Creating, Editing and Saving Presentations using PowerPoint Online

You can access a free online version of Microsoft PowerPoint and create simple presentations on the fly or you can open presentations you've created in the desktop version of PowerPoint online and collaborate with colleagues. All you need is a Microsoft account (which is also free) and a password. PowerPoint Online is a light version of PowerPoint and runs in your web browser so you don't need to install any software to use it. The free online version is available without using SharePoint and you don't need Office 365.

Since the online version is free, it has limited functionality (for example, you can't insert a video from your hard drive and you have limited animation options). For those already using the desktop version of PowerPoint, creating a presentation in the online version is quite similar.

Accessing PowerPoint Online

To access the free version of PowerPoint Online:

  • Go to office.com to get started.
  • Click on the PowerPoint icon/tile.
  • Sign in with a Microsoft account and password or create a new free account. If you have Hotmail, you can sign in with that account as your ID.
  • Click on a template. PowerPoint creates the presentation. It is saved automatically in a cloud storage location called OneDrive.
  • If you're familiar with the desktop version of PowerPoint, you'll be able to create, edit and format slides easily as the interface is very similar to the desktop version. You'll be able to add limited animations and transitions but you won't be able to add audio or video from your hard drive.
  • You can change the design theme at any time by clicking on the Design tab on the Ribbon and choosing another theme.

Switching to the desktop version of PowerPoint

You can switch over to the full desktop version of PowerPoint (assuming it's installed) to take advantage of all of the features in PowerPoint.

To switch to the desktop version:

  • In a presentation in PowerPoint Online, click on Open in PowerPoint in the Ribbon. A message asks you to confirm that you wish to open the file. Click on OK.
  • A message may appear asking you to login with your Windows credentials. Complete and click on OK.
  • A message may appear asking you to choose the application to open the file. Select Microsoft Office and your current version, check Remember my choice for ms-powerpoint links and click on OK.

Saving an online PowerPoint presentation in OneDrive

Presentations created with the online version of PowerPoint are saved automatically on OneDrive, but you'll likely want to save the file with a specific name.

To save a presentation with a specific name in PowerPoint Online:

  • Click on the File tab on the Ribbon.
  • Choose Save As and then click on the Save As icon and enter a name. If necessary, choose a location in OneDrive.
  • Click on Save. The file will be saved in your OneDrive cloud storage location. All users with a Microsoft account are provided with a OneDrive storage account. The size of the OneDrive storage varies depending on the type of account.

Saving a PowerPoint presentation on a desktop computer

If you want to save your presentation on your desktop computer, you'll need to download a copy.

To save a presentation on your desktop computer:

  • Choose Save As and then click on Download a Copy. The copy will be placed in your Downloads folder on your c: drive (if pop-ups are disabled in your browser). If pop-ups are enabled, you will be able to save a copy to a specific folder.
  • Enter a name for the presentation.
  • Navigate to the desired location (if pop-ups are enabled in your browser).
  • Click on Save. You will now be able to open the file with the desktop version of PowerPoint.

Opening a PowerPoint presentation saved in OneDrive

To open a presentation saved in OneDrive:

  • If you're not logged onto Office Online, go to office.com and click on the PowerPoint icon/tile and then sign in with a Microsoft account and password.
  • Click on Open. A menu will appear with recent documents. Click on one of the presentations or click on More from OneDrive to choose another file. In OneDrive, click on Documents and then click on the desired file.
  • Click on Edit Presentation in the Ribbon and then Edit Presentation with PowerPoint Online.

The free online version of PowerPoint does have limited functionality if you're creating a presentation in that environment, but you can open a presentation created in the desktop version of PowerPoint and make minor editing changes online without losing functionality.

Note: Since this is an online version, features and functionality will change.

PowerPoint for the web

PowerPoint for the web (formerly PowerPoint Web App) extends your Microsoft PowerPoint experience to the web browser, where you can work with presentations directly on the website where the presentation is stored. Microsoft 365 customers with Microsoft 365 for the web can view, create, and edit files on the go.

The PowerPoint Editor is a web front-end component that creates a browser-based editing surface, which lets users work on documents without losing fidelity.

If you select the Open in PowerPoint button on the PowerPoint for the web toolbar, the presentation opens in the PowerPoint desktop app (if Microsoft PowerPoint 2010 or later is installed on the computer).

Alignment, bullets, numbers

With PowerPoint for the web, you can change paragraph alignment, apply bullets or numbering, and change the level of bulleted or numbered text. Learn more about the differences between using a presentation in the browser versus the PowerPoint desktop app .

Apply basic transitions and animations

Choose from a gallery of animation and transition effects. PowerPoint for the web supports eight transitions and 37 animations. Additional animations and transitions not supported by PowerPoint for the web are preserved in the presentation and displayed in the slide show, but they can't be modified in PowerPoint for the web. Apply rich formatting to text, shapes, and pictures

Not available in PowerPoint for the web. Advanced formatting features, such as more colors, gradients, eyedropper, effects, and styles, are available in the PowerPoint desktop app. With PowerPoint for the web, you can add a text box or choose from a gallery of shapes and apply styles, which define fill, outline, and shadow effects.

Apply themes and theme variants

Choose from a gallery of built-in themes and variants when you add a new slide to the presentation. Themes not supported by PowerPoint for the web are preserved in the presentation, but the ability to modify themes is not available in PowerPoint for the web. Office add-ins

PowerPoint for the web only supports content add-ins for Office. Content add-ins integrate web-based features as content that can be shown in line with a presentation. Learn more about types of add-ins for Office .

Arrange objects

Broadcast slide show

The PowerPoint desktop app is required to broadcast a slide show to a remote audience through PowerPoint for the web. Viewers can watch lives presentations through PowerPoint for the web, regardless of whether they have the PowerPoint desktop app installed. Learn more about broadcast slide show .

With PowerPoint for the web, you can cut, copy, and paste content in a presentation. A user can copy and paste text between Microsoft 365 for the web programs, as well as between Microsoft 365 for the web and the Microsoft Office desktop apps on the computer. Create and manage slides

Create custom animation

PowerPoint for the web includes a gallery of animation effects. Animations not supported by PowerPoint for the web are preserved in the presentation and displayed in the slide show, but they can't be modified in PowerPoint for the web. Design tools, advanced

Not available in PowerPoint for the web. Advanced design features, such creating slide masters and modifying layouts, are only available in the PowerPoint desktop app. With PowerPoint for the web, you can use your own template file as the basis for creating new files or choose from a predefined list of themes.

Dropbox is a file hosting service that offers cloud storage, file synchronization, personal cloud, and client software.

Embed presentation on web or blog page

With PowerPoint for the web, you can embed presentations on websites or blogs so that anyone can view your information even if they don't have the Microsoft PowerPoint desktop app. Embedded viewers show animations, transitions, and audio/video—the same as full fidelity reading view. Font downloading and formatting

The font service is a CDN based solution to ensure Office applications are able to render documents and presentations in full fidelity by downloading the required fonts to the local machine.

When sharing PowerPoint presentations with recipients via PowerPoint for the web, only use the fonts detailed in the cloud fonts list here . Why? These fonts are available in the cloud and are downloaded as needed and installed on our servers. Other fonts, including locally installed fonts not on this list and embedded fonts, will not be installed on our servers and will be replaced with fallback fonts, resulting in content reflow and formatting issues.

PowerPoint for the web lets you apply bold, italics, underline, font, size, and color to text. You can also use the Format Painter to copy the format of entire shapes.

To use your organization’s custom font on PowerPoint for the web, upload your font as an Organization Asset Library .

Full fidelity reading view

View presentations as they were intended to be seen—showing animations, transitions, and audio/video.

Full ink support

Ink can't be inserted in PowerPoint for the web, but PowerPoint for the web displays them as expected.

PowerPoint for the web supports eight transitions and 37 animations. For a larger selection, use the PowerPoint desktop app.

Headers and footers

Headers and footers, including date and slide numbers, can't be inserted, edited, or deleted in PowerPoint for the web, but PowerPoint for the web displays them as expected. Learn more about the differences between using a presentation in the browser versus the PowerPoint desktop app .

Insert, edit, and follow hyperlinks. Bookmark links work, but can't be edited in PowerPoint for the web.

Insert online video

Video and audio content plays in Reading view and Slide Show, with a file size limit of 100 MB. Online video can be inserted from YouTube, and media controls can be resized, moved, and deleted in PowerPoint for the web. But to insert audio and video other than YouTube, you need the Microsoft PowerPoint desktop app.

Integration with Excel for charts

Not available in PowerPoint for the web. With PowerPoint for the web, you can view Excel charts in an existing presentation, but you can't edit or insert an Excel chart in a presentation using PowerPoint for the web. Learn more about copying an Excel chart to PowerPoint .

Navigation - slide sorter

Slide sorter view, which gives you a view of your slides in thumbnail form, makes it easy to sort and organize your slides. You can use slide sorter view to organize your slides, add sections, and sort slides into different categories.

Offline viewing and authoring

PowerPoint for the web is launched from a web browser and relies on an internet connection. To access presentations offline, Microsoft PowerPoint desktop app must be installed on your computer and used to view and edit slides.

Picture cropping

Improve the framing of a subject in a picture with the cropping tool. Simply click one of the cropping handles at the edge of the picture and drag it until you achieve the picture you want.

With PowerPoint for the web, you can insert pictures stored on your computer, or insert pictures from Bing Images. You can move, resize, and crop pictures, and apply a number of picture styles. More sophisticated features for working with pictures, such as applying effects, are not available in PowerPoint for the web. You can't create screenshots in PowerPoint for the web, but screenshots that are in a presentation display as pictures in PowerPoint for the web. Present online through Skype for Business or the Office Presentation Service

Not available in PowerPoint for the web. Microsoft PowerPoint desktop app lets you deliver your presentations using the Office Presentation Service, a free, public service that allows others to follow along in their web browser. Learn more about Office Presentation Service .

Presenter view

Not available in PowerPoint for the web. Only Microsoft PowerPoint desktop app allows a presenter a behind-the-scene control of the presentation flow, notes, annotations, and zooming tools. PowerPoint for the web does not support these features.

Print to PDF

With PowerPoint for the web, you can print your presentation to a PDF reader, where all the layout and formatting of your slides will print the way you expect. Learn more about basic tasks you can do using PowerPoint for the web .

Proofing tools

You can check spelling and set the proofing language, using the built-in dictionary with PowerPoint for the web. But PowerPoint for the web does not use a custom dictionary and does not include translation or a thesaurus.

Real-time co-authoring

Multiple authors can work simultaneously in PowerPoint for the web and PowerPoint 2016. Real-time presence helps you see where your co-authors are working in the presentation so that you don't create conflicts as you edit, and you can see changes as they're being made. PowerPoint 2013 supports simultaneous editing, but there is no presence indication, and changes can't be seen by multiple authors until the document is saved. Reviewer tools, advanced

Not available in PowerPoint for the web. Advanced reviewer features, such as merge conflicts and compare presentations, are only available in the PowerPoint desktop app. With PowerPoint for the web, you can view, add, edit, or delete comments.

Rights management: Apply and consume IRM and password protection

Not available in PowerPoint for the web. PowerPoint for the web displays presentations that are protected with Information Rights Management (IRM). However, these presentations can't be edited in the browser, and you can't create IRM-protected presentations in PowerPoint for the web. PowerPoint for the web can't open presentations that are digitally signed or encrypted with a password.

Run slide show

With PowerPoint for the web, you can run your presentation with just a web browser and an internet connection. Learn more about basic tasks you can do using PowerPoint for the web .

Save as or Download a copy

PowerPoint for the web saves your work every time you make a change. There is no Save command. You can download a copy, but you must have the Microsoft PowerPoint desktop app to edit a local copy.

Word Art and charts can't be inserted in PowerPoint for the web, but PowerPoint for the web displays them as expected. In Editing view, edit and format text. If you want to apply text effects to Word Art, you'll need the Microsoft PowerPoint desktop app.

If your presentation is saved in a SharePoint document library, then your presentation is online and you can share it by sending a link instead of an email attachment. People with proper permissions can view it in their web browser or mobile device. Learn more about sharing a presentation .

PowerPoint for the web plays slide shows in a full-screen window. Press the spacebar to advance the slides. Slide animations play, but only Fade and Wipe transitions between slides are supported. You can insert SmartArt, switch to a different layout or color scheme, apply SmartArt styles, and edit text with PowerPoint for the web. Learn more about the differences between using a presentation in the browser versus the PowerPoint desktop app .

Table creation, editing, and formatting

Tables can be created and edited in PowerPoint for the web, and PowerPoint for the web supports most table functions. When you need to accomplish something in PowerPoint for the web but don't know how, you can use the Tell Me search feature to quickly find what you're looking for. Tell Me understands what you're trying to accomplish and helps you do it faster by making suggestions.

Undo and redo

Undo (Ctrl + Z) and redo (Ctrl + Y) an infinite number of recent actions during the current editing session in the active presentation. If the editing session times out or if you switch to Reading View for more than 30 seconds, the undo history is reset. Learn more about keyboard shortcuts in PowerPoint for the web .

View and add comments

If your files are stored on SharePoint Online or OneDrive for Business, you can add, edit, or delete comments.

If your files are stored on OneDrive, you can add, edit, or delete comments while in Editing View, and you can view and update comments while in Reading View.

With PowerPoint for the web, notes for each slide can be displayed or hidden. You can also add notes in Edit mode.

WYSIWYG viewing

Edit your presentation in a form closely resembling its appearance when printed or displayed as a finished product.

How to Create a Presentation with PowerPoint Online

An online version of PowerPoint was introduced in 2010, a few years after the Google Docs release, which came out as early as 2007. Over the years, the product, along with other Microsoft Office apps, underwent major changes, making it more user-friendly and feature-rich for end users.

Given the rise of inter-device connectivity and cloud support, tools like Microsoft 365, particularly its Word, Excel, and PowerPoint web-based counterparts, have considerably increased their capabilities, matching the performance of desktop versions. In this article, we will talk about PowerPoint Online, also called PowerPoint for Web, and how it can help presenters craft presentations and access them on the go wherever they log in.

Be it online collaboration, cloud storage, or access to version history, you can get native PowerPoint features via a web-based version of PowerPoint without the need to worry about compatibility issues. Furthermore, unlike Google Slides or other web-based variants of PowerPoint, PowerPoint for the web helps access native PowerPoint features without causing compatibility issues such as incorrect display of certain themes or support for various animations available in the offline version.

OneDrive Integration

The integration of PowerPoint for the web with OneDrive allows instantly storing, sharing, and accessing different versions of a file using the cloud storage support of OneDrive.

Easy Sharing

The OneDrive integration enables the online version of PowerPoint to be used for instantly sharing presentations online using a link with a specific access level (view only or editing privileges).

Online Collaboration

Version History

PowerPoint files saved with the web version come with a version history, where you can access older file versions to restore according to need. This feature is also available for the offline version, which you must turn on upload to OneDrive. In other words, version history is only supported for PowerPoint files that are saved online.

Since you only need a web browser and a Microsoft account to access PowerPoint Online, there are no issues with having a compatible device to use the app. This means you can access PowerPoint Online using any device that can run a modern Internet browser.

PowerPoint for the web is among the few platforms that provide accessibility features for persons with disabilities, such as image ALT text and support for screen readers.

To get started, go to Office.com  or powerpoint.office.com and select the PowerPoint icon to access PowerPoint for the web. You will require a Microsoft account to log in.

Once logged in, you can create a new PowerPoint presentation or upload one from your device. All you need for accessing the web version of PowerPoint is a modern Internet browser and a device that can support it. This web-based version of PowerPoint works with all commonly used browsers and their variants, including Chrome, Mozilla Firefox, Microsoft Edge, Safari, Opera, and others.

From Office.com, you can create new PowerPoint presentations from scratch or via a template, upload new ones, or open an existing one saved to OneDrive.

All PowerPoint presentations saved from a device are automatically uploaded to OneDrive and can be accessed via PowerPoint’s online version. As mentioned earlier, you can upload and save presentations and access them anytime.

You can toggle between the classic and single-line ribbon interface to suit your preferences. The Ribbon menu can also be adjusted to stay available or hidden periodically.

Naming Your Presentation

It is best to name your presentation to ensure it is easy to search and open later via OneDrive. Otherwise, a generic name will be assigned to the presentation (e.g., Presentation 1). To name your presentation, click on the generic name at the top and type in the new name.

Formatting and Design

As you start formatting your slides, the Designer feature will provide you with options to create layouts for your slides. You can optionally use this feature to get started with the basic design for your slides or use the Design tab to select design elements.

Like the desktop app, the Design tab in PowerPoint Online provides access to themes, background and slide size adjustment options, and theme variants to help you design your slides.

Adding Content

The Insert tab provides all the necessary options to add new slides, tables, pictures, shapes, icons, SmartArt, text boxes, audio, video, cameo to insert Live camera feed, and other options.

Like the desktop version of PowerPoint, pictures can be added from your device, stock images, or via Bing search. The Picture tab can be used to format added pictures after selecting them. Various options in this tab allow you to crop, add a picture frame, and adjust the picture on the slide.

You can also access Format Options via the right-click menu.

This will open a sidebar providing options to adjust the selected image’s width, height, angle, shadow, reflection, and text margins.

Formatting Videos

PowerPoint for the web allows formatting videos via the Shape tab and Format Options via the right-click menu. The Shape tab can give a frame or shape to the video, adjust the outline, manage how it is displayed on the slide, and adjust the size of the video. Sometimes, the Shape tab might be replaced with the Video tab to show editing options. This change is particularly visible if the user is not logged in and is editing the presentation as a Guest user. The Format Options enable editing the video’s width, height, angle, text margins, shadow, and reflection.

Formatting Audio

Two major options for formatting added audio clips include the Playback tab and Audio Format tab. The Playback tab can adjust the volume, playback trigger, and other related options.

The Audio Format tab includes picture styles for the audio icon, border stylizing, rotation, and other formatting options to adjust how the audio clip appears on the slide.

Annotation Options

The Draw tab gives various tools like pens and highlighters to annotate slides or draw on the screen. Other tools include an eraser, lasso, draw with touch, and stencil.

Transitions and Animations

Like the desktop version of PowerPoint, the Transitions tab for the web version gives transitions to use for your slides. You can adjust the effects of added transitions and duration once you have added a transition for a slide.

SlideShow, Review, and View

The SlideShow tab is used to start the SlideShow from the beginning of the current slide or to initiate a Live presentation with a QR code and link for viewing the presentation Live. If you are searching for the features to check spelling and grammar, comments, changes, and accessibility options, head to the Review tab.

Most PowerPoint users know that the viewing options are available at the bottom of the PowerPoint interface. However, you can also access them from the View tab in PowerPoint. The same features are available for PowerPoint for the web. This includes options like switching between Slide Sorter, Immersive Reader, and Normal View and access to Notes, Zoom, and Fit to Window options.

To share your PowerPoint presentation, click Share from the top left corner of PowerPoint Online. You can create a sharing link according to specific settings, copy the existing link, link to a slide, or view and manage access to the presentation.

Collaborators can be invited via email or link by adjusting whether a user has view-only or editing privileges.

Once the settings have been configured, a link can be generated to copy and share with users. When configuring settings, you can also directly send the link with a message to an end user.

Next to the Comments button is the Catch-up button that tracks and shows the changes made by real-time collaborators as you work on the presentation.

To switch between viewing modes, you can change to view only and editing options as you collaborate or open the presentation in the desktop app. These options can be helpful for you to adjust how you wish to work or review the presentation.

To save your presentation, go to File -> SaveAs to save a copy to OneDrive, download a copy of the PowerPoint presentation, rename the file, or download the file in an alternative format such as PDF, ODP, or image.

Focus on Design Consistency

Use a consistent design with a color scheme, fonts, alignment, and graphics tailored to a specific format. Don’t use too many changes that might make the content appear muddled.  

Avoid Heavy Multimedia

Since PowerPoint for the Web is an online platform, not everyone might have the required Internet bandwidth or hardware to run heavy presentations smoothly. Using multimedia content in moderation can help avoid such issues.

Uncluttered Slides

Cluttered slides on an online interface will likely cause compatibility issues for some viewers or the slides might not appear properly on some browsers and devices. To avoid this, try to create uncluttered slides. Using minimalist slides might just be the best way to go.

By evenly distributing slide elements with proper alignment, you should be able to create online slides that are easy for the eyes to follow.

Choose Imagery Carefully

When selecting icons, graphical elements, and pictures, try not to use imagery that is too flashy and might cause issues when opened across different browsers and devices. You can use icons from the built-in icons library in PowerPoint and select pictures that don’t visually overpower the viewer.

Productivity Shortcuts

PowerPoint for the web primarily provides most of the features in the desktop app. Below are some tips and tricks for productivity when using the web version of PowerPoint. For some shortcuts listed below, PC users must use CTRL, whereas Mac users will use Command.

  • Insert New Slide using CTRL+M hotkey (Command+M for Mac)
  • Use F5 to start the slideshow and Esc to end the slideshow
  • CTRL+D duplicates the slide (Command+D for Mac)
  • CTRL+Shift+D deletes the slide (Command+Shift+D for Mac)
  • Use CTRL+S to save slide (Command+S for Mac)
  • Use CTRL+W to close the presentation (Command+W for Mac)
  • To open printing options, use CTRL+P (Command+P for Mac)
  • Zoom in with CTRL+Plus button (Command+Plus button for Mac)

Screen Freezes When Working with PowerPoint for the Web

If your screen freezes while you’re working, the web version of PowerPoint is likely encountering an issue when saving the file, showing elements, or inserting content. You can wait a while, and the issue should be resolved. Also, check your Internet connection to see that you are connected. You might want to close additional tabs and review your system usage to see if your hardware is overwhelmed due to resource-intensive apps or multiple browser tabs.

Slide Elements Don’t Appear Properly

If your browser isn’t compatible or uses a browser plugin that blocks slide elements, you might encounter issues viewing slides. Use a compatible browser and turn off any plugins that might interfere with PowerPoint’s online interface.

File Upload or Download Issues

When you are unable to upload or download files, it is likely that your Internet connection is unstable or disconnected. Check your connection to resolve the issue.

Unable to Login

This is likely caused by incorrect credentials or a recent change in credentials, such as a password. If you cannot log in despite no apparent issues, try to clear your browser’s cache or switch to another browser to see if you can log in.

PowerPoint for the web provides most features available for the desktop version and some sharing and collaboration features that require uploading the file online for use. You will notice that some of these features are smoother when used with the online version compared to the desktop version. Furthermore, the online version of PowerPoint provides access regardless of whether you have PowerPoint installed on your device. If you are someone who does not have a Microsoft 365 subscription and needs to access a PowerPoint file, you can log in for free with a Microsoft account with limited features.

Hi, Office Insiders! I’m Robin Miller, a Program Manager on the PowerPoint team. I’m happy to announce that we have made it even easier to switch between editing and viewing presentations in PowerPoint for the web.

As you are reviewing and getting familiar with the content of a presentation, use the Viewing mode, and don’t worry about accidentally moving things around or making unintended changes. When you’re ready to provide feedback and make updates, switch to the Editing mode.

We’ve updated PowerPoint for the web so you can now quickly change between both modes with a couple of clicks.

How it works  

As long as  you have  Edit  permissions  for a given pres entation, you  can choose to be in Editing or Viewing mode.   

  • To switch between the modes, click  Editing   in the ribbon  and  then  choose  Viewing .   To switch back, choose  Editing .  

Requirements  

  • You must have Editing permissions. Users with View-only  permissions   won’t  be able to switch into Editing mode.

Tips and tricks  

  • The option to  Open in Desktop   can   also now be found in this menu.  If   you are running PowerPoint in Teams,  the  Open in Desktop  button remains outside the mode menu  for now.   

Known  issues    

The mode menu options are disabled and difficult to see when in Slide Sorter View while also using High Contrast Mode.  

Availability   

This feature is  rolling  out  to  PowerPoint for the web users. We are working on bringing the  feature  to PowerPoint for Windows and Mac in the future.

How to Use Microsoft Office on the Web for Free

Office works rather well on the web.

As someone with a tech-related job, I’m regularly bombarded with questions about the best smartphones , why emails might have suddenly stopped showing up, and how to back up photos and videos. There’s another common question I hear a lot as well: How do I use Microsoft Office for free?

Judging by the frequency with which people ask me this, I’m assuming there’s still a sizeable chunk of the population that doesn’t know that you can use Microsoft’s official online version of Office in your web browser, free of charge—or that Office is called Microsoft 365 these days. All you need is a Microsoft account and an internet connection.

You miss out on a few features, of course—Microsoft isn’t going to give away its flagship product in full for free—but if you need to quickly open or edit a Word, Excel, or PowerPoint file, then the online tools can do the job rather well. Here’s how to get started and the features available to you.

Getting started

Head to the Microsoft Office online portal , and not only will you get a reminder that Office is now Microsoft 365 (despite the domain name), but you’ll also be able to sign in with your Microsoft account. We’re assuming you’ve set up a Microsoft account for some reason or another, but if you haven’t, you can do so here.

After you’ve signed in, you’ll be met with an elegant-looking dashboard where you can get at all of the files you’ve got stored in OneDrive, as well as a variety of Microsoft web apps—apps which include Word, Excel, and PowerPoint. You can click on a file to open it or create a new file from the row of icons at the top.

Select an app from the panel down the left, and you can see recent files for that app in particular and a few templates you can use to get started more quickly. They include retirement planners in Excel and resumes in Word. You can also upload a document, spreadsheet, or presentation from your computer via the Upload button.

Each new file opens up in its tab, so you can work in multiple Word, Excel, and PowerPoint tabs simultaneously if you need to. The interface doesn’t offer many options: You have to take what Microsoft gives you here regarding how everything is arranged and works.

Editing files

If you’ve used the desktop versions of Microsoft Office (or Microsoft 365), you’ll be right at home with the web interface. Your ribbon menu is at the top of the tab window, letting you format whatever’s already in place and drop in new elements as needed. Of course, the available features vary depending on which app you’re using.

Up in the top right corner of the screen, you’ve got controls for adding comments, sharing the file with other people (having it always online makes collaboration very straightforward), and switching between the various modes of operation: Editing , Reviewing , and Viewing . You also have the option from the same menu to open the file in the equivalent desktop program if you’ve got it installed.

The interface is similar to the desktop apps.

All the key features are easy to pick up, whether you’re a complete beginner or already used to desktop applications. If you get stuck, a large search box is at the top of the screen. You can use this to look for a particular option in the menus. Click on the Help entry on the ribbon menu for more assistance.

As web apps go, these are pretty comprehensive—you can select, drag, right-click, and more, just as you would in traditional Word, Excel, and PowerPoint versions. You won’t find a save button, as everything is automatically saved and synced to the cloud as you make changes, but you can use the File menu if you need to download a local copy as well.

What you can and can’t do

The Office online apps are cut-down versions of their desktop counterparts, though quite a few users might not notice the differences, depending on how demanding their requirements are. The basic opening and editing functions are here; as mentioned, everything gets synced automatically to your OneDrive account.

Regarding Microsoft Word on the web, you can’t access certain layout features, like the option to show gridlines or create columns in your document. You’re unable to add watermarks, themes, or page colors, and you can’t drop in charts, a bibliography, or citations. Some other advanced features, such as mail merge, are disabled, too.

You don’t get quite as many PowerPoint animations on the web.

As for Microsoft Excel on the web, the differences in the online app aren’t all that easy to spot right away: It’s only when you start to dig deeper and access the more sophisticated tools that the discrepancies show. The web app doesn’t offer as many chart types, for instance, or as many data import options, and you can’t name selected ranges—all features that only advanced users will need.

Like Excel, Microsoft PowerPoint on the web looks like a close match for the desktop version until you try to go beyond the basics. The online tool has fewer animations and transitions to pick from, can’t import audio or charts, and limits how slideshows can be played back. So again, a lot of the core functionality is there, but power users will always pick the full-fat desktop application.

How to get Microsoft PowerPoint for free

Need to create a digital presentation? There are loads of options to choose from.

Google Slides, Apple Keynote, Canva and Prezi are all worth considering, but there’s one app that probably comes to mind first.

Microsoft’s PowerPoint remains the go-to for many people, combining ease of use with an excellent range of features.

But there’s one big problem: you usually need to pay to access the app. This starts $149.99 / £119.99 for a standalone version alongside other Office apps, or £79.99 / $99.99 per year as part of a Microsoft 365 subscription.

However, the good news is that there are three totally free (and legal) ways to use PowerPoint totally free of charge. Here’s what you need to know.

Option 1 – Web version

Accessing Microsoft PowerPoint and other core Office programs is free via the web, and all you’ll need is a Microsoft account.

Head over to office.com and click ‘Sign in’ to enter your details. If you don’t yet have an account, choose ‘Sign up for the free version of Office’ and follow the instructions.

Once that’s complete, you’ll be taken to your main office homepage. From the left pane, choose ‘Create’ then ‘Presentation’ to open a new PowerPoint document.

As you can see, there’s also the option to create documents in Word and PowerPoint here, alongside Outlook and a free version of Microsoft Teams. These are all ‘Web Apps’, meaning you can only use them via your browser and not a desktop app. When you work on a file here, it will be saved to OneDrive, Microsoft’s cloud storage service.

In fact, you probably have Google to thank for this software being available in web app form. Its free Docs, Sheets and Slides software and their integration with Google Drive made it difficult for Microsoft to keep asking users to pay.

The web version of PowerPoint is a more stripped-back version of the software, so the comparison to Google Slides is more reasonable than the full desktop program. Nonetheless, both services should provide everything a casual user is looking for.

Option 2 – Use on mobile

Perhaps again in response to Google, Microsoft’s Office mobile applications are completely free and available across modern mobile devices.

You can download the Microsoft PowerPoint app for Android and iOS . While Microsoft understandably reserves some premium features for its Office 365 subscription, the mobile apps are still very capable and offer integration with OneDrive.

Option 3 – Check if your school or workplace gets it free

Many employers offer Microsoft 365 apps to their employees free of charge. Even if your work email address ends with the name of the company you work for, it may still be used to sign into a Microsoft account. Of course, you may be working in an office job where Excel and the like are already the defaults.

If your school has signed up to Microsoft 365 Education, all staff and students should be able access Office apps for free. To check, enter your education email address on the Microsoft website .

Introduction to PowerPoint Web App

PowerPoint Web App extends your PowerPoint experience to the web browser, where you can work with presentations directly on the website where the presentation is stored.

This article is only relevant for folks whose organization is using SharePoint 2010 or an older version. If you aren't in that category, click this link to read about the new, improved PowerPoint for the web . 

Integrate seamlessly with PowerPoint

You create a presentation in PowerPoint. You want to post it on a website so that other people can view it, or even present it as a slide show. What if you notice after you've posted it that you left a slide out? Wouldn't it be great if you could just fix it quickly, right there on the website? PowerPoint Web App makes this scenario possible.

In Microsoft PowerPoint 2010 you can start using PowerPoint Web App by saving your presentation to your SharePoint library. On the File tab, click Save & Send , and then click Save to Web or Save to SharePoint .

Now, your presentation is available to view or present quickly, to edit in the browser, or re-open in PowerPoint.

Note:  Presentations don’t need to be created in PowerPoint 2010 to be opened in PowerPoint Web App. For best compatibility, use Office PowerPoint 2003 or later, or use PowerPoint for Mac 2008 version 12.2.9 or PowerPoint for Mac 2011. If you’re using PowerPoint 2003, install the most recent service pack and save presentations on your computer as .pptx files. Then upload the presentation to a SharePoint site where Office Web Apps programs are configured.

When you open your presentation in SharePoint, PowerPoint Web App opens the presentation in the browser, where you can step through the slides, view notes, or switch to Slide Show to view the presentation full-screen.

If you don't have Microsoft Silverlight 2 or later installed, PowerPoint Web App displays a bar with a link to install Silverlight. Silverlight is not required, but slides are better scaled to the size of the browser window and some animation effects are smoother if you have the latest version of Silverlight installed.

If you receive an invitation to view a broadcasted slide show, click the link in the invitation to view the slide show. The presenter uses PowerPoint 2010 to step you through the slides. For more information about broadcasting slide shows on the Web, see About the Broadcast Slide Show feature .

Presentations that include audio or video content must be opened in the PowerPoint desktop application to play the audio or video. In PowerPoint Web App click Open in PowerPoint . For more information about opening presentations directly into the PowerPoint desktop application, see Seamlessly edit in PowerPoint , later in this article.

Print from the browser

You can print the slides in PowerPoint Web App. On the File tab, click Print .

Note:  A PDF viewer is required for printing in PowerPoint Web App.

If you want to make changes in the presentation, click Edit in Browser .

In Editing view, you can add and delete content, and format text. You can also add, delete, duplicate, and hide slides.

You can add SmartArt graphic, pictures, and hyperlinks. Go to the Insert tab to add these.

If you want to add effects or make changes to SmartArt graphics or pictures, click the image, and then use the tools displayed on the tab that appears ( SmartArt Tools or Picture Tools ).

If you want to see how your changes look in the presentation, switch back to Reading view. On the View tab, click Reading View . Or, click Slide Show to preview the slide show that includes transitions and animations.

PowerPoint Web App saves your presentation automatically while you work on it. You don’t have to save your changes. If you make changes that you don't want to keep, use the Undo command or press CTRL+Z (Windows) or ⌘+Z (Mac).

Editing in PowerPoint Web App is best suited for quick changes, such as making a correction, adding a graphic, or adding some slides. If you want the full set of PowerPoint capabilities, click the File tab, and then click Open in PowerPoint .

Visual calculations 

A new way of doing calculations has arrived! You can now add calculations directly on your visual using visual calculations, which are DAX calculations that are defined and executed directly on a visual. A calculation can refer to any data in the visual, including columns, measures, or other visual calculations. This approach removes the complexity of the semantic model and simplifies the process of writing DAX. You can use visual calculations to complete common business calculations such as running sums or moving averages. Visual calculations make it easy to do calculations that were previously very hard or even almost impossible to do.

To use visual calculations while in preview, you need to enable it in Options and Settings  ➡️  Options  ➡️  Preview features . Select visual calculations and select OK . Visual calculations will be enabled after Desktop is restarted.

To add a visual calculation, you first need to select a visual. Next, select the New calculation button in the ribbon:

The new calculation button is shown on the Home tab of the ribbon in Power BI Desktop in the Calculations group.

To add a visual calculation, type the expression in the formula bar in the visual calculations edit mode that opens. For example, in a visual that contains Sales Amount and Total Product Cost by Fiscal Year , you can add a visual calculation that calculates the profit for each year by simply typing: Profit = [Sales Amount] – [Total Product Cost].

The visual matrix is updated as you add visual calculations using in the formula bar. New visual calculations are added as columns to the visual matrix.

Additionally, you can easily add a running sum of profit by writing:

You can use many existing DAX functions in visual calculations. Functions specific to visual calculations are also available, such as RUNNINGSUM , PREVIOUS and MOVINGAVERAGE . Using these and other functions, visual calculations are much easier to read, write and maintain than the current DAX required.

Dynamic subscriptions for Power BI reports

Dynamic per recipient subscriptions is now available in Preview for Power BI reports! Like dynamic subscriptions for paginated reports , you can now distribute a personalized copy of a Power BI report to each recipient of an email subscription.

Imagine you have a report that includes sales data for your entire team. You want to schedule an email subscription that sends out a PDF copy of this report to each salesperson on a weekly basis, with the report filtered to only show their sales results.

This can now be done by connecting to a semantic model (previously Power BI dataset) that defines the mapping between recipients and respective filter values. When it’s time to send out the report, the latest data available in your semantic model will determine which employees should receive a report in their inbox, and with what filter values applied.

This February release we added multi-visual container format support ! Previously, when multi-selecting across different visual types, the format pane did not support any options for formatting the visuals. Now, when multi-selecting different visuals, we’ve added formatting support for container formatting such as changing the size, background color, adding a shadow or turning on/off titles in bulk.

We’ve also added the ability to format a visual’s container size and position even if it’s empty:

This month we also bring you a handful of quality improvements to the on-object experience:

  • Bug fix : when working with a non-visual (text box, button, image, shape) the build pane accidentally closing automatically. The build pane now stays open unless explicitly closed regardless of selected item type.
  • Bug fix : style bug where the build pane was showing 5 icons across instead of the usual 6 has been fixed.
  • Bug fix : in some cases, the data flyout was extending beyond the window size making the search box hard to use, this has now been fixed.
  • Enhancement : When choosing a field using the data flyout – you can now click anywhere on the name, not just the checkbox next to it to select the field.

5.Enhancement : If replacing a field in a visual that does not use an aggregation or date hierarchy (other dropdowns are disabled), we auto open the data dropdown to save an extra click.

We’re excited to introduce a significant enhancement to the Power BI Azure Maps visual reference layer feature. Now, in addition to supporting the existing GeoJSON format, users can also utilize KML (Keyhole Markup Language) and WKT (Well-Known Text) formats.

We released the public preview of DAX query view in November 2023, and in this release, we made the following improvements:

When you add the Power BI add-in to a presentation, you can pick a report suggested to you or paste a link to a specific report.

When you paste a standard report link (the URL copied from the browser address bar), and if sharable links are enabled for your organization and allowed for this report, you have re-share permissions to this report, Power BI add-in can replace the link you pasted with shareable link. In that case you will see a checkbox added below the report URL that offers you automatic access to this report. Just mark this checkbox and Power BI add-in will create a shareable link for you.

Using a sharable link ensures that other users viewing the presentation have the required permission to see the report, and do not need to request access when viewing the presentation.

Maximum connections per data source  is a setting to configure the maximum number of connections DirectQuery opens for each underlying data source. This controls the maximum number of queries that can be executed concurrently against each data source and is configurable per semantic model.

We recently updated the upper limit of the number of concurrent Direct Query connections allowed per semantic model. The updated limits for each SKU are listed in the table below.

The upper limit for Power BI PPU is 100 active connections. Note that there is no change to the Power BI Pro and Report Server limits and the default maximum value remains as 10 concurrent connections.

Our February release introduces the support of the new on-object interaction. This enhancement allows users to build and customize visuals directly on the visual in Power BI Desktop. It puts common actions for creating and formatting visuals on the visuals themselves, actions such as adding fields, changing visualization types, and formatting text.

The primary objective of Power BI Desktop developer mode is to provide friendly source control and co-development experience. With this objective in mind, you can now save your Power BI Project files (PBIP) using  Tabular Model Definition Language (TMDL)  format. TMDL has been designed from the ground up to be human-friendly, facilitating not only readability but also easy editing in any text editor. This represents a substantial enhancement for source control and collaborative development experiences, particularly when dealing with complex file diffs.  

Saving as a PBIP using TMDL is currently in preview. Before giving it a try, you must first enable this feature in Preview features: go to  File  >  Options and settings  >  Options  >  Preview features  and check the box next to “Store semantic model using TMDL format”.  

After enabling the preview feature, when saving as PBIP, your semantic model will be saved as a TMDL folder named “\definition” with separate files for each table, perspective, role, culture:

By default, Fabric Git Integration will still use Tabular Model Scripting Language (TMSL) to export the semantic model during the Public Preview. However, if the semantic model is imported into Fabric using TMDL, then Fabric Git Integration will export the definition into Git using TMDL in the event of any semantic model changes in the service.

New features were added to Multiple Sparklines on Oct 23

  • When you double click a line chart, it will zoom in to screen size of visual and you can then compare it with any other line chart in that column.
  • You can use different colors for each line chart in a field/column.
  • You can insert ratings with bands.
  • You can add beeswarm / distribution microchart.

Protecting your data with Microsoft Purview

Compliance admins in your organization can use Microsoft Purview Information Protection  sensitivity labels  to manage their org’s sensitive data across different apps and services and meet regulatory and compliance requirements.

They define file protection policies for the sensitivity labels, which result in files being encrypted when such labels are applied, allowing only authorized users to open and edit these files in Office apps and Power BI Desktop.

Sensitivity labels are widely adopted by enterprises today and used to label and protect content in  Microsoft 365  apps such as Excel, PowerPoint, Word, and Outlook, and now in Power BI and Fabric as well.

All you have to do is enable Information Protection in Microsoft Fabric’s Admin Portal and let the labels do the rest.

How Power BI Desktop enforces sensitivity label protection

In Power BI Desktop , we enforce label protection on PBIX files. To open a PBIX file, you either must be the label issuer or have one of the following usage rights .

These usage rights are elevated permissions, as they grant permission to change the sensitivity label. Because Power BI and Office apps use the same label policies, compliance admins may prefer not to grant these usage rights for Highly confidential labels. This might block you from collaborating with your colleagues when you’re sharing or downloading Power BI reports and trying to open them in the desktop app.

Collaborating and keeping label protection on PBIX files

By enabling “ Increase the number of users who can edit and republish encrypted PBIX files (preview) ” in your tenant, users that have been assigned with all of the following usage rights should be able to open, edit, and republish the protected PBIX file to the Power BI service:

  • View Content (VIEW)
  • Edit Content (DOCEDIT)
  • Save (EDIT)
  • Copy and extract content (EXTRACT)
  • Allow Macros (OBJMODEL)

Thus, users who were once restricted can now collaborate with protected files, while keeping protection consistent with the organizational policy.

Note: These usage rights are a sub-set of the “Co-Author” permissions preset in Microsoft Purview compliance center.

What are the restrictions and why?

In order to align with compliance requirements, users with these usage rights are lightly restricted while editing a protected PBIX file.

No exporting to unsupported formats –The user won’t be able to export to formats that don’t support sensitivity labels, such as CSV files.

Why restrict republishing into the original workspace only?

To remain compliant, we must keep users from gaining more permissions, including Power BI permissions (i.e., Read, Write, Reshare and Build). Meaning that a user who wishes to publish should not be able to publish to a workspace that might grant them additional permissions through Workspace roles.

Additionally, this feature is meant for collaborating and sharing items that are more restricted than usual, and confidential data is usually managed in a dedicated workspace. This restriction will prevent users from publishing confidential data across the tenant.

Side note: The file must be published at least once for other users to be able to republish it to that specific workspace. If the file has not yet been published, then the latest label issuer (the one who set the protected label) or a user with sufficient usage rights must publish it and then share the file with the other editors.

How to enable it

Prerequisite: The compliance admin must assign you and your colleagues the proper permissions for that sensitivity label.

Next, Fabric/Power BI admins must enable the feature in Admin Portal > Information protection > Increase the number of users who can edit and republish encrypted PBIX files (preview).

In Power BI Desktop, users who would like to open and edit protected PBIX files must enable the feature by opening File > Options and settings > Options > Preview feature > Less elevated user support.

Final words

With this new feature, users can now collaborate more easily with other users when working on confidential data in Power BI Desktop, without any loss of protection along the way.

Why can't you record audio with the online version of PowerPoint?

In the normal version you can record an audio to go with your powerpoint presentation, but I have moved over to a Chromebook and now I don't have the audio record option in PowerPoint online.

Why is this?

Presumably because Microsoft decided not to put that feature in that version.
