of consequences."

He points to the sanctions against Russia and the number of Russian soldiers who have been killed in Ukraine.

He added he was looking into possible further sanctions against Russia.

Alexei Navalny was "highly likely" to have been killed in prison, his allies say.

Kira Yarmysh, who was Mr Navalny's secretary, added his lawyer will arrive at the Kharp settlement where his prison is located early on Saturday.

Ivan Zhdanov, meanwhile, said it was "not a regular death" - but a "deliberate political murder", though he did not cite evidence.

The Kremlin denies any involvement in the death, but recent history suggests Vladimir Putin's regime has form for silencing opponents by any means necessary (see 3.28pm).

Russian authorities say an initial probe has been launched, despite the UN calling for an independent investigation.

Joe Biden is set to deliver remarks soon on the death of Alexei Navalny.

Mr Biden will speak as he tries to stop Republican hardliners holding up vital aid for Ukraine in Congress.

The top Republican in Congress, House of Representatives speaker Mike Johnson, has not put a Senate bill for new funding up to a vote.

The EU has demanded Russia release all political prisoners immediately.

Vladimir Putin "slowly murdered" Mr Navalny, said European Commission president Ursula von der Leyen and vice president Josep Borrell in a joint statement.

"We will spare no efforts to hold the Russian political leadership and authorities to account."

Alexei Navalny was ill over a long period in prison, said defence and security analyst Michael Clarke .

Guards purposely confined him with other inmates who were unwell, Clarke said.

Stomach and respiratory issues were reported, but he "certainly didn't look as if he was at death's door" during yesterday's court session.

IK3 prison, in Kharp, where he was held, was a "very harsh prison", with temperatures dropping to -30C in the winter, Clarke explained.

"During the time he was incarcerated, he was put in solitary confinement 25 times.

"When he wasn't in solitary, he was put in with prisoners who were ill, and he developed quite a lot of ailments."

Mr Navalny also went on hunger strike, Clarke added.

"Undoubtedly, he wasn't a terribly healthy person because his health was being run down at this place, but yesterday he looked fairly healthy."

LOS ANGELES (AP) — Will she make it in time? Intrepid flight trackers online seem to think so.

On social media , fans of Taylor Swift and aviation journalists believe they’ve identified Swift’s private jet, labeled “The Football Era.” It arrived from Tokyo’s Haneda Airport to Los Angeles’ LAX airport just after 3:30 p.m. local time.

Odds were always high that a Super Bowl in Las Vegas would be wild. The Chiefs and 49ers — and Taylor Swift, of course — are a good bet to deliver. AP NFL writer Rob Maaddi has more.

Her transportation plans onward to Las Vegas, where her boyfriend, NFL star tight end Travis Kelce, will play in Sunday’s Super Bowl, have yet to be revealed.

Representatives for Swift and VistaJet, the world’s only global private aviation company, did not immediately respond to AP’s request for comment.

Swift’s last song was still ringing in the ears of thousands of fans at the Tokyo Dome on Saturday night when the singer rushed to a private jet at Haneda airport, presumably embarking on an intensely scrutinized journey to see Kelce.

“We’re all gonna go on a great adventure,” Swift told the crowd earlier. She was speaking of the music, but it might also describe her race against time, which was to cross nine time zones and the international date line.

With a final bow at the end of her sold-out show, clad in a blue sequined outfit, the crowd screaming, strobe lights pulsing, confetti falling, Swift disappeared beneath the stage and her journey to the other side of the world began.

For weeks, scrutiny over Taylor Swift’s travel in private jets has been bubbling up on social media. But should the singer be the only one taking the heat? AP’s Natalia Gutiérrez has more.

Her expected trip to see Kelce’s Kansas City Chiefs play the San Francisco 49ers in Las Vegas has fired imaginations, and speculation, for weeks.

“I hope she can return in time. It’s so romantic,” said office worker Hitomi Takahashi, 29, who bought matching Taylor Swift sweatshirts with her friend and was taking photos just outside the Tokyo Dome.

About an hour after the end of the concert, AP journalists were near Haneda’s private jet area when minivans drove up and someone went inside the gate area, as four to five people carrying large black umbrellas obstructed the view of the person.

There was plenty of evidence at the concert of the unique cultural phenomenon that is the Swift-Kelce relationship, a nexus of professional football and the huge star power of Swift. In addition to people wearing sequined dresses celebrating Swift, there were Kelce jerseys and hats and other Chiefs gear.

Some spent thousands of dollars to attend the pop superstar’s concerts this week.

“Romeo, take me somewhere we can be alone,” Swift sang.

She won’t find that Sunday in Las Vegas when a sold-out crowd, not to mention millions around the world, will be watching her.

To call the worldwide scrutiny of Swift’s travels intense is an understatement.

Fans have tracked her jet. The planet-warming carbon emissions of her globe-trotting travels have been criticized. Officials have weighed in on her ability to park her jet at Las Vegas airports.

Even Japanese diplomats have gotten into the act. The Japanese Embassy in Washington posted on social media that she could make the Super Bowl in time, including in their statement three Swift song titles — “Speak Now”, “Fearless” and “Red.”

“If she departs Tokyo in the evening after her concert, she should comfortably arrive in Las Vegas before the Super Bowl begins,” it said.

Takahashi, the fan at the Tokyo Dome, was aware of the criticism Swift has faced about her private jets but said the singer was being singled out unfairly.

“Many other people are flying on business, and she is here for her work. She faces a bashing because she is famous and stands out,” Takahashi said.

Swift has been crisscrossing the globe this week.

Before coming to Asia, she attended the Grammys in Los Angeles, winning her 14th Grammy and a record-breaking fourth Album of the Year award for “Midnights.” The show was watched by nearly 17 million people . She also made a surprise announcement that her next album is ready to drop in April.

Then the four concerts in Tokyo, and now the trip back to the States. She has followed Kelce for much of the Chiefs’ season .

Swift is expected to fly to Australia later this week to continue her tour.

“This week is truly the best kind of chaos,” she posted Wednesday on Instagram.
