Here’s how to write a cover letter for a formal job application:

1. Choose a professional cover letter format and layout

  • Cover letter outline : consisting of three paragraphs.
  • First paragraph: mention the job you’re applying to and your biggest work accomplishment .
  • Middle paragraph: describe the top ways you fit the job.
  • Final paragraph: explain why you want this job and a request for an interview.
  • Cover letter font : choose a respected and easily readable font (Trebuchet, Lato, Calibri, Garamond).
  • Line spacing: set to 1.15.
  • Cover letter margins : 1 inch on all sides of the page.

2. Create a formal cover letter header

  • List your first and last name and  job title . Then add your contact information address (including zip code), email, and phone number.
  • Include your LinkedIn profile. ( 87% of hiring managers use LinkedIn to screen job candidates.)
  • Add a blank line, the date, another blank line, and then write the hiring manager’s contact details.
  • Use the same cover letter header in your resume for continuity and a professional look.

3. Opening paragraph: say what job you’re applying for

  • Start with “ Dear [Hiring Manager Name] ,”, avoid “To Whom It May Concern” cover letters . Again, always try to include the name of hiring manager.
  • State the job you’re applying for when writing a cover letter.
  • Add your most impressive work accomplishment to keep employers reading.

4. Middle paragraph: show your understanding of the job

  • In the body of your cover letter, mention a top few job duties to show you understand the role.
  • Share a few examples of accomplishments that show when you excelled at those tasks.

5. Prove you really want this job

  • Show you’re interested in this job with this company.
  • To do it, share something you like about the company.
  • Can’t think of anything? Check their mission statement and find recent news about them online.
  • This step proves you’ll be committed and hard working.
  • You can actually do it in any paragraph, or in every paragraph. Passion helps to sell you as a candidate.

6. Last paragraph: end your formal cover letter with an offer

  • Ask for a meeting or call to discuss the role further.

7. Add a professional sign-off at the bottom of the page

  • End your cover letter with, “Best regards,”
  • Include a digital version of your signature for extra professionalism.
  • Add your name, phone, and email at the bottom.

Tips in Creating a Job Application Letter

A job application letter is not difficult to compose. You just need to incorporate the correct details and you will be hired by the company you are applying for in no time. Here are some tips in creating a job application letter :

Specify the recipient of the letter

It is of high importance that the job application letter should be addressed to a specific person, either to the human resource manager or any company officer. Most of the time, the job listing includes information on to whom you will be submitting your application. The full name together with the designation is usually listed down (for example: Ms. Elizabeth Olsen, Human Resource Manager, or Mr. Paul Bettany, Finance and Payroll Manager).

If a name is nowhere to be found, do research and try to locate the names of the company officers. If you are still unsuccessful, you can just address the application letter to the human resource department (for example: Human Resource Department, ABC Corporation). Take note that addressing to the human resource department is your last option, as listing down the specific recipient is more formal and will be appreciated more by the company.

Limit the content to three paragraphs max

Limit the length of your job application letter to three paragraphs maximum. The first paragraph should include information on the job position you are applying for and the reason why you are applying for the job. The second paragraph should include a short description of your skills as well as the reasons why the company should hire you. The third or closing paragraph should indicate your contact number and/or email address as well as a few sentences that you are looking forward to meeting with them in the future.

Some job application letters combine the first and second paragraphs, while the closing paragraph always closes the job application letter on a high note. Take note that the job application letter is a formal business document and you are addressing the letter to professionals who have years of experience in their respective fields. Make sure the letter is only one-page long and the content should cut directly to the point. HR managers and other company officers don’t have time to read very lengthy job application letters, and these types of letters will easily take a one-way trip to the trash bin.

  • Avoid using abbreviations as much as possible.
  • The modes of address vary according to the type of letter and the receiver.
  • Clear and exact descriptions of the articles necessary with the expected quality and quantity should be listed with utmost care when you write a letter to order goods.
  • When replying to a business letter, always quote the date of the letter you are responding to and its reference numbers (if any).

Formal/Business letters include letters from an employer to the employees and vice versa, letters to order and replace goods, letters of serious concern to an officer of higher rank, letters of complaint, etc.

Letters of Application usually consist of letters applying for employment. Before and after you write a letter of application, make sure you check for the following:

  • Always start with a short introduction stating whether the applicant is writing in response to a reference from an advertisement found online or in the newspaper.
  • State the age, education and experience of the applicant.

  • Always start with the sender’s address
  • This is followed by the date .
  • The receiver’s address comes next. The receiver can be the name of the firm or the one who represents the firm.
  • The subject of the letter is very important. It is a statement of the purpose of the letter. It should be written in a single line.
  • The salutation can be Dear Sir/Ma’am. If it is a person you know well, you can address them by their name, ‘Dear Shrinath’.
  • The first paragraph should be aimed at introducing yourself and stating the purpose of your letter.
  • The second paragraph should furnish all the information about the matter.
  • The third paragraph can be a concluding paragraph where you lay out your expectations regarding the matter.
  • To close the letter , you can use a complimentary closing like ‘ Yours faithfully’, ‘Yours sincerely’ etc.

As our appeals to their office have had no effect, we believe that perhaps a mention in the media would be of great help. Since the beginning of the last month, the roads in Cheran Nagar have been almost impassable. The surface is badly broken up by the heavy rains, and on a dark night, it is positively dangerous for vehicles to pass that way. Moreover, there are heaps of road metal on both sides of the road, which leave very little room in the middle. The residents of the area have been inconvenienced in this way for weeks.

The situation is becoming worse. There have been multiple accidents happening due to this condition. I request you to highlight the seriousness of the matter in your newspaper so that the road may be properly repaired without further delay.
