Working with sources is an important skill that you’ll need throughout your academic career.

It includes knowing how to find relevant sources, assessing their authority and credibility, and understanding how to integrate sources into your work with proper referencing.

Finding relevant sources

Sources commonly used in academic writing include academic journals, scholarly books, websites, newspapers, and encyclopedias. There are three main places to look for such sources:

  • Research databases: Databases can be general or subject-specific. To get started, check out this list of databases by academic discipline . Another good starting point is Google Scholar .
  • Your institution’s library: Use your library’s database to narrow down your search using keywords to find relevant articles, books, and newspapers matching your topic.
  • Other online resources: Consult popular online sources like websites, blogs, or Wikipedia to find background information. Be sure to carefully evaluate the credibility of those online sources.

When using academic databases or search engines, you can use Boolean operators to refine your results.

Get started

In academic writing, your sources should be credible, up to date, and relevant to your research topic. Useful approaches to evaluating sources include the CRAAP test and lateral reading.

CRAAP is an abbreviation that reminds you of a set of questions to ask yourself when evaluating information.

  • Currency: Does the source reflect recent research?
  • Relevance: Is the source related to your research topic?
  • Authority: Is it a respected publication? Is the author an expert in their field?
  • Accuracy: Does the source support its arguments and conclusions with evidence?
  • Purpose: What is the author’s intention?

Lateral reading

Lateral reading means comparing your source to other sources. This allows you to:

  • Verify evidence
  • Contextualize information
  • Find potential weaknesses

If a source is using methods or drawing conclusions that are incompatible with other research in its field, it may not be reliable.

Integrating sources into your work

Once you have found information that you want to include in your paper, signal phrases can help you to introduce it. Here are a few examples:

Following the signal phrase, you can choose to quote, paraphrase or summarize the source.

  • Quoting : This means including the exact words of another source in your paper. The quoted text must be enclosed in quotation marks or (for longer quotes) presented as a block quote . Quote a source when the meaning is difficult to convey in different words or when you want to analyze the language itself.
  • Paraphrasing: This means putting another person’s ideas into your own words. It allows you to integrate sources more smoothly into your text, maintaining a consistent voice. It also shows that you have understood the meaning of the source.
  • Summarizing : This means giving an overview of the essential points of a source. Summaries should be much shorter than the original text. You should describe the key points in your own words and not quote from the original text.

Whenever you quote, paraphrase, or summarize a source, you must include a citation crediting the original author.

Referencing your sources is important because it:

  • Allows you to avoid plagiarism
  • Establishes the credentials of your sources
  • Backs up your arguments with evidence
  • Allows your reader to verify the legitimacy of your conclusions

The most common citation styles in the UK are APA, MLA, Harvard, Vancouver, MHRA, and Oscola. Each citation style has specific rules for formatting citations.

This page lists the details you will need to include when writing citations for various types of source material. The examples given are in the 'Cite Them Right' version of the Harvard style.

For each example:

  • Reference list  refers to the way it would be cited in your reference list or bibliography when using the 'Cite Them Right' Harvard style.
  • In-text citation  refers to the way that a work would be cited either in the body of the text or in footnotes when using 'Cite Them Right' Harvard style.
  • Referencing styles in use in the University Find out which style your Department uses. Please consult your course handbook for definitive guidance on which style to use.
  • Styles of referencing Overview of different referencing styles in use at the University.

Note that, whatever the type of source, the title of the containing volume (i.e. the book, journal, collection etc) should always be marked out, usually by being put in italics but sometimes underlined. Whichever you use, be consistent and use the same formatting throughout your citations.

Where an e-book looks like a printed book (usually PDFs) with publication information and page numbers - cite it in the same way as a printed book (above). Where specific pagination details are not available use the information you have e.g. %, loc, chapter/page/paragraph. Also add the DOI or web address to the full reference.

The information you include in the reference will depend on whether the journal is published in print (but uploaded for electronic access), only published online, or is a version found in an institutional repository. You can usually tell the difference by looking for page numbers. If each article in the journal begins at page 1, or has no page number at all, it is likely to be an online-only journal. 

  • Article title (in single quotation marks)
  • Journal title (in italics, capitalise the first letter of each word except linking words)
  • Volume number
  • Issue number (if present, in round brackets)
  • Page numbers or article reference number (Include the page numbers of the whole article when writing your full citation, not just the pages you have referred to)
  • DOI or web link for online-only articles

Examples for articles in print copies of journal articles or a print journal accessed online (e.g. on JSTOR)

Traditionally all articles were published in print format in issues which then formed part of a volume and this way of citing them (giving volume, issue and page numbers) has been retained even though most are now available online. There is no need to include the DOI or web address for articles with volume numbers and page numbers or an article reference number even if you accessed them online.

A single author:

Two authors - include them both separated by and or &:

Three authors - include them all, separate the first two with a comma and use and or & before the third author:

Four or more authors - include them all in the full reference, but for the in-text citation you can just state the first author, followed by  et al .

Examples for online-only journals

If the journal is ONLY available online, you should include the DOI or the URL in the full reference. Online-only journal articles may not have page numbers or reference numbers, or pagination for each article will begin with '1'. The rules for in-text citations are the same as for print articles.

Examples for versions of articles found in repositories

Authors will often put versions of their articles into institutional repositories to comply with funding requirements to make the research Open Access. These may be pre-print versions (before peer review has taken place) or post-print versions, also known as author accepted manuscripts (the final version of the text, following peer review, to be published in the journal).

Pre-print example

For post-prints which are identical in content to the published version, you should cite the published version instead of citing the repository version.

Include the page extent of the whole chapter when writing your full citation. Put just the pages you have referred to in the in-text citation.

You can find many different types of information on the Internet. Check that the item you are referencing isn't a journal article, book chapter, or another type of publication which you should be citing in a different way.

  • Author (person or company that created the webpage)
  • Year of publication or last update (in round brackets). Scroll to the bottom of the page but if there is no date put (no date)
  • Page title (in italics)
  • Available at: URL (Accessed: date)

A secondary reference is used when you are referring to a source which you have not read yourself, but have seen quoted or read about in another source.  Where possible, you should always try to read the original of anything you wish to refer to ; otherwise you are relying on the author who cited the reference to have interpreted it correctly and not taken it out of context. Use the reference list at the end of the source you are reading to find details of the reference and search for it using the search boxes below.

Find books using the Enterprise catalogue

Just type in the first author's surname and a few words from the title.

Find journal articles using Summon

Just type in the first author's surname and first part of the article title.

If you can't get hold of the original source you'll need to do a secondary reference and you should make clear that you are not using the original source. Only include the source you have used in your list of references following the guidance for citing that type of publication. 

Different Schools/Departments might have different preferred ways of doing this, so do check any advice you are given or ask your course tutor if you are not sure. Otherwise, this is general guidance.

If the author quotes another source:

F rance (2003, quoted in Weingart et al ., 2018, p. 24) provides evidence that hospitals use internal reporting procedures to identify...

If the author summarises another source

In-text citation: According to France (2003, cited in Weingart  et al. , 2018, p. 24) , hospitals use internal reporting procedures to identify...

In both examples only the full reference for the article by Weingart et al . would be included in the reference list.

Figures such as graphs, charts and diagrams that you have used from other sources should be referenced in the same way that you would any other material.

Each one should have a caption below it labelled as 'Figure', sequentially numbered, and given a title. When you refer to it in your writing, use the figure number. Give a full citation in the reference list for the source of the image. See the following example:

Images and photographs that you have seen in books, articles and other published material should be cited in the same way you would cite the source of the image. Add the page number and figure / illustration number if there is one from the source item to your in-text citation (use the same terminology they do to number their illustrations, eg. illus., fig., diagram, table, plate etc.)

  • Page number and illustration / figure / plate number from the source book or article if they use one.)

You may wish to use the title / subject matter of the image in your sentence or caption for the image;

If the image is one you have created yourself, give it a figure number and title in the caption and add (Source: the author) to show that it is your own work. The image below shows how you would do this;

You do not need to include it in the reference list.

write with references

If you have reproduced an image in your work and it is purely decorative you should still acknowledge the creator and source but there is no need to include a full reference.

Underneath the image add the caption:

'Image: [creator] via [website image captured from]'.

If it is a picture you have taken use this format:

Table taken directly from another source

Tables should be sequentially numbered in your work with the title above the table - as in the following example in the Harvard referencing style. When referring to the table in your writing use the table number. 

A citation should be included at the end of the table title and a full citation added to your reference list for the source.

Table you have compiled yourself from multiple sources

If you are taking information from multiple sources and compiling your own table you still need to acknowledge those sources. 

Once again your table will need to be numbered in sequence with other tables in your work and have a title. For example:

Table 1: Turnover of Tesco PLC 2017-2021

You can then add a, b, c etc next to the statistics in the table (or the columns depending on how your data is arranged, see the example linked below) and then add a matching lettered list of citations for the sources at the bottom of the table:

 Then in your reference list the end of your work, you would add the full reference for each source. For example:

The other option is to arrange it with the brief citations in the table. See Table 1 in the following example. The full references would go into your reference list at the end of the work in the same way as Method 1.

It is strongly recommended that you use published sources such as books and journal articles in your assignments instead of materials posted by academics on Blackboard. Always check with the academic who has set the assignment whether you are allowed to include citations for their materials in your work.

If an article does not have a DOI and you retrieved it from a common academic research database through the university library, there is no need to include any additional electronic retrieval information. The reference list entry looks like the entry for a print copy of the article. (This format differs from APA 6 guidelines that recommended including the URL of a journal's homepage when the DOI was not available.) Note that APA 7 has additional guidance on reference list entries for articles found only in specific databases or archives such as Cochrane Database of Systematic Reviews, UpToDate, ProQuest Dissertations and Theses Global, and university archives. Found on an Open Access Website

As a change from APA 6 to APA 7, it is no longer necessary to include the ebook format in the title. However, if you listened to an audiobook and the content differs from the text version (e.g., abridged content) or your discussion highlights elements of the audiobook (e.g., narrator's performance), then note that it is an audiobook in the title element in brackets. For ebooks and online audiobooks, also include the DOI number (if available) or nondatabase URL but leave out the electronic retrieval element if the ebook was found in a common academic research database, as with journal articles. APA 7 allows for the shortening of long DOIs and URLs, as shown in this example. See APA 7, Section 9.36 for more information.

When a text has been republished as part of an anthology collection, after the author’s name include the date of the version that was read. At the end of the entry, place the date of the original publication inside parenthesis along with the note “original work published.” For in-text citations of republished work, use both dates in the parenthetical citation, original date first with a slash separating the years, as in this example: Freud (1923/1961). For more information on reprinted or republished works, see APA 7, Sections 9.40-9.41.

If you need to cite content found in your online classroom, use the author (if there is one listed), the year of publication (if available), the title of the document, and the main URL of Walden classrooms. For example, you are citing study notes titled "Health Effects of Exposure to Forest Fires," but you do not know the author's name, your reference entry will look like this:

  • It can be difficult to determine authorship of classroom documents. If an author is listed on the document, use that. If the resource is clearly a product of Walden (such as the course-based videos), use Walden University as the author.   • If you cannot determine a date of publication, you can use n.d. (for "no date") in place of the year.

The manual itself is unclear on the matter, however, so either approach should be accepted. For videos from streaming sites, use the person or organization who uploaded the video in the author space to ensure retrievability, whether or not that person is the speaker in the video. A username can be provided in square brackets. As a change from APA 6 to APA 7, include the publisher after the title, and do not use "Retrieved from" before the URL. Technical and Research Reports

Technical and research reports by governmental agencies and other research institutions usually follow a different publication process than scholarly, peer-reviewed journals. However, they present original research and are often useful for research papers. Sometimes, researchers refer to these types of reports as gray literature , and white papers are a type of this literature. See APA 7, Section 10.4 for more information.

Reference list entires for TED Talks follow the usual guidelines for multimedia content found online. There are two common places to find TED talks online, with slightly different reference list entry formats for each.

TED Talk on the TED website

If you find the TED Talk on the TED website, follow the format for an online video on an organizational website:

If you find the TED Talk on YouTube or another streaming video website, follow the usual format for streaming video sites:

TED is the author in the reference list entry if the video is posted on YouTube since it is the channel on which the video is posted. For citations, use TED as the author.

To include the Walden course catalog in your reference list, use this format:

If you cite from a specific portion of the catalog in your paper, indicate the appropriate section and paragraph number in your text:

If there is no specified author, then use the organization’s name as the author. In such a case, there is no need to repeat the organization's name after the title.

In APA 7, active hyperlinks for DOIs and URLs should be used for documents meant for screen reading. Present these hyperlinks in blue and underlined text (the default formatting in Microsoft Word), although plain black text is also acceptable. Be consistent in your formatting choice for DOIs and URLs throughout your reference list.

You can avoid plagiarism and show readers where to find information by using citations and references. 

Citations tell readers where a piece of information came from. They take the form of footnotes, endnotes, or parenthetical elements, depending on your style guide. In-text citations are usually placed at the end of a sentence containing the relevant information. 

A reference list , bibliography, or works cited list at the end of a text provides additional details about these cited sources. This list includes enough publication information allowing readers to look up these sources themselves.

Referencing is important for more than simply avoiding plagiarism. Referring to a trustworthy source shows that the information is reliable. Referring to reliable information can also support your major points and back up your argument.

How Do You Determine Which Style Guide to Use?

Often, a professor will assign a style guide. The purpose of a style guide is to provide writers with formatting instructions. If your professor has not assigned a style guide, they should still be able to recommend one. 

If you are entirely free to choose, pick one that aligns with your field (for example, APA is frequently used for scientific writing).

Chicago style for publishing

APA style for scholarly writing (commonly used in scientific fields)

MLA style for scholarly citations (commonly used in English literature fields)

Once you finish writing a research paper, you will need to cite the sources you used to do your research. How you format your Works Cited page depend on the style guidelines you are required to use. The American Psychological Association (APA) citation style is primarily used in the social sciences. This format differs from the Modern Language Association (MLA) style because it emphasizes the date by placing it earlier in the citation, and it helps reduce bias by using only the last names and first initials of the author, thereby removing gender from the author’s name.

Creating APA Style References Manually

Step 1 List the author’s last name.

  • Example of one author: Krauss, L. M. (1993).
  • Example of two authors: Wegener, D. T., & Petty, R. E. (1994).
  • Example of three or more authors: Kernis, M. H., Cornell, D. P., Sun, C. R., Berry, A., Harlow, T., & Bach, J. S. (1993).
  • Example of more than seven authors: Miller, F. H., Choi, M. J., Angeli, L. L., Harland, A. A., Stamos, J. A., Thomas, S. T., . . . Rubin, L. H. (2009). Book title. New York, NY: Basic Books.

Step 2 List the publication date.

  • Example, book: (1999).
  • Example, newspaper, magazine, newsletter: (1993, June).
  • Example, daily or weekly periodicals: (1994, September 28).
  • Example, for a work with no date given: (n.d.)

Step 3 Enter the title of the source.

  • Italicize book titles. For example, Call of the wild.
  • Do not italicize journal, newspaper, or magazine titles. Just include these as normal text. For example, “Making the grade in chemistry: A story of trial and error.”

Step 4 Include the publisher's location and name.

  • Example: Boston, MA: Random House.
  • Example: New York, NY: Scribner.
  • Example: Palmerston North, New Zealand: Dunmore Press.

Step 5 Write out publication titles in full.

  • For example, ReCall instead of RECALL , and Knowledge Management Research & Practice, not Knowledge Management Research and Practice.
  • Use the ampersand if the journal does, instead of spelling out the word and.

Step 6 Add the volume, issue, and page numbers for periodicals.

  • Title of Periodical, volume number (issue number), pages referenced.
  • For example, Psychology Today, 72 (3), 64-84 or The Statesman Journal , 59(4), 286-295.

Step 7 Add the URL for online publications.

  • You do not need to include your date of access for APA references.

Creating APA References with an Online Generator

Step 1 Choose an online generator.

  • Some generators require you to supply your email address and they will send you the citations. It's best to avoid these, because they may sell your information to businesses that will clog your inbox with spam.
  • Many searchable library databases also provide citations in multiple styles, such as EBSCO. If you are using your university library’s databases , then you should have the option of getting an APA style citation for the source from the article’s page in the database.
  • Just remember to check any references that you get from an online generator for accuracy because they may have errors.

Step 2 Select auto-fill or manual-entry mode.

  • The auto-fill method will supply a lot of information instantly, which you will then verify to make sure it's correct.
  • The manual entry method will give you a form to complete yourself, and you will enter the appropriate author names, dates, and other relevant information manually.

Step 3 Enter the title or url.

  • For a journal, enter the title of the journal.
  • For a website, enter the URL or a keyword. Generally, using the url for the source will get more accurate results.
  • For a book, enter the book title, author's name, or ISBN. You can find the ISBN on the book jacket, usually next to the price and the barcode. The ISBN will provide the most complete information.
  • For a video, enter the URL or a major keyword. The URL will yield more specific results.
  • If you choose “Other,” you will see a long list of alternative formats to choose from. Select the one that is appropriate (e.g., Magazine Article, Blog/Podcast, Painting/Artwork), and follow the prompts to enter the publication details manually.

Step 4 Locate the correct work from the list provided.

  • If you supply specific information (such as a URL or ISBN), this will be a short list.
  • If you enter less specific information (such as a keyword), you will get a longer list. Your source may or may not be included, depending on whether the generator located it. If your source is not on the list, then try supplying more specific information, or using the manual-fill entry mode.
  • If you enter a common book title, then you will see a list of options. Check the author and date to be sure you're choosing the right one. For example, the book title Nemesis will return a list of 20 different books, each written by a different author.

Step 5 Click on the appropriate book title.

  • Your references should always include title, author, publication date, publication location, and publisher. If any of these are missing, then you'll need to refer to the work itself to find that information.

Step 6 Click on “Create Citation.”

  • Copy and paste the generated citation if you want to add it to your references manually.
  • Continue to enter more works if you want the generator to compile an alphabetized reference list of all your references.

Step 7 Save your citations as you go.

  • Check for misspellings or glaring omissions, such as missing dates or author names.
  • Check to be sure you have included every source you wanted to include.

Formatting and Ordering Your References

Step 1 Create your “References” page.

  • Do not use bold, italics, or quotation marks on the word “References.”
  • Double space the entire “References” page.
  • Do not add an extra line between the title '”References” and your first reference item. [19] X Research source

Step 2 Use hanging indentations.

  • To set your indentations to hanging, open the “Paragraph” dialog box by clicking the small arrow to the right of “Paragraph” near the top of your MS Word document.
  • After the box opens, look for the section called “Indentation.”
  • Click on the drop down menu called “Special” that is in this section and select “Hanging.”
  • Your entries will now automatically have hanging indentations.

Step 3 Alphabetize your sources.

  • Alphabetize letter by letter. Remember that “nothing precedes something,” or in other words, the shorter version of two similar names should come first. For example, Brown, J. R. would come before Browning, A. R.
  • Alphabetize the prefixes M', Mc, and Mac exactly as they are shown. Do not alphabetize them as if they were all spelled out (Mac).
  • Ignore apostrophes in names. For example, MacNeil would come before M'Carthy.

Step 4 Order titles by the same author chronologically.

  • List one-author entries before multiple-author entries, when the first author is the same. For example, “Alleyne, R. L. (2001).” would come before “Alleyne, R. L. & Evans, A. J. (1999).”

Step 5 Alphabetize group authors as you would single authors.

  • For example, “American Society for the Prevention and Cruelty of Animals,” not “ASPCA”.
  • For example, “University of Michigan, Department of Psychology,” not “Department of Psychology, University of Michigan”.

Step 6 Use the book title if there is no author name.

  • For example, “ Merriam-Webster's collegiate dictionary (11th ed.). (2005) Springfield, MA: Merriam-Webster."

At some point in your career, you’ll probably be asked to provide a letter of reference for an employee, a friend, or someone you've worked with. When the time comes, it will be important to know how to write an effective letter of recommendation (also known as a reference letter).

A reference letter is a positive endorsement of a person's skills and attributes, written by someone familiar with their work, character, and accomplishments. Reference letters are needed when applying for jobs, internships, volunteer positions, colleges, and graduate school programs.

The reference letter explains why the reader should select a candidate, and what qualifies them for the opportunity for which they're applying. Letters may be requested by the organization that is considering the individual for employment or acceptance at an institution, or they may be offered by the job seeker or applicant.

Types of Reference Letters

Professional references.

A professional reference letter is usually written by a supervisor, colleague, client, teacher, or professor who is well-acquainted with their accomplishments in a work-type setting. It typically includes a description of their position and responsibilities, the duration of their time at the company, and their abilities, qualifications, and contributions to the organization.

Character/Personal References

A character or personal reference letter can be written by a family friend, mentor, or neighbor who can attest to the traits that would make them a good candidate for the position they are seeking. This type of letter explains how the writer knows them and discusses their personal attributes as they would apply in a job setting.

Academic References

An academic reference is written by a teacher, professor, or advisor. This type of reference discusses the candidate's educational background and academic achievements.

Before agreeing to write the letter, make sure you feel that you can write a positive letter of reference for this person. If you do not know the person well or do not think you can speak highly of the person’s skills or abilities, it is fine to decline the request for a recommendation .

You can be vague when you turn down the request, simply saying, “I do not feel I would be the best person to write you a recommendation.” If possible, suggest someone else they might ask.

It is better to say no to writing a recommendation rather than to write a negative reference for the person.

It is a good idea to ask the person for a copy of their resume or CV, even if you have known them for a long time. They may have new accreditation or achievements that merit highlighting, and you should provide as much current information as possible. This will also help give you guidelines to use when composing the letter.

If the reference letter is for a specific employment opportunity, also ask for a copy of the job posting. Similarly, if the reference letter is for a specific school or program, ask for some information about the school. The more information you have, the easier it will be to write the letter.

Along with asking for information about the candidate, get all the information you need about how to submit the letter. Ask to whom you should send the letter, when the deadline is, and what format the letter should be in. Also, ask if there are any particulars that the school or employer wants you to include in your letter.

Unless the candidate gives you a form on which to write your recommendation, following a proper business letter format is appropriate. This includes listing your contact information, the date, and the contact information for the person receiving your letter (typically, the hiring manager) at the top of the letter.

However, if you are emailing this letter, you do not need to include any contact information or the date at the top of the letter. Instead, list your contact information after your email signature. A reference email letter should also have a clear, concise subject line that lists the candidate's name, the job they are applying for (if applicable), and the purpose of the letter. For example, a subject line might read:

Subject: Recommendation for Firstname Lastname - Human Resources Assistant Job

To get an idea of what to write and how your letter should read , here are some general guidelines to consider before writing your letter.

Begin your letter with "Dear Mr./Ms. Last Name." If you do not know the employer's last name, simply write, "Dear Hiring Manager." If the candidate is applying to an academic program, you can write "Dear Admissions Committee." If you are writing a general letter, you could write " To Whom It May Concern " or simply start your letter with the first paragraph.

First Paragraph

The first paragraph of the reference letter explains your connection to the person you are recommending, including how you know them, how long you've known them, and why you are qualified to write a reference letter on their behalf. Be sure to include the name of the company, job, school, or opportunity for which the person is applying. For example, "I have been James Smith's supervisor at XYZ Company for the past five years. I am pleased to recommend him for the position of head accountant at ABC Company."

Second Paragraph (and Third, and Fourth)

The middle paragraphs of the reference letter contain information on the person you are writing about, including why they are qualified, and what they can contribute. If necessary, use more than one paragraph to provide details. Be specific and share examples of why this person is a qualified candidate. If you can, relate specific instances where you observed the person successfully using the skills required for the position.

Try to describe qualities and skills that relate to the specific job, school, or opportunity.

For example, if the person is applying for a job as a manager, focus on the person's leadership and communication skills.

Letter Closing

In the closing paragraph, offer to provide more information and include your contact information (phone and email), so you are available to give a verbal recommendation or answer further questions if necessary. You might also reiterate that you recommend this person “wholeheartedly” or “without reservation.”

End the letter with your signature, handwritten, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

The style of your reference letter is almost as important as the content of the letter. Here are some tips on how long your letter should be and how to format it.

Length: A letter of recommendation should be more than one or two paragraphs; a letter this short suggests you either do not know the person well or do not fully endorse them. However, you want to keep the letter concise and focus on a few key points, so avoid writing more than one page. Three or four paragraphs that explain how you know the person and why you are recommending them is an appropriate length.

Format: A letter of recommendation should be single-spaced with a space between each paragraph. Use about 1" margins for the top, bottom, left, and right of the page, and align your text to the left (the alignment for most documents).

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points, so it's easy to read. Adjusting the font size is a good way to keep your letter to a single page.

Proofread your letter before sending it. You can have someone else edit the letter, but conceal the candidate's name to preserve their privacy.

How to Write a Reference List (or Bibliography) For an Essay

An essay without a reference list is like a house without foundations – weak and unsupported!

After all, the reference list is ‘proof’ that the books and journals you referred to in your essay do exist. In turn, this makes your essay seem more credible.

But a reference list will only enhance your essay if it is accurate . That said, let’s explore how to write a clear and accurate reference list for an essay.

How to label your list of references

Firstly, make sure you know what to call the list of references at the end of your essay. The most common name for this list is a ‘reference list’. But some referencing styles call it a ‘bibliography’ or even a ‘works cited’ list. Also, it’s possible to have a ‘reference list’ and a ‘bibliography’ in the same essay.

What’s the difference between a reference list and a bibliography?

Generally speaking, a ‘reference list’ includes a list of all the sources that were cited in the essay – nothing more and nothing less. A bibliography, on the other hand, includes works that were consulted but not specifically cited in the essay. This is the traditional meaning of the term bibliography, at least.

But, in OSCOLA style, the ‘bibliography’ functions more like a ‘reference list’.

Confused? Don’t worry! This table will show you how to label the list of references according to your chosen referencing style.

General rules to follow

Once you know how to label your list of references, you can start putting the list together. Here are some general rules that apply to all referencing styles:

  • Start your list of references on a new page – it looks a lot neater!
  • Get the placement right – references usually come at the end of the essay but before the appendix (if applicable).
  • Alphabetical order – the references should be arranged in alphabetical order (by surname).
  • Remove hyperlinks – that way, your reference list will look neat and tidy when it’s viewed on-screen.
  • Don’t change Americanisms – References should be written in their original form. So, if you’re citing the ‘Journal of Behavior Studies’ , don’t be tempted to change this to the ‘Journal of Behaviour Studies’ .
  • Word count – Remember that the reference list does not contribute to the total word count, so remember to deduct these words when you calculate the final word count.

When looking for sources, you might have noticed that some publications offer ‘suggested citations’. It can be helpful to copy and paste these suggested citations, but you will probably need to make some changes to ensure the citation is compliant with your referencing style. That said, let’s take a look at each referencing style in a bit more depth.

How to write a reference list in APA style

Key points to remember:

  • As a minimum, the reference should contain the author’s name , the date of the publication, the title , and the source (I.e. where it came from).
  • Additional information is also required for journals, such as the page number(s), the volume number and the issue number (see example).
  • The doi should be provided at the end of the reference (if applicable).
  • All lines except the first line should be indented – this is called a hanging indent. (Word: Paragraph>Special>Hanging).
  • Remember to put a full stop at the end of each reference.

How to write a bibliography in OSCOLA

At the end of your essay, you should report a ‘Table of Cases’ a ‘Table of Legislation’, and finally, a ‘Bibliography’. In OSCOLA, the bibliography should include all secondary sources that were cited in the essay.

The secondary sources are listed in a very similar way to the footnotes except that the author’s name is inverted (surname, first initial).

If there are any unattributed works, these should begin with ——.

You’ll notice that OSCOLA is a pretty minimalist referencing style. This means it’s quite easy to get the hang of. You can find full and detailed guidance in this OSCOLA referencing handbook .

How to write a reference list in Harvard style

There is no official manual for Harvard style like there is for APA and Chicago. Rather, universities adopt their own versions of Harvard style. So, if your faculty uses Harvard style, get a hold of your university’s referencing guide to check the requirements.

  • Generally speaking, though, a Harvard-style reference list is similar to an APA-style reference list, in that you must provide the author’s name, date of publication, title, and source. Similarly, book titles and journal titles should be italicised.
  • Unlike APA, there is no need to add a hanging indent.
  • Finally, when citing books, you should provide both the publisher’s name and location (Publisher Location: Publisher Name).

ASA reference list guidance

  • ASA is fairly similar to APA but notice the differences in punctuation (see examples).
  • The reference list must be double-spaced.
  • You should include the author’s first name and surname (unless the first name was not included in the original publication).
  • Also, the first author’s name should be inverted (surname, first name) but any subsequent names should not be inverted (first name, surname).

Note how a colon is used to introduce the page numbers. This is one of the key differences between APA and ASA style. For more information, check out the ASA quick style guide .

MLA ‘works cited’ guidance

As mentioned, the works cited list is equivalent to a reference list, so it must list all the publications that were cited in the essay.

  • The references should be formatted with a hanging indent (like APA).
  • Uniquely, the date comes towards the end of the reference.
  • First and last names are required (inverted)
  • The publisher’s name is required but the location is not.

How to write a reference list in Chicago style (in-text references)

  • Like APA and MLA, the references should be indented (hanging)
  • The author’s first name and surname should be provided
  • For books, the publisher’s location and name are required.
  • Notice that commas are rarely used (except to separate the volume and issue number of a journal).
  • A doi should be provided after an electronic resource. If there is no doi, a URL is acceptable.

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.  

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu. 

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control .

A picture control is most often used for templates, but you can also add a picture control to a form.

Insert a building block control

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

Insert a combo box or a drop-down list

In a combo box, users can select from a list of choices that you provide or they can type in their own information. In a drop-down list, users can only select from the list of choices.

Select the content control, and then select Properties .

To create a list of choices, select Add under Drop-Down List Properties .

Type a choice in Display Name , such as Yes , No , or Maybe .

Repeat this step until all of the choices are in the drop-down list.

Fill in any other properties that you want.

Note:  If you select the Contents cannot be edited check box, users won’t be able to click a choice.

Use the legacy form controls

Legacy form controls are for compatibility with older versions of Word and consist of legacy form and Active X controls.

Set or change properties for content controls

Each content control has properties that you can set or change. For example, the Date Picker control offers options for the format you want to use to display the date.

Select the content control that you want to change.

Add protection to a form

If you want to limit how much others can edit or format a form, use the Restrict Editing command:

Open the form that you want to lock or protect.

Select Developer > Restrict Editing .

After selecting restrictions, select Yes, Start Enforcing Protection .

If you want to protect only parts of the document, separate the document into sections and only protect the sections you want.

To do this, choose Select Sections in the Restrict Editing panel. For more info on sections, see Insert a section break .

Open a template or use a blank document

To create a form in Word that others can fill out, start with a template or document and add content controls. Content controls include things like check boxes, text boxes, and drop-down lists. If you’re familiar with databases, these content controls can even be linked to data.

Go to File > New from Template .

In Search, type form .

Double-click the template you want to use.

Select File > Save As , and pick a location to save the form.

In Save As , type a file name and then select Save .

Go to Developer , and then choose the controls that you want to add to the document or form. To remove a content control, select the control and press Delete. You can set Options on controls once inserted. From Options, you can add entry and exit macros to run when users interact with the controls, as well as list items for combo boxes, .

Adding content controls to your form

In the document, click or tap where you want to add a content control.

On Developer , select Text Box , Check Box , or Combo Box .

To set specific properties for the control, select Options , and set .

Repeat steps 1 through 3 for each control that you want to add.

Options let you set common settings, as well as control specific settings. Select a control and then select Options to set up or make changes.

Select Macro to Run on lets you choose a recorded or custom macro to run on Entry or Exit from the field.

Bookmark Set a unique name or bookmark for each control.

Calculate on exit This forces Word to run or refresh any calculations, such as total price when the user exits the field.

Add Help Text Give hints or instructions for each field.

OK Saves settings and exits the panel.

Cancel Forgets changes and exits the panel.

Set specific properties for a Text box

Type Select form Regular text, Number, Date, Current Date, Current Time, or Calculation.

Default text sets optional instructional text that's displayed in the text box before the user types in the field. Set Text box enabled to allow the user to enter text into the field.

Maximum length sets the length of text that a user can enter. The default is Unlimited .

Text format can set whether text automatically formats to Uppercase , Lowercase , First capital, or Title case .

Set specific properties for a Check box .

Default Value Choose between Not checked or checked as default.

Checkbox size Set a size Exactly or Auto to change size as needed.

Check box enabled Lets the user check or clear the text box.

Drop-down item Type in strings for the list box items. Press + or Enter to add an item to the list.

Items in drop-down list Shows your current list. Select an item and use the up or down arrows to change the order, Press - to remove a selected item.

Protect the form

Go to Developer > Protect Form .

Note:  To unprotect the form and continue editing, select Protect Form again.

Save and close the form.

Test the form (optional)

If you want, you can test the form before you distribute it.

Protect the form.

Reopen the form, fill it out as the user would, and then save a copy.

Creating fillable forms isn’t available in Word for the web.

You can create the form with the desktop version of Word with the instructions in Create a fillable form .

When you save the document and reopen it in Word for the web, you’ll see the changes you made.

Google’s Gemini is now in everything. Here’s how you can try it out.

Gmail, Docs, and more will now come with Gemini baked in. But Europeans will have to wait before they can download the app.

In the biggest mass-market AI launch yet, Google is rolling out Gemini , its family of large language models, across almost all its products, from Android to the iOS Google app to Gmail to Docs and more. You can also now get your hands on Gemini Ultra, the most powerful version of the model, for the first time.  

With this launch, Google is sunsetting Bard , the company's answer to ChatGPT. Bard, which has been powered by a version of Gemini since December, will now be known as Gemini too.  

ChatGPT , released by Microsoft-backed OpenAI just 14 months ago, changed people’s expectations of what computers could do. Google, which has been racing to catch up ever since, unveiled its Gemini family of models in December. They are multimodal large language models that can interact with you via voice, image, and text. Google claimed that its own benchmarking showed that Gemini could outperform OpenAI's multimodal model, GPT-4, on a range of standard tests. But the margins were slim. 

By baking Gemini into its ubiquitous products, Google is hoping to make up lost ground. “Every launch is big, but this one is the biggest yet,” Sissie Hsiao, Google vice president and general manager of Google Assistant and Bard (now Gemini), said in a press conference yesterday. “We think this is one of the most profound ways that we’re going to advance our company’s mission.”

But some will have to wait longer than others to play with Google’s new toys. The company has announced rollouts in the US and East Asia but said nothing about when the Android and iOS apps will come to the UK or the rest of Europe. This may be because the company is waiting for the EU’s new AI Act to be set in stone, says Dragoș Tudorache, a Romanian politician and member of the European Parliament, who was a key negotiator on the law.

“We’re working with local regulators to make sure that we’re abiding by local regime requirements before we can expand,” Hsiao said. “Rest assured, we are absolutely working on it and I hope we’ll be able to announce expansion very, very soon.”

How can you get it? Gemini Pro, Google’s middle-tier model that has been available via Bard since December, will continue to be available for free on the web at gemini.google.com (rather than bard.google.com). But now there is a mobile app as well.

If you have an Android device, you can either download the Gemini app or opt in to an upgrade in Google Assistant. This will let you call up Gemini in the same way that you use Google Assistant: by pressing the power button, swiping from the corner of the screen, or saying “Hey, Google!” iOS users can download the Google app, which will now include Gemini.

Gemini will pop up as an overlay on your screen, where you can ask it questions or give it instructions about whatever’s on your phone at the time, such as summarizing an article or generating a caption for a photo.  

Finally, Google is launching a paid-for service called Gemini Advanced. This comes bundled in a subscription costing $19.99 a month that the company is calling the Google One Premium AI Plan. It combines the perks of the existing Google One Premium Plan, such as 2TB of extra storage, with access to Google's most powerful model, Gemini Ultra, for the first time. This will compete with OpenAI’s paid-for service, ChatGPT Plus, which buys you access to the more powerful GPT-4 (rather than the default GPT-3.5) for $20 a month.

At some point soon (Google didn't say exactly when) this subscription will also unlock Gemini across Google’s Workspace apps like Docs, Sheets, and Slides, where it works as a smart assistant similar to the GPT-4-powered Copilot that Microsoft is trialing in Office 365.

When can you get it? The free Gemini app (powered by Gemini Pro) is available from today in English in the US. Starting next week, you’ll be able to access it across the Asia Pacific region in English and in Japanese and Korean. But there is no word on when the app will come to the UK, countries in the EU, or Switzerland.

Gemini Advanced (the paid-for service that gives access to Gemini Ultra) is available in English in more than 150 countries, including the UK and EU (but not France). Google says it is analyzing local requirements and fine-tuning Gemini for cultural nuance in different countries. But the company promises that more languages and regions are coming.

What can you do with it? Google says it has developed its Gemini products with the help of more than 100 testers and power users. At the press conference yesterday, Google execs outlined a handful of use cases, such as getting Gemini to help write a cover letter for a job application. “This can help you come across as more professional and increase your relevance to recruiters,” said Google’s vice president for product management, Kristina Behr.

Or you could take a picture of your flat tire and ask Gemini how to fix it. A more elaborate example involved Gemini managing a snack rota for the parents of kids on a soccer team. Gemini would come up with a schedule for who should bring snacks and when, help you email other parents, and then field their replies. In future versions, Gemini will be able to draw on data in your Google Drive that could help manage carpooling around game schedules, Behr said.   

But we should expect people to come up with a lot more uses themselves. “I’m really excited to see how people around the world are going to push the envelope on this AI,” Hsaio said.

Is it safe? Google has been working hard to make sure its products are safe to use. But no amount of testing can anticipate all the ways that tech will get used and misused once it is released. In the last few months, Meta saw people use its image-making app to produce pictures of Mickey Mouse with guns and SpongeBob SquarePants flying a jet into two towers. Others used Microsoft’s image-making software to create fake pornographic images of Taylor Swift .

The AI Act aims to mitigate some—but not all—of these problems. For example, it requires the makers of powerful AI like Gemini to build in safeguards, such as watermarking for generated images and steps to avoid reproducing copyrighted material. Google says that all images generated by its products will include its SynthID watermarks. 

Like most companies, Google was knocked onto the back foot when ChatGPT arrived. Microsoft’s partnership with OpenAI has given it a boost over its old rival. But with Gemini, Google has come back strong: this is the slickest packaging of this generation’s tech yet.

The top prosecutor in the Georgia election case against Donald Trump took the stand to vigorously defend her relationship with a fellow prosecutor during a combative hearing on Thursday.

Mr Trump's lawyers alleged that Fulton County District Attorney Fani Willis's relationship with Nathan Wade, whom she hired, proved a conflict of interest.

The claims could upend the election-subversion charges against Mr Trump.

Over two hours of heated testimony, Ms Willis looked increasingly aggravated.

"It is a lie, it is a lie," she said at one point in response to questions, prompting a visibly perplexed Judge Scott McAfee to call a brief recess.

The first female district attorney in Fulton County, Ms Willis charged Mr Trump and 18 co-defendants last year with conspiring to overturn the former president's 2020 election loss to Joe Biden in Georgia.

But last month, that case was undermined by claims from one of Mr Trump's co-defendants, Mike Roman, who said Ms Willis and Mr Wade - who she hired as special prosecutor for the Trump case in late 2021 - had an improper relationship and benefitted financially from the arrangement.

In a legal filing, Mr Roman alleged Ms Willis overpaid Mr Wade for the special counsel role and that the two took luxury holidays together that were paid for by Mr Wade. Those trips included two cruises to the Bahamas, and trips to Napa Valley, California, and Caribbean resorts in Aruba and Belize.

Both Ms Willis and Mr Wade acknowledged the relationship in early February, but they have denied any conflict of interest or financial impropriety.

On Thursday, defence lawyers pushed both Ms Willis and Mr Wade on how he was reimbursed for his work and whether Ms Willis repaid him for her share of vacations while they were dating.

Ms Willis is an "independent strong woman... she is going to pay her own way", Mr Wade testified, adding she typically paid him back in cash, meaning no records were available.

The district attorney offered a more forceful counter, saying she didn't "need anybody to foot my bills".

Mr Wade once told her "the only thing a woman can do for him is make him a sandwich", Ms Willis testified. "There was tension always in our relationship, which is why I would give him his money back."

At other points in her testimony, Ms Willis worked to bring the attention back to Mr Trump's case.

"You're confused. You think I'm on trial. These people are on trial for trying to steal an election in 2020," she said to lawyer Ashleigh Merchent, referring to the main case.

Ms Willis' testimony followed that of a former friend and employee, Robin Yeartie, who claimed the district attorney's relationship with Mr Wade began before he joined the Trump case - contradicting both of their timelines.

She saw the pair hugging and kissing years before the case, Ms Yeartie told the court, so she had "no doubt" the relationship started in 2019.

Ms Willis offered a fiery counter to her former friend, insisting no romantic relationship began until two years later. And she echoed claims made by Mr Wade in court. He claimed that his cancer diagnosis in 2020 would have prevented a physical relationship.

"Mr Wade had a form of cancer that makes your allegations somewhat ridiculous," she told defence lawyer Steven Sadow. "I'm not going to emasculate a black man … so I don't think we should discuss it further."

Judge McAfee has said he could disqualify Ms Willis from the case if evidence supports the defence's claims. Ms Willis' removal would delay and potentially derail the proceedings against Mr Trump entirely, a trial with major consequences for the 2024 election.

After a day of dramatic testimony, experts told the BBC it's still unclear who came out on top.

It's a "credibility contest" for the judge to decide who wins, said Atlanta defence attorney Andrew Fleischman. Mr Wade was nearly flawless in his well-rehearsed testimony, Mr Fleischman said, but Ms Willis' tone could put her at risk.

"Fani Willis's demeanour has been so extreme that that might incline him to disqualify her even if he is not sure of the other stuff," Mr Fleischman said.

Ms Willis will resume her testimony on Friday at 09:00 local time (14:00 GMT).

The cryptocurrency firm Bitcoin Latinum has sued journalists at Forbes and Poker.org, claiming that the writers made false and defamatory statements in articles that described securities fraud lawsuits filed against the crypto firm.

Bitcoin Latinum and its founder, Donald Basile, filed a libel lawsuit against Forbes reporter Cyrus Farivar and another libel lawsuit against Poker.org and its reporter Haley Hintze. (Farivar was a long-time Ars Technica reporter .)

The lawsuits are surprising because the Forbes article and the Poker.org article , both published in 2022, are very much like thousands of other news stories that describe allegations in a lawsuit. In both articles, it is clear that the allegations come from the filer of the lawsuit and not from the author of the article.

But both of Bitcoin Latinum's lawsuits, which were filed last week in Delaware's Court of Chancery, demand that the articles be retracted. They contain the following claim in exactly the same words:

The Article contains statements which insinuate and lead the reader to believe that Assofi's allegations against Plaintiff Latinum and Plaintiff Basile are factual and correct, and which statements are not couched as the opinion of the author, but rather, are presented as fact, and therefore do not fall under any applicable privilege.

"Assofi's allegations" are those made in a lawsuit filed against Bitcoin Latinum and Basile in November 2022. That lawsuit from Arshad Assofi, who said he lost over $15 million investing in worthless tokens, alleged that Bitcoin Latinum "is a scam" and accused the defendants of securities fraud and other violations. Bitcoin Latinum calls itself "the future of Bitcoin."

Lawsuit cites wrong article

It's especially surprising that Bitcoin Latinum's lawsuit against Hintze contains the statement about "Assofi's allegations" because the Hintze article cited in the lawsuit never mentions Assofi. The Hintze article on Poker.org is about a different lawsuit from different plaintiffs who also alleged securities fraud.

In fact, the Hintze article was published in February 2022, 10 months before the Assofi lawsuit was filed. TechDirt's Mike Masnick pointed out this error in an article yesterday:

It appears that Latinum's lawyer actually meant to sue over a different Poker.org article , that was published in November about the Assofi lawsuit, but repeatedly claims that the article was published on February 5, 2022, rather than the actual publication date of the article she meant, which was November 21, 2022. Also, Latinum's lawyer included the February 5th article as the exhibit, rather than the November 21st article. Such attention to detail to talk about the wrong article and include the wrong article as an exhibit. Top notch lawyering.

Masnick also points out that the statute of limitations is two years, and the lawsuit against Hintze was filed more than two years after her February 2022 article.

In libel cases, journalists may defend themselves with the " fair report privilege ." This applies to accurate reporting on official government matters, including court proceedings.

The lawyer for Bitcoin Latinum in the Farivar and Hintze cases is Holly Whitney , who specializes in estate planning and probate cases. We contacted Whitney and Bitcoin Latinum about the lawsuits today and will update this article if we get a response.

References are ordered alphabetically by the first author’s last name. If the author is unknown, order the reference entry by the first meaningful word of the title (ignoring articles: “the”, “a”, or “an”).

Word processors like Word or Google Docs and citation generators can usually order the reference list automatically. However, ordering becomes challenging when citing multiple works by the same author or works by authors with the same last name.

Only include references for sources cited in the body text (with an APA in-text citation ). Don’t include references for:

  • Sources that you only consulted;
  • Personal communications (e.g., emails or phone calls);
  • General mentions of websites or periodicals ;
  • Common knowledge .

For some student papers, it’s common to describe or evaluate the source in an annotation . These annotations are placed on a new line below the corresponding reference entry. The entire annotation is indented 0.5 inches.

If an annotation consists of multiple paragraphs, the first line of the second and any subsequent paragraphs is indented an additional 0.5 inches.
