How to Password Protect PowerPoint (Step-by-Step)

Are you ready to learn how to password protect PowerPoint presentations so that others cannot edit or copy and paste your content?

Before you get started though, please remember this. If you forget the password you created in the steps below, you will not be able to recover your password, or unlock your presentation.

Now before password protect your presentation, it’s important to first understand the difference between the two types of Passwords you can use to protect your PowerPoint presentations.

Two Types of PowerPoint Passwords

PowerPoint has two different styles or types of passwords you can add to your presentation which determine what someone can and can’t do with your presentation.

While the difference between the two pop-up windows as you can see in the picture below appears small, the difference is big.

There are two types of protection you can add to powerpoint, Password to Open and Password to Modify

1. Password to Open

Adding a password to open forces you (or whoever opens your presentation) to input a password to be able to not only see but edit the content of your presentation.

If they do not know the correct (case-sensitive) password, they cannot open, review or modify your presentation in any way. Just keep in mind that there is NO WAY to recover a forgotten password.

So if you password protect your presentation AND forget your password, you too will not be able to open or edit your presentation.

2. Password to Modify

Adding a password to Modify gives your clients and colleagues two different ways to access your presentation.

  • They can enter the correct password and get full editing rights to your document (just like a normal presentation).
  • They can choose to open your file in a Read-Only format, allowing them to view (but not edit) your PowerPoint presentation.

To give someone the Read-Only option pictured below to access your presentation, you must use the password to Modify option.

In the Read-Only version of your presentation, people can still print, save your file as a PDF and run your presentation in the Slideshow modes. To see all the slideshow shortcuts and techniques, check out our ultimate slideshow guide here.

On top of that, all of your PowerPoint animations, effects, hyperlinks, etc. will still work in the Read-Only version of your document. But other than reviewing your document, people will NOT be able to edit, modify or copy and paste any of your content.

How to add a password to PowerPoint

To password protect your PowerPoint presentation using either the Password to Open or Password to Modify options, follow the steps below.

1. Open the PowerPoint presentation you want to password protect

The only way to add a password to a specific presentation is from within the presentation itself. So as a first step, find and open the presentation that you want to password-protect.

As a best practice, I recommend creating a non-password-protected copy of your presentation and saving it on your computer. That way if you forget your password, you can always open the non-password-protected version on your computer.

To create a copy of your presentation, simply Ctrl + C to copy and Ctrl + V to paste it inside a File Explorer window.

2. Open the Save As dialog box

Hit F12 or Ctrl plus Shift plus S for the Save As dialog box

The FASTEST way to access the Save As dialog box from within PowerPoint is using your keyboard shortcuts. You can use either of the two keyboard shortcuts (whichever is easier for you to remember):

  • F12 for Save As
  • Ctrl + Shift + S for Save As

If you hit F12 and nothing happens, that means that your function keys are reversed. In this case, try adding the Function key to the sequence:  Fn + F12 .

3. Open the Tools dropdown

In the Save As dialog box, click the Tools command to access the password protection options in PowerPoint

Inside the Save As dialog box, open the Tools dropdown (it is right next to the Save button as pictured above).

Note : The Save As dialog box is also the trick to converting PowerPoint to PDF .

4. Select General Options

Inside the Tools dropdown, select General Options . This is where you can add/remove passwords to your PowerPoint presentations.

5. Enter your password (Open or Modify)

Inside the General Options dialog box, decide which type of password to add to your presentation (see my explanation of both types at the top of this page).

Your two options are:

  • Password to Open
  • Password to Modify

To get started, simply click into the input box for the type of password you want to protect PowerPoint with (Open or Modify) and type your password.

Remember too that passwords are case-sensitive, so be careful you don’t have the Caps Lock key on when you enter your password. Thankfully, you get the chance to confirm your password in the next step.

6. Confirm your Password

This is your chance to confirm you have typed the correct password for your presentation. As there is no way to view the password you have typed, I recommend taking care here to make sure you type what you think you typed.

If you make a mistake and the two passwords are not the same, you get the following error notification.

If the password you enter does not match your original password, PowerPoint warns you, forcing you to reenter your passwords again

Clicking OK , you can either re-type your password correctly or select Cancel to exit out of the Confirm Password dialog box.

PowerPoint will not allow you to add a password to your presentation unless you can first confirm your password.

7. Rename your Presentation (Recommended)

While renaming your password-protected presentation is optional, to me this is a critical best practice.

I personally like to add “- with Password” or “PW” or “Password to Open” to identify the document as having a password. This also helps you distinguish it from your original (non-password protected) document that you hopefully saved in step #1 above.

In this step, you can also choose where to save your password-protected document on your computer by navigating between your folders.

8. Save and Close your document

Once you have selected a location on your computer to save your password-protected presentation, click Save and then close out of your document to trigger the password.

As long as you have your document open, you will not need to enter the password to open it (as it is already open). Closing the document triggers the password gate to close, requiring a password to open it again.

9. Double-check your password works properly

Double check that your presentation is protected before sending it off to your clients or colleagues

Before you send off your document as final, double-check that your password properly works. This is especially important if you created a non-password-protected version of your presentation, to make sure you are working with the correct file.

Find your protected presentation on your computer and double-click it to open it up. If the document immediately opens without asking you to enter a password, it means that:

  • You selected the non-password-protected version of your document
  • You never closed your PowerPoint presentation after adding your password (see step #8 above)
  • You made a mistake somewhere along the way and should start over

Either way, double-checking this now will save you from accidentally sending your client the wrong file.

Once your password is properly added to your presentation, opening the document forces you to enter a password to continue. Once you see the dialog box, try entering your password to make sure you have the right one.

How to remove a password from PowerPoint

Tired of always having to enter in a password to edit your presentation? Well, let’s look at how to remove a password from your presentation.

For example, you added a password to your presentation to work with a specific client, and now that project is over. So you want to remove the password so you and your team can access it without always having to enter a password.

Removing a password is very similar to adding a password. Simply follow these steps.

1. Find and open the password-protected presentation

The only way to remove a password from PowerPoint is from within the password-protected presentation.

Navigate to the file on your computer, and double-click it to open it. If a dialog box does not pop open asking you for a password to continue, it means one of two things:

  • You have selected the wrong presentation
  • Your presentation is not password-protected

Notice how easy it is to see which presentation is password-protected in the picture above? That is why I recommend adding a qualifier in the name of any PowerPoint presentation you password protect.

2. Enter the correct password and click OK

Regardless of whether you have a Password to Open or a Password to Modify, enter the correct password and click OK to get full editing rights to your document.

You cannot remove a password in the Read-Only version of PowerPoint that you can access with the Password to Modify .

If you do not know the password to the presentation, you cannot remove the password from the document (sorry). This is why I recommend saving a non-password-protected version of your file first.

3. Open the Save As dialog box

Hit F12 or Control Plus Shift Plus S to open the Save As dialog box

Once you have successfully opened the password-protected presentation, now you can remove the password. To get started, hit F12 or Ctrl + Shift + S to open the Save As dialog box.

4. Open the Tools dropdown

5. Select General Options

Inside the Tools dropdown, select General Options to remove the password from your presentation.

6. Select and delete the password

Depending on what type of password was added to your presentation, you should see a sequence of circles or asterisks marks in either the Password to Open or Password to Modify option as pictured below.

Simply select the password in the dialog box and hit either Delete or Backspace on your keyboard.

Two things you cannot do in this dialog box are:

  • You cannot view the password. So if you open a password-protected presentation on your computer, your colleague cannot sneak a peek at the password when you are not looking.
  • You cannot password-protect your presentation with both types of passwords. You will either have a Password to open or a Password to modify , never both (it is impossible).

7. Click OK and then Save

After deleting the password, click OK and then click Save .

This saves your presentation without the password, allowing you to open the file without having to use a password in the future.  If you like, you can also choose to rename your file now that it is no longer password-protected.

8. Double-check the password is removed

Before you forget, double-check that the password has been removed from your presentation.

Close your PowerPoint presentation (Ctrl + W on your keyboard) and then reopen. If you are again asked to enter a password to open or modify the presentation then something went wrong along the way.

If this happens to you, don’t sweat it. It is better to figure this out now (and fix the problem) rather than having your client or colleague email you about the issue.

PowerPoint Password Tips

I cannot stress this enough, DO NOT forget your password.

A number of people have asked whether it is possible to recover a password they have forgotten. Unfortunately, there is no way to retrieve a forgotten password like this that I know of. 

This is why I recommend saving a copy of your original presentation (a non-password protected version) before adding a password to it. That way if you forget your password, you can always go back to the original (non-password protected) document, without having to recreate the wheel.

A few additional PowerPoint password tips are:

Tip #1. Passwords are case sensitive, so watch out for upper case letters. 

That means that locking PowerPoint with the uppercase password ‘OPEN SESAME’ is treated differently than the lowercase password ‘open sesame.’

Tip #2. Make your passwords easy to remember

One way to make your passwords easy to remember is to either reference the client’s name in the password or just used the first four letters of the document.

An example using the client’s name could be m icrosoft open (I recommend using lower-case) if your client is Microsoft

An example using the first four letters for a file called “Quarterly Report” would be quar open (again making it all lower case so it is easier to remember).

Tip #3. Don’t use the same password for all of your presentations

Just like you shouldn’t use the same password for all your personal things, you don’t want to use the same password to open all of your presentations. That is because if someone figures that out, they will be able to open all of your password-protected presentations.

Tip #4. Develop a naming convention that makes sense for you

Two important things to remember about password protecting your presentations are:

#1. Most people are not familiar with having to add a password to open a presentation. So, if your password-protect your presentation, warn your clients and colleagues in advance.

#2. There is no way to recover your password if you forget it. So, use an easy to remember password, write it down and better yet, save a non-password-protected version of your presentation that you can always refer to it if necessary.

Thanks for the article! So there is no way to recover the password? I had this problem once and tried googling for it, there are a lot of sites that claim it’s possible. Fortunately it was just an edit password and a simple ppt, so ended up making a new presentation with the same text and pictures.

To my knowledge, there is no way to recover a password. That is why I recommend saving a copy of your presentation without a password before adding one. Sorry I don’t have a better answer for you.

PowerPoint offers several options to allow you to make a PowerPoint presentation read only. This post will guide you through four effective ways to make a PowerPoint presentation read only or uneditable PowerPoint 2007 /2010/ 2013/ 2016/ 2019.

Note : The operations and screenshots below were based on PowerPoint 2016. The same goes for other versions like PowerPoint 2007 /2010 /2013 /2019 but some layouts may change slightly.

Way 1: Make PPT file read only with password

Way 2: make ppt file read only via restrict access, way 3: make ppt file read only by mark as final feature.

  • Way 4: Make PPT file read only by Always Open Read only feature

To make PowerPoint presentation read only or uneditable, you can set a password to modify when you save it. Here's what to do.

Step 1 : Click on File tab and then select Save As option. Then select a location for this file.

Step 2 : On Save As window, click on Tool button and then select General Options in the context menu.

Step 3 : Type a password in the input box next to Password to modify and click on OK button to save it. On Save As window, click on Save button to save the PPT file. Finally, this PowerPoint presentation is locked for editing, and you can only open it in read only mode without password. It is very reliable and secure to prevent PowerPoint presentation from being edited.

Tips : If you forgot or lost the password accidentally, you can remove the password with a powerful third-party tool like PowerPoint Unprotection , which can help you remove or recover the password to modify of PowerPoint presentation with one click.

Besides, you can also make a PowerPoint presentation read only or uneditable with Restrict Access option, which allows others to open PPT file in read only mode but they unable to edit or copy it. Here are detailed steps.

Step 1 : Go to File -> Info .

Step 2 : Click Protect Presentation button and select Restrict Access option in the context menu. Then you can set the permission of editing or reading. Finally, you can save a PowerPoint presentation so it cannot be edited.

This feature allows the author to mark the presentation as final to discourage editing. But the read only mode is very easy to be removed so this way is not recommended. Here is how to mark a presentation as final.

Step 2 : Click Protect Presentation button and select Mark as Final option in the context menu. That's all.

Way 4: Make PPT file read only by Always Open Read Only feature

Similarly, you can also make a PowerPoint presentation read only or uneditable with Always Open Read Only feature. This way is very similar to Mark as Final feature. Both of them are just advised to not edit or modify and it is very easy to remove the read only mode from PowerPoint presentation.

Step 2 : Click Protect Presentation button and select Always Open Read Only option in the context menu. Finally, the PowerPoint presentation is set to read only mode and it is uneditable.

Is Your PowerPoint Read-Only? Here’s How to Edit and Save it!

Are you trying to open a PowerPoint presentation that sadly opens up as a read-only file? If the answer is yes, then you are not alone! This isn’t a pleasant situation for anyone, however, there are many complications and reasons behind why this happens. On a larger note, the solution to this problem is fairly simple.

To edit your PowerPoint read-only file, simply click on the “Edit Anyway” button on the horizontal yellow bar under the ribbon. You can also click on the “File” tab. Then, click on “Info”. Next, locate and click on “Protect Presentation”, and finally click on “Mark as Final”.

Interestingly, one of the reasons why your presentation shows as read-only is because of an in-built feature within PowerPoint! (We’ll get to the details of that in a bit). So, this is not something that you need to fear. We just need to be a bit more informed on how to fix it!

So, in this article, I will be sharing with you the details of why a PowerPoint file shows “Read-only”, and what can you do to save the file and make it editable. Let’s get started!

Why is My PowerPoint Read-Only?

One of the most common reasons for PowerPoint to become a read-only file as when it has been done so intentionally. Why would anyone want to do this intentionally?

1. “Mark as Final” Feature is Enabled

Well, it turns out, PowerPoint actually provides a built-in feature known as “Mark as Final”. This feature turns the PowerPoint file into “Read-Only” mode . The “Mark as Final” feature of PowerPoint is designed to let the readers know that the version of the presentation that they are viewing is the final version and no changes are to be made to that version!

Thus, even though such a presentation can be opened by viewers, they will see a “Read-Only” prompt both at the top of the PowerPoint application where the title appears (otherwise known as the title bar), and a yellow strip just below the ribbons with a button that says “Edit Anyway”.

Obviously, there are other ways to prevent your viewers from editing your PowerPoint file which is more fool-proof. More on that later in the article.

2. PowerPoint has just Recovered from a Crash

Another common reason for PowerPoint to get into “Read-Only” mode is when your PowerPoint may have recovered from a crash . Irrespective of whether the PowerPoint application was abruptly closed intentionally or unintentionally when a presentation file was open, PowerPoint may open the file in “Read-Only” mode when restarted.

PowerPoint automatically marks the previous saved version as the final version of the file and opens it up in the read-only mode.

3. Same PPT file is Opened Twice at the Same time!

Lastly, PowerPoint may also convert a presentation into “Read-Only” mode when two presentations that have the same name are opened at the same time. Alternatively, the file may also become read-only when the same file has been opened twice by mistake.

This can happen especially when PowerPoint takes some time to respond to the user’s first request to open a presentation file leading to the user double-clicking on the same file twice. How to Unlock Read-Only in PowerPoint?

One of the key reasons why your PowerPoint file may become read-only every time you open it is because the “Mark as Final” feature has been enabled in the settings. As long as this feature has been enabled, your PowerPoint file may keep reopening as a read-only file from time to time.

Even though clicking on “Edit Anyway” as described above will fix the issue, however, if the presentation has been marked as final by the original author, it may continue to show the read-only mode sometimes.

In order to fix that issue, you will need to take a slightly longer route. Here’s a step-by-step process to turn off read-only mode in PowerPoint.

1. Start by opening your “read-only” PowerPoint presentation.

2. Hover to the top menu and then click on the tab named ‘File’. Then click on Info.

3. There will be a ‘Protect Presentation’ option in clear yellow.

4. You might come across a dialog box telling you “The presentation has been marked as final to discourage any editing.”

5. To undo this feature, simply click on Protect Presentation. A menu will appear, click on the ‘Mark as Final’ to fully unlock the desired presentation.

After doing this you will see that the Read-Only suffix from your PPT file’s name will be gone and you would be able to freely edit further.

How to Edit a Read-Only PowerPoint File?

After you have done removing the read-only feature from your PowerPoint, you can simply edit texts, add animations, images and use features with absolute free will. Just getting through the read-only barrier is the only thing that you need to know to get started with editing.

Interestingly, you can also get out of the read-only mode in PowerPoint by saving the file with a different name. This will not only allow you to get rid of the read-only mode but also allow you to save a copy of the edits that you may have made while the file was in the read-only mode.

Saving a PowerPoint file that is in a read-only mode is rather quite simple. Although you don’t need to enable “Edit Anyway”, doing so would be recommended. The next step is really saving a file in a different location on your computer with either the same name or under a different name.

Here’s how you can save a read-only PowerPoint presentation –

  • Click on the “File” tab.
  • Click on “Save As” from the option provided on the left part of your screen.
  • Navigate to a folder location where you want to save the file. Feel free to change the name of the file if needed.
  • Click “Save”.
  • Lastly, browse to the specific folder where you saved the PowerPoint file. Open it and check to see if the “Read-Only” mode has been removed.

Why Does Every PowerPoint File Open in Read-Only Mode?

As we have learned so far, one of the key reasons for PowerPoint to open a presentation file in read-only mode is when it has been “Marked as Final” by the author of the file. By now, you’ve also learned how to get rid of this problem.

However, the “Mark as Final” feature should only restrict the specific file shared by a particular author . It typically shouldn’t make all your PowerPoint files “Read-Only”.

If this is the case for you, the problem may be slightly different. Let’s understand this a bit further.

Sometimes, t he file or the folder in which the PowerPoint presentation has been saved itself becomes read-only due to a glitch in the operating system . There are several reasons why this could happen. I won’t go into details of each of those reasons. However, it is important for us to understand how to make this file or folder editable.

Here’s what you could do to remove the read-only from a particular presentation file –

  • Navigate to the folder in which the file has been saved, and locate the file.
  • Right-click on the file and select “Properties” from the window the just opens up.
  • A new window will open up. Click on the “General” tab. Next, clear the check-box from the “Read-Only” attribute option.
  • Finally, click “OK” and save your changes.

This should solve the problem. If it still doesn’t fix the issue, you may want to check whether the folder in which the PowerPoint file has been saved has the editable rights to it and is not marked as read-only.

How to Prevent PowerPoint from Being Edited?

There are quite a few different ways in which you can lock a PowerPoint file or prevent it from being edited. Here are some of the options that you can choose from –

  • Save a PowerPoint File as Read-Only

  • Convert a PowerPoint file into a PowerPoint Show File (PPSX)
  • Convert a PowerPoint file into a PDF file
  • Convert a PowerPoint file into a Video

Let’s look at some of these methods in detail –

Method 1 – Save a PowerPoint File as Read-Only

To get this done, simply do the opposite of turning off the read-only mode. Here’s a step-by-step process to save a PowerPoint file as Read-Only:

  • Open the desired PowerPoint presentation, and click on the “ File ” tab.
  • Next, click on the “ Info ” tab from the options presented on the left part of the screen.
  • Select the “ Protect Presentation ” option.
  • From the dropdown, select “ Always Open Read-Only “.
  • Finally, save the file by pressing Ctrl+S.

Your presentation file will now be opened as a read-only file.

Method 2 – Password Protect your PowerPoint presentation

If your colleagues or students haven’t been very familiar with your polite way of discouraging any edits on your final PowerPoint file, then the best option for you is to simply encrypt your presentation file using a password protection feature.

Here’s what you need to do to password protect your PowerPoint presentation –

  • Open your desired presentation and select the File tab and then click on “ Save As ”.
  • At the bottom of the “Save As” dialogue box, a “ Tools ” option will appear.
  • Click on “ General Options ”.
  • The box marked as “ Password to Modify ” can be used to type in the desired password you wish to set.
  • After setting up your password and re-entering it for further verification, simply click “ OK ”

Similarly, you can also enable password protection from the “ Info ” tab. To do that, click on the “ File ” tab first. Then, click the “ Info ” tab. Next, click on “ Protect Presentation “, and finally from the dropdown, click on “ Encrypt with Password “. You will then be asked to set a password. Simply re-enter the same password and click “ OK “.

While encrypting the PowerPoint file with a password, you will be presented with 2 options – either to restrict access to the PowerPoint file or to restrict modifying the presentation file. Choose the latter as this will allow your audience to at least view the presentation file without editing it.

Method 3 – Convert PowerPoint presentation as a PPSX file

Another method of preventing a PowerPoint presentation from being editing is to convert it into a PowerPoint show file or a PPSX file format. Doing so will directly open the presentation file in a PowerPoint Slide Show mode thereby restricting the editing capabilities of an individual for such a file.

Here’s how to convert a PowerPoint presentation to a PowerPoint Show file (PPSX file)

  • Click on the “ File ” tab.
  • Then, click on “ Save As ” from the panel on the left part of your screen.
  • On the new window that pops-up, click on the “ Save As Type ” option.
  • From the dropdown, scroll down and locate the “ PowerPoint Show ” file type option.
  • Navigate to the desired location and rename the file if needed.
  • Click on “ Save “.

Method 4 – Convert PowerPoint Presentation into a PDF File

Another alternative method is to share a PDF version of the presentation instead of the PPT file. All you need to do is convert the file to the PDF file format. To do that, you can follow the below steps –

  • Then, click on “ Export ” from the panel on the left part of your screen.
  • On the new window that pops-up, click on the “ Create PDF ” option.

You will now notice that there is a PDF file added to the folder in which you saved the file. Make sure that you share this PDF file instead of the PPT presentation.

Method 5 – Convert PowerPoint File into a Video

Last, but not the least, you can also convert your presentation into a video. Although the use of this method is more suited for creating videos using PowerPoint, however, you can also use this method to ensure that you are able to prevent your viewers from editing it.

Here’s how to convert a PowerPoint file into a video –

  • On the new window that pops-up, click on the “ MPEG/MP4 ” option.

How to Remove Restricted Access in PowerPoint?

PowerPoint also provides you with an option to remove access restrictions that the original author may have put in place.

To remove the restricted access setting in your file, simply follow the below steps:

  • Next, click on the “Info” tab.
  • Then, click on “Protect Presentation” and change the permissions which have been applied.

Unselecting the previous options will remove the existing restrictions.

It is important to note that if the file is password-protected, you will need the password to change the permissions of the file. Without the original password, you won’t be able to unlock the permission protections.

You have probably password protected documents in Word or Excel . In Excel Advanced Formulas , we even talk about how you can protect individual cells from being altered, while leaving the rest open to changes. Microsoft does not make it as obvious in PowerPoint that password protection is a possibility is it does in its other programs… but you actually have several options, including the ability to restrict editing while still allowing users to view your presentation. Let’s take a look.

Be Cautious with Microsoft Passwords

The usual password disclaimer applies…

  • Be very careful applying passwords in any Microsoft program.
  • If you lose the password, neither Microsoft nor ITS can reset it for you (trust me, I have been there).
  • You may want to save an copy of your original file without a password for your personal use.

Password Protecting Documents in Word and Excel

Password protection in Word and Excel is fairly obvious; you even have a special button in the Review tab to guide you through Restrict Editing features or Protect Sheet/Workbook in the case of Excel.

“Save As” Password Options

1. With your presentation open, go to File , Save As (or remember my favorite shortcut, F12 ).

2. In the lower right, click on Tools dropdown and select General Options.

3. A screen will appear prompting you to either:

  • Require a password to Open , or
  • Require a password to Modify . Let’s stick with Modify for now.

4. Enter a password for Modify , and click OK . You may be prompted to reenter the password.

5. Save and close your PowerPoint file. Open the file again, and you should be prompted to either enter a password , or open a read only version.

Your users will still be able to view and print the document, but they will not be able to make changes.

Remove the Password

Later, if you would like to remove the password:

1. Open the file, entering the password when prompted.

2. Revisit the Save As screen to find the Tools, General Options where you first set the password.

A read-only PowerPoint presentation can quite literally be unlocked at the click of a button. Here's how.

If you want unrestricted editorial rights to a read-only PowerPoint presentation, then you have to unlock it. The good news is that you can open it in a few simple clicks. Here’s how.

There are two ways to tell if a presentation is a read-only file. The first is if you see the words “Read-Only” after the title of the presentation. The second is if you see a yellow message bar across the top of a presentation with a message letting you know the document has limited access.

Next to the yellow banner message will be a button that reads “Edit Anyway." Click that button to unlock the PowerPoint.

The yellow bar should disappear along with the “Read-Only” text that appeared after the presentation title. Your PowerPoint will now be editable.

As the saying goes, there's more than one way to cook an egg. The same applies to unlocking a presentation. Although this method involves a few extra steps, we wouldn't be real geeks if we didn't show you how.

First, open the read-only presentation and select the  “File” tab.

You’ll be moved in the “Info” menu. Here, you’ll see the “Protect Presentation” option is marked in yellow and has a message displayed next to it---the presentation has been marked as final to discourage any editing. Go ahead and select “Protect Presentation."

From the submenu, select “Mark as Final." Clicking this will undo the lock.

You’ll now see that the yellow banner and its accompanying message next to the “Protect Presentation” option disappears. The “Read-Only” text next to the presentation title also disappears.

A presentation might be locked for any of several valid reasons. For starters, people use it mainly to discourage edits; they're merely alerting recipients the presentation they've received is the final version provided by the original author. Read-only status can also prevent accidental edits caused by human error.

Making a presentation read-only is more polite than asking people not to edit it than it is an actual protective measure of your content. However, taking the extra steps to let people know you don't want your content to be edited is a good thing to do.

Now that we know how to unlock a PowerPoint presentation and why it was likely locked in the first place, here's how to re-enable read-only.

Open the presentation you want to make read-only and select the "File" tab.

You'll then be in the "Info" menu. Select "Protect Presentation" to open a drop-down menu. Click "Mark as Final."

A dialogue box will then appear, letting you know the presentation will be marked as final and saved. Click "OK."

Now, when you send out the presentation, it will display the "Marked as Final" message bar, alerting the recipients that the presentation is read-only.

How to Make PowerPoint Presentation Read-only

This method aims to create a read-only password for your PowerPoint presentation. Next time, you need to input the password to open and edit this PowerPoint Presentation. Or you can just get into read only mode. It is a very reliable way to set a password to restrict the read and write permissions of the PPT.

  • 1. Open your presentation. Click the " File " in the ribbon. And then click " Save as ".

Way3: Mark PowerPoint Presentation as Final to Make it Read-only

Way-3 is to mark the PowerPoint presentation as the final version and make it read-only. But the permission can be easily removed somewhat. Choose carefully according to your personal use.

Referring to the Step-3 of Way-1 , and select the first option " Mark as Final ". After clicking it, the presentation will immediately get protected to discourage editing.

Way4: Set PowerPoint Presentation Read-only with File Lock Tuner

With Cocosenor File Lock Tuner , you can easily make PowerPoint presentations read-only so that others can not edit the content. It is also possible for you to restrict permissions of PowerPoint documents in bulk.

For the Microsoft users who want to protect PowerPoint presentation from editing and modifying, they can make a presentation created with MS PowerPoint 2010 read only in three methods.

  • Method 1: Mark the PowerPoint Presentation as Final Version

Method 2: Restrict Editing with the Password

In the following, we use Microsoft PowerPoint 2010 to show you the process to make a PowerPoint presentation read only.

If you want to make the PowerPoint presentation protected, Mark as Final is the first option that let readers know the content is final and make it read-only. In this way, you turn off the typing, inserting and other editing features on the final content version.

Step 1: Open File > Info > Protect Presentation .

Step 2: Click Protect Presentation and get several options.

Step 3: Click Mark as Final and get the warning box from Microsoft PowerPoint. Click OK to continue.

After that, when others open this presentation, they will see a yellow alert on the top. If they want to edit the content, they can click Edit Anyway to modify the text and layout. Therefore, it is not a safe option to protect the presentation.

This option is chosen by most people to make the MS PowerPoint 2010 presentation read only. You can add restrict permission to remove others' ability to edit, copy and print the presentation.

Step 1: Access File > Info > Protect Presentation .

Make a PowerPoint Presentation Read Only

You can’t edit the presentation if read-only is turned on in Microsoft PowerPoint. This means that you should not make any changes to the presentation until you are done with it. You can make a PowerPoint presentation read-only by following these steps:

  • Your PowerPoint presentation is now open.
  • Select and click the File button at the top.
  • Select Info from the bar to the left.
  • Click Protect Presentation .

You’ll find four options in the pull-down menu:

  • Always open Read-Only and informs readers that the selected PowerPoint file is read only, and should not be edited.
  • Mark as Final informs readers that this is the final copy of this file.
  • Use a Password to encrypt files.
  • Add Digital Signature activates the function and adds an invisible signature that ensures the integrity of the presentation.

Only two options will make your PowerPoint presentation unreadable: Always Open Read Only or Mark it as Final.

If Always Open Read-Only has been selected, everyone who opens the presentation will be notified that the author has made it safe to do so. Files marked as Final will also display the message “An author has marked the presentation as final to discourage editing.”

NOTE: If you don’t want anyone altering your presentation, the best option is to choose “Encrypt with Password” from the Protect Presentation menu. This option, as you probably know, means that no one can read or edit the file without your Password. This is the best way to secure your document.

Password for Modifying Presentation

To prevent others from altering the document, you can also set a password. Here are the steps to accomplish this.

1: Open the presentation, then click “File > Save as.”

2: Click “Tools” at the bottom of the “Save As” dialog box, and then click “General Options.”

3: Type the Password you want to use in the box marked “Password To M; modify” and click “OK.” Enter the Password again and click “OK.”

4: Click “Save” to save the PowerPoint presentation. The next time someone attempts to edit the document, they will need to enter the Password.

Convert PowerPoint into Read-Only Video

You can also convert your PowerPoint presentation to read-only video in the same manner. This will make it difficult for others to modify the presentation’s content and make it easier to distribute it.

Making PPT Read-Only

We have a PPT document we wish to make Read Only. 

Not sort of read only as when you go into permissions and mark as final the document when reopened has a pop up box that if you click on allows you to edit anyway.  So the point of this is what?

How do we make PPT read-only.

If you add a modify password the user will have the option of opening as (real) read only. An expert will easily break this protection but for most users it will work.

To add a modify password when you SAVE AS click Tools > General

If you open a PowerPoint file and there is a yellow bar at the top of the file, indicating that the author has marked this presentation as final to discourage editing, then the PowerPoint file is read-only.

Other users might just discourage editing by marking PowerPoint presentations as final. Users mark PowerPoint documents primarily to tell recipients not to change them. However, a marked document is not an editing block.

Beyond PowerPoint’s editing restriction settings, some users might also prevent recipients from changing slideshow documents by adjusting file attribute settings. Selecting a “Read-only” File Explorer option will make a document viewable only. However, that option is not entirely an outright editing block.

Step 1: First, click PowerPoint’s File tab.

Step 1: If you know the editing password, enter it within the Password text box.

Step 2: Click the “OK” button on the Password window.
