How to Create a Presentation with PowerPoint Online
An online version of PowerPoint was introduced in 2010, a few years after the Google Docs release, which came out as early as 2007. Over the years, the product, along with other Microsoft Office apps, underwent major changes, making it more user-friendly and feature-rich for end users.
Given the rise of inter-device connectivity and cloud support, tools like Microsoft 365, particularly its Word, Excel, and PowerPoint web-based counterparts, have considerably increased their capabilities, matching the performance of desktop versions. In this article, we will talk about PowerPoint Online, also called PowerPoint for Web, and how it can help presenters craft presentations and access them on the go wherever they log in.

PowerPoint for the Web, which was previously called PowerPoint Online, is a web-based version of PowerPoint that enables creating, viewing, editing, and sharing PowerPoint presentations online. Unlike Google Slides, PowerPoint for the Web provides better native support for PowerPoint files. It makes it possible to seamlessly work with PowerPoint files and features through a web-based browser, with OneDrive support to share and store your data. PowerPoint for the web is free to use but has limited features. However, if you are a Microsoft 365 subscriber, you can get better features when using the web-based version of PowerPoint.
PowerPoint for the web provides the same benefits as the desktop version of PowerPoint, with the added advantage of accessing these features anywhere using an Internet browser. Below is a list of advantages of using PowerPoint Online.
Easy Accessibility
You can access PowerPoint features anywhere using an Internet-connected browser without installing the PowerPoint app on your device. Furthermore, you can also upload and access files from your device anytime, anywhere, via the web.
Support for Native PowerPoint Features
Be it online collaboration, cloud storage, or access to version history, you can get native PowerPoint features via a web-based version of PowerPoint without the need to worry about compatibility issues. Furthermore, unlike Google Slides or other web-based variants of PowerPoint, PowerPoint for the web helps access native PowerPoint features without causing compatibility issues such as incorrect display of certain themes or support for various animations available in the offline version.
OneDrive Integration
The integration of PowerPoint for the web with OneDrive allows instantly storing, sharing, and accessing different versions of a file using the cloud storage support of OneDrive.
Easy Sharing
The OneDrive integration enables the online version of PowerPoint to be used for instantly sharing presentations online using a link with a specific access level (view only or editing privileges).
Online Collaboration
While PowerPoint’s offline version also provides collaboration features, using PowerPoint for the web can provide a smoother experience when looking for real-time changes to a PowerPoint file.
Version History
PowerPoint files saved with the web version come with a version history, where you can access older file versions to restore according to need. This feature is also available for the offline version, which you must turn on upload to OneDrive. In other words, version history is only supported for PowerPoint files that are saved online.
Cross-Platform Compatibility
Since you only need a web browser and a Microsoft account to access PowerPoint Online, there are no issues with having a compatible device to use the app. This means you can access PowerPoint Online using any device that can run a modern Internet browser.
Accessibility Features
PowerPoint for the web is among the few platforms that provide accessibility features for persons with disabilities, such as image ALT text and support for screen readers.
PowerPoint for the web is regularly updated, providing access to the latest features for end users.
To get started, go to Office.com or powerpoint.office.com and select the PowerPoint icon to access PowerPoint for the web. You will require a Microsoft account to log in.
Once logged in, you can create a new PowerPoint presentation or upload one from your device. All you need for accessing the web version of PowerPoint is a modern Internet browser and a device that can support it. This web-based version of PowerPoint works with all commonly used browsers and their variants, including Chrome, Mozilla Firefox, Microsoft Edge, Safari, Opera, and others.
From Office.com, you can create new PowerPoint presentations from scratch or via a template, upload new ones, or open an existing one saved to OneDrive.
Create a New Presentation with PowerPoint for the Web
Click Create or use a PowerPoint template from the options to create a new PowerPoint presentation. You can start with a specific theme or use a blank template. You can also browse through themes via Office.com to find one that best suits your needs.
Upload a PowerPoint Presentation
To upload a PowerPoint presentation, click Upload after logging into Office.com and select a file from your device.
Open an Existing PowerPoint Presentation Online
All PowerPoint presentations saved from a device are automatically uploaded to OneDrive and can be accessed via PowerPoint’s online version. As mentioned earlier, you can upload and save presentations and access them anytime.
Adjusting the Ribbon Menu Layout
You can toggle between the classic and single-line ribbon interface to suit your preferences. The Ribbon menu can also be adjusted to stay available or hidden periodically.
Naming Your Presentation
It is best to name your presentation to ensure it is easy to search and open later via OneDrive. Otherwise, a generic name will be assigned to the presentation (e.g., Presentation 1). To name your presentation, click on the generic name at the top and type in the new name.
Formatting and Design
As you start formatting your slides, the Designer feature will provide you with options to create layouts for your slides. You can optionally use this feature to get started with the basic design for your slides or use the Design tab to select design elements.
Like the desktop app, the Design tab in PowerPoint Online provides access to themes, background and slide size adjustment options, and theme variants to help you design your slides.
Adding Content
The Insert tab provides all the necessary options to add new slides, tables, pictures, shapes, icons, SmartArt, text boxes, audio, video, cameo to insert Live camera feed, and other options.
Formatting Pictures
Like the desktop version of PowerPoint, pictures can be added from your device, stock images, or via Bing search. The Picture tab can be used to format added pictures after selecting them. Various options in this tab allow you to crop, add a picture frame, and adjust the picture on the slide.
You can also access Format Options via the right-click menu.
This will open a sidebar providing options to adjust the selected image’s width, height, angle, shadow, reflection, and text margins.
Formatting Videos
PowerPoint for the web allows formatting videos via the Shape tab and Format Options via the right-click menu. The Shape tab can give a frame or shape to the video, adjust the outline, manage how it is displayed on the slide, and adjust the size of the video. Sometimes, the Shape tab might be replaced with the Video tab to show editing options. This change is particularly visible if the user is not logged in and is editing the presentation as a Guest user. The Format Options enable editing the video’s width, height, angle, text margins, shadow, and reflection.
Formatting Audio
Two major options for formatting added audio clips include the Playback tab and Audio Format tab. The Playback tab can adjust the volume, playback trigger, and other related options.
The Audio Format tab includes picture styles for the audio icon, border stylizing, rotation, and other formatting options to adjust how the audio clip appears on the slide.
Annotation Options
The Draw tab gives various tools like pens and highlighters to annotate slides or draw on the screen. Other tools include an eraser, lasso, draw with touch, and stencil.
Transitions and Animations
Like the desktop version of PowerPoint, the Transitions tab for the web version gives transitions to use for your slides. You can adjust the effects of added transitions and duration once you have added a transition for a slide.
The Animations tab can be used to apply standard transitions and adjust effects, triggers, and duration for the animations according to need.
SlideShow, Review, and View
The SlideShow tab is used to start the SlideShow from the beginning of the current slide or to initiate a Live presentation with a QR code and link for viewing the presentation Live. You can also use Rehearse with Coach, use subtitles, and edit subtitle settings. You can also learn more about some of these features from our post about how to present a PowerPoint Online .
If you are searching for the features to check spelling and grammar, comments, changes, and accessibility options, head to the Review tab.
Most PowerPoint users know that the viewing options are available at the bottom of the PowerPoint interface. However, you can also access them from the View tab in PowerPoint. The same features are available for PowerPoint for the web. This includes options like switching between Slide Sorter, Immersive Reader, and Normal View and access to Notes, Zoom, and Fit to Window options.
To share your PowerPoint presentation, click Share from the top left corner of PowerPoint Online. You can create a sharing link according to specific settings, copy the existing link, link to a slide, or view and manage access to the presentation.
Collaborators can be invited via email or link by adjusting whether a user has view-only or editing privileges.
Once the settings have been configured, a link can be generated to copy and share with users. When configuring settings, you can also directly send the link with a message to an end user.
Users collaborating on the slide deck with their names are shown at the top. A generic name is assigned to the collaborator if it’s a guest.
You can see the comments added by collaborators on the presentation by going to Comments.
Next to the Comments button is the Catch-up button that tracks and shows the changes made by real-time collaborators as you work on the presentation.
You can also access sharing options via File -> Share . You can open sharing options or generate an embed code for the presentation from here.
When generating an embed code, you can adjust the width, height, and slide advancement options and generate a code for a website.
To switch between viewing modes, you can change to view only and editing options as you collaborate or open the presentation in the desktop app. These options can be helpful for you to adjust how you wish to work or review the presentation.
To save your presentation, go to File -> SaveAs to save a copy to OneDrive, download a copy of the PowerPoint presentation, rename the file, or download the file in an alternative format such as PDF, ODP, or image.
When saving a copy of the presentation on OneDrive, you can select an existing folder or create a new one to select the file location.
You can consider the tips below to create visually appealing slides with PowerPoint Online.
Focus on Design Consistency
Use a consistent design with a color scheme, fonts, alignment, and graphics tailored to a specific format. Don’t use too many changes that might make the content appear muddled.
Avoid Heavy Multimedia
Since PowerPoint for the Web is an online platform, not everyone might have the required Internet bandwidth or hardware to run heavy presentations smoothly. Using multimedia content in moderation can help avoid such issues.
Uncluttered Slides
Cluttered slides on an online interface will likely cause compatibility issues for some viewers or the slides might not appear properly on some browsers and devices. To avoid this, try to create uncluttered slides. Using minimalist slides might just be the best way to go.
Even the Distribution of Slide Elements
By evenly distributing slide elements with proper alignment, you should be able to create online slides that are easy for the eyes to follow.
Choose Imagery Carefully
When selecting icons, graphical elements, and pictures, try not to use imagery that is too flashy and might cause issues when opened across different browsers and devices. You can use icons from the built-in icons library in PowerPoint and select pictures that don’t visually overpower the viewer.
Get Design Ideas
You can get design ideas using PowerPoint Designer to adjust your design for visual appeal and design consistency.
Productivity Shortcuts
PowerPoint for the web primarily provides most of the features in the desktop app. Below are some tips and tricks for productivity when using the web version of PowerPoint. For some shortcuts listed below, PC users must use CTRL, whereas Mac users will use Command.
- Insert New Slide using CTRL+M hotkey (Command+M for Mac)
- Use F5 to start the slideshow and Esc to end the slideshow
- CTRL+D duplicates the slide (Command+D for Mac)
- CTRL+Shift+D deletes the slide (Command+Shift+D for Mac)
- Use CTRL+S to save slide (Command+S for Mac)
- Use CTRL+W to close the presentation (Command+W for Mac)
- To open printing options, use CTRL+P (Command+P for Mac)
- Zoom in with CTRL+Plus button (Command+Plus button for Mac)
- Zoom out with CTRL+Minus button (Command+Minus button for Mac)
- Insert a table with CTRL+T (Command+T for Mac)
- Insert a hyperlink with CTRL+K (Command+K for Mac)
- Align text with CTRL+L for left, CTRL+E for center, and CTRL+R for right (Replace CTRL with Command for Mac)
Screen Freezes When Working with PowerPoint for the Web
If your screen freezes while you’re working, the web version of PowerPoint is likely encountering an issue when saving the file, showing elements, or inserting content. You can wait a while, and the issue should be resolved. Also, check your Internet connection to see that you are connected. You might want to close additional tabs and review your system usage to see if your hardware is overwhelmed due to resource-intensive apps or multiple browser tabs.
Slide Elements Don’t Appear Properly
If your browser isn’t compatible or uses a browser plugin that blocks slide elements, you might encounter issues viewing slides. Use a compatible browser and turn off any plugins that might interfere with PowerPoint’s online interface.
File Upload or Download Issues
When you are unable to upload or download files, it is likely that your Internet connection is unstable or disconnected. Check your connection to resolve the issue.
Unable to Login
This is likely caused by incorrect credentials or a recent change in credentials, such as a password. If you cannot log in despite no apparent issues, try to clear your browser’s cache or switch to another browser to see if you can log in.
PowerPoint for the web provides most features available for the desktop version and some sharing and collaboration features that require uploading the file online for use. You will notice that some of these features are smoother when used with the online version compared to the desktop version. Furthermore, the online version of PowerPoint provides access regardless of whether you have PowerPoint installed on your device. If you are someone who does not have a Microsoft 365 subscription and needs to access a PowerPoint file, you can log in for free with a Microsoft account with limited features.

With our PPT Editor App, which is absolutely free and doesn’t require registration, you can easily drag and drop the required file on upload form, edit its content right here in the browser, and then download the edited version in order to save it locally. Even more, you’re not forced to download the resultant file in the same format as you’ve uploaded it, — you’re able to choose any appropriate one! For example, you can upload a document in RTF format, edit it, and save as DOCX.

PPT PowerPoint Presentation
A file with PPT extension represents PowerPoint file that consists of a collection of slides for displaying as SlideShow. It specifies the Binary File Format used by Microsoft PowerPoint 97-2003. A PPT file can contain several different types of information such as text, bulleted points, images, multimedia and other embedded OLE objects. Microsoft came up with newer file format for PowerPoint, known as PPTX, from 2007 onwards that is based on Office OpenXML and is different from this binary file format. Read More

Genially in a nutshell
How do I make a presentation interactive and how does Genially work? Find the answers to all of your slide-related questions here!
What’s an interactive presentation?
Interactive slides contain clickable hotspots, links, buttons, and animations that are activated at the touch of a button. Instead of reading or watching passively, your audience can actively interact with the content.
Genially’s interaction presentation software allows you to combine text, photos, video clips, audio and other content in one deck. It’s a great way to condense more information into fewer slides.
If you’re a teacher, you can share multiple materials in one single learning resource. Students can create their own projects using digital media and online maps. For business or training, try embedding spreadsheet data, PDFs, and online content directly in your slides.
An interactive slide deck is more user-friendly than a Microsoft PowerPoint presentation or Google Slides document. That’s because you can break information down into chunks with pop-ups, labels, voiceovers and annotated infographics.
The other benefit of interactive content is increased engagement. It’s easier to keep your audience’s attention when they’re actively participating. Try Genially’s presentation software and free slideshow maker to see how it’s better than other presentation websites. You won’t go back to standard presentation apps!
How do you make a clickable slide?
The best way to make slides clickable is to use Genially’s free interactive presentation program. Design your slide then apply an interaction. In a couple of clicks, you can add popup windows, hyperlinks, close-up images, games, animations, multimedia and other content.
Choose from the library of hotspot buttons and icons to show people what to click on. Go to Presenter View to get a preview and see how your content will appear to your audience.
How do I create presentations that look professional?
You’ve got a deadline looming and you’re staring at the screen with a blank presentation. We’ve all been there! Starting a presentation design from scratch is tricky, especially if you’re short on time.
Genially’s free online presentation maker has over 2000 ready-to-use templates for professional slide presentations, photos slideshows, and more. Each slide design has been created by our team of top graphic designers. No need to worry about fonts, centering images, or designing a matching color scheme. It’s all done for you.
Start by browsing our layouts and themes for education, business and then customize with your own text and images.
How do I share or download my slides?
Because Genially is a cloud based presentation software, you can simply share the link to your slides. Like other online presentation tools, there are no files to download or store on your computer. Everything is saved online.
When you publish your slide deck, it gets its own unique url, just like a website. Share the link with others to let them explore the content in their own time. If you’re presenting live, just click the Present button.
You can also embed your presentation on your website, company wiki, or social media. Genially is compatible with WordPress, Moodle, Google Classroom, and other platforms. If you use an LMS, you can also download your interactive design slides in SCORM format.
For slideshow videos and slideshows with music, share online or download as an MP4 video. Check out our free slideshow templates for ideas.

The Best Guide to Edit PowerPoint Videos and Clips
The Impact of Video in Presentations
Video has emerged as a dynamic and versatile tool in modern presentations. When we consider that our brain processes visuals 60,000 times faster than text, the efficacy of video content becomes evident. Incorporating videos in presentations augments audience engagement, creates variety, and enhances the retention of information.

Embracing the Power of PowerPoint for Video Editing
PowerPoint isn’t just for slides and bullet points—it’s an unexpectedly powerful tool for video editing as well. While it may not replace professional video editing software, learning how to edit PowerPoint videos can offer a range of features that enable users to modify videos for presentations directly within the program. This capability simplifies the process of enhancing your narrative with visual and audio cues, ensuring that your message is both received and remembered by your audience. With PowerPoint, you have the means to resize, trim, add bookmarks, and even set fade durations without ever having to leave your presentation.

Getting Started with Video Editing in PowerPoint
How to insert a video into your powerpoint slide.
Inserting a video into your PowerPoint slide can significantly boost the impact of your presentation. Here’s a step-by-step guide on how to do it:
STEP 1: Open your PowerPoint presentation and select the slide where you want the video to appear.
STEP 2: Click on the “Insert” tab at the top menu to reveal the insertion options.
Always make sure you have the necessary Office updates installed for proper video insertion and playback. If the video does not insert correctly or fails to play, these updates might be a requirement you’re missing.
Initial Steps for Trimming and Sectioning Videos
Before diving into advanced editing, mastering the initial steps of trimming and sectioning your video is crucial. These simple edits can significantly enhance the effectiveness of your presentation by focusing your audience’s attention on the most relevant sections of your video content. Here’s how to get started:
STEP 1: Select and insert the video onto your PowerPoint slide as outlined in the previous section.
STEP 2: To begin trimming your video, select the video on the slide. This enables the “Video Tools” section on the toolbar ribbon, showing you two tabs: “Format” and “Playback.”
STEP 6: You can then drag the green marker to trim the beginning of the clip and the red marker to trim the end of the clip. Use the “Next Frame” and “Previous Frame” buttons to fine-tune your selection to the exact frame.
Once you’re satisfied with your trimmed video length, select “OK” to commit the changes.
By following these initial steps, you ensure that only the most significant parts of the video are presented, keeping your audience focused and engaged. These editing capabilities within PowerPoint can drastically reduce the need for external video editing tools for presentation purposes.
Applying Video Effects:
STEP 1: To add a visual effect, select the video and go to the “Video Format” tab in the “Video Tools” section.
Technical Insights for Smooth Playback
Ensuring optimal video quality in your slides.
To ensure that the videos in your PowerPoint slides are of optimal quality and deliver the best possible experience to your audience, follow these guidelines:
- Choose the Right Resolution : Use videos that match or slightly exceed the resolution of the display you will be presenting on. However, be wary of file size and performance impacts, especially when using resolutions higher than 1080p on less capable hardware.
- Maintain Aspect Ratio : PowerPoint slides typically have a 16:9 aspect ratio for widescreen displays. Ensure that your videos adhere to this ratio to prevent them from stretching or having black bars on the sides.
- Understand Compression : PowerPoint may compress videos upon saving the presentation, which can reduce video quality. To mitigate this, consider optimizing videos outside of PowerPoint first and adjust the compression settings within PowerPoint to ensure the highest possible quality.
- Embed Rather Than Link : Whenever possible, embed the video directly into the slide rather than linking it. This prevents issues with lost files or broken links, especially when transferring the presentation between computers.
- Avoid Overloading with Videos : A presentation cluttered with too many video files can become sluggish and may buffer during playback. Be judicious in your use of video materials, and consider the necessity of each clip.
- Optimize for Performance : Before finalizing your presentation, test the videos on the intended hardware. If you encounter any lags or stuttering, you may need to reduce the video’s quality for smoother playback.
- Utilize PowerPoint’s Video Tools : Use the built-in video editing tools to crop, trim, or compress your videos directly within PowerPoint to ensure they are well-suited for your presentation context.
- Prefer Common Formats : Stick to widely supported video formats such as MP4 with H.264 video and AAC audio codecs to avoid compatibility problems across different devices and PowerPoint versions.
- Ensure Audio Quality : Video isn’t just about the picture; high-quality audio is equally important. Check that the sound is clear, at the right volume, and free from background noise or distortion.
- Check the Playback Settings : Set up your videos to play the way you want—automatically or when clicked. Verify thesesettings under the “Video Tools Playback” tab to avoid any awkward fumbling during the actual presentation.
- Use High-Quality Source Material : Always start with the highest quality video that is practical for your purposes. It’s easier to compress a high-quality source down than to try and improve the quality of an already poor source.
- Prepare for Different Scenarios : Be ready for various presentation environments. If presenting online or through video conferencing tools, understand that you may need to adapt your video quality to bandwidth limitations.
- Test on Different Screens : If possible, test your presentation on screens of different sizes and resolutions to ensure that the video maintains quality across various displays.
By following these steps to ensure optimal video quality in your PowerPoint slides, you’ll be better prepared to deliver a professional and engaging presentation that resonates with your audience.
Troubleshooting Common Issues When Embedding Videos
Extending beyond basic edits.
Planning your Content:
- Define Your Objectives : Understand the purpose behind incorporating video—be it to explain complex topics, demonstrate procedures, or stir emotional responses.
- Storyboard Your Video : Lay out a storyboard that maps the progression of your video content alongside your slides. This ensures coherence and helps maintain viewers’ engagement.
Designing Visually Engaging Slides:
- Use High-Quality Visuals : Incorporate high-definition images or animations that complement your video content and provide a visual break from text-heavy slides.
- Maintain Consistency : Keep a consistent theme, font, and color palette across slides to provide a professional look and reinforce brand identity.
- Clear Typography : Choose fonts and sizes that are easy to read even on smaller screens, ensuring accessibility for all viewers.
Engaging Viewers:
- Tell a Story : Use videos to tell stories or present case studies. This narrative technique can enhance retention and make learning points clearer.
- Use Annotations : PowerPoint allows you to annotate over videos during a presentation, take advantage of this by adding on-the-fly commentary or highlighting critical elements within the video.
- Provide Context : Before playing a video, introduce the segment to your audience. Give them an idea of what to look for and why the video is important to the presentation.
- Reflective Pauses : After the video, allow time for reflection or discussion. You can ask questions related to the video content to further engage the viewers and deepen their understanding.
Exporting and Sharing Presentations:
- Convert to Video : You can turn your entire PowerPoint presentation, including embedded videos, into a video file. This is particularly useful for eLearning, allowing learners to view the material at their own pace.
- Optimize for Online Platforms : If you plan to share your presentation online, remember to optimize it for the specific platform, whether it’s for a webinar, a learning management system, or social media.
By applying these strategies to your visual presentations and eLearning content, you can create an immersive and impactful learning experience that leverages the power of video within PowerPoint.
Exporting Your Presentation as a Video File
Exporting your PowerPoint presentation as a video file is a valuable technique for sharing your work across various platforms. This process allows you to create a stand-alone video version of your presentation, complete with all the incorporated media and recorded timings. Here’s how to do it:
STEP 3: Timing and Narration Settings : In the second drop-down box under “Create a Video”, select whether you want to use recorded timings and narrations or not. If you haven’t recorded any, choose “Don’t Use Recorded Timings and Narrations”, and PowerPoint will default to a set number of seconds on each slide. You can modify this time in the “Seconds to spend on each slide” box.
STEP 6: Select the File Format : In the “Save as type” dropdown, choose either “MPEG-4 Video” or “Windows Media Video”. These formats are broadly compatible across different video players and devices.
STEP 7: Monitor the Export Process : Depending on the complexity of your presentation and the length of your video, the creation process might take some time. You can track progress at the bottom of the PowerPoint window.
STEP 8: Test Your Video : Once the video is created, play it through to make sure everything looks and sounds as it should.
- Exporting long videos can be time-consuming; consider setting the video to be created overnight or at a time when it won’t interrupt your workflow.
- For presentations with a lot of animations or high-resolution media, make sure to have a powerful enough computer to handle the process.
- If the video is intended for online platforms, check if there are specific video specifications recommended by the platform (such as dimensions, file size limits, etc.) and adjust your settings accordingly.
With those steps, you have a video file of your PowerPoint presentation that can be easily shared, uploaded, or played independently of the PowerPoint software, broadening the accessibility of your content.
FAQ: Mastering Video in PowerPoint
What are the key benefits of embedding videos in powerpoint.
Embedding videos directly into PowerPoint slides offers several distinct advantages that can enhance the overall impact and effectiveness of your presentations:
- Seamless Integration : Embedded videos play directly within the PowerPoint interface, providing a smooth and professional experience, without leaving the presentation or relying on external media players.
- Reliability : Since the video file becomes part of the PowerPoint file, you’re not dependent on internet connections for online video streaming, thus avoiding potential buffering or loading issues.
- Ease of Control : You can directly control video playback during your presentation, with options to pause, rewind, or skip to specific sections using PowerPoint’s built-in video tools.
- Consistent Format : Embedding ensures videos appear as intended across different devices and software versions because the videos are part of the PowerPoint file itself.
- Increased Engagement : Videos can capture attention and convey information in a dynamic way, breaking up the monotony of text-heavy slides and engaging viewers on multiple sensory levels.
- Customization Options : PowerPoint allows you to trim videos, add effects, adjust brightness and contrast, or even bookmark specific playback points for easy access.
- Simplified Sharing : When sharing the presentation, there’s no need to worry about separately importing video files, as everything is self-contained within the PowerPoint slide deck.
- Privacy and Security : Embedding keeps videos private, as they don’t need to be hosted on a public platform like YouTube, where they might be visible to unintended audiences.
- Professional Quality : The ability to integrate high-quality video content directly into a presentation can add to the professionalism and perceived value of your work.
These benefits substantiate the practice of embedding videos in PowerPoint as a preferred method for incorporating multimedia content into professional presentations.
Can I Use Videos from Sources Other than YouTube in My Presentation?
Yes, you can use videos from sources other than YouTube in your PowerPoint presentations. While YouTube is a significant and widely used source for video content, other video hosting platforms like Vimeo , Dailymotion , Wistia , and Microsoft Stream provide similar functionalities for video embedding. Here are some points to consider when using videos from these alternatives:
- Vimeo : Known for its high-quality video support, Vimeo is a popular choice for creative professionals. You can embed videos from Vimeo by using the embed code provided by the platform.
- Dailymotion : Offers a variety of content similar to YouTube and provides embedding options that can be utilized in PowerPoint presentations.
- Wistia : Geared more towards business users, Wistia offers robust video hosting and detailed analytics which can be particularly useful for marketing and eLearning purposes.
- Microsoft Stream : If you have a Microsoft 365 business or education subscription, you can embed videos from Microsoft Stream, which is integrated within the Office ecosystem for secure video sharing.
When using videos from these or any other sources, always remember to:
- Check Licensing : Ensure you have the right to use the video content from sources outside of YouTube, especially for commercial or educational use.
- Review Terms of Use : Be aware of the terms of service for each platform, particularly how they allow their content to be used and embedded.
- Test Before Presenting : Embed the video in your presentation well in advance and test to ensure playback compatibility and performance.
- Internet Connection : Keep in mind that for embedded videos from online sources, an active internet connection is typically required for playback unless the platform offers an offline option.
- Quality and Accessibility : Consider the video resolution and accessibility options, such as captions, to make your presentation inclusive for all audience members.
- Backup Plan : Have a backup plan, such as downloading a local copy of the video (when permitted), in case of technical difficulties with streaming during the presentation.
By considering these factors and following platform-specific embedding procedures, you can include a diverse range of video sources in your PowerPoint presentations, enhancing the quality and variety of your content.
How Do I Enhance Audience Engagement Using Video Sections in PowerPoint?
Enhancing audience engagement using video sections in PowerPoint involves strategic placement, purposeful content, and interactive elements that make your presentation stand out. Below are strategies to leverage video sections effectively:
- Strategic Video Placement : Introduce video sections at critical points to provide visual explanation or emphasize a key message. Position videos after a buildup of context to maximize their impact.
- Relevant Content : Select videos that are directly linked to your presentation’s message. Ensure that the content is not only informative but also engaging and of interest to your audience.
- Interactive Segments : Use video sections as a springboard for interaction. Pause for questions, initiate discussions, or follow up with an interactive quiz that reinforces the video content.
- Short and Sweet : Keep video sections concise. Short clips are generally more engaging and are likely to hold the audience’s attention better than lengthy segments.
- Create a Narrative : Use videos to tell a story rather than present stand-alone facts. Stories resonate with audiences, making your presentation more memorable.
- Visually Dynamic : Opt for high-quality videos with clear images and dynamic content. A well-shot and well-edited video can command viewers’ attention in ways that text and static images cannot.
- Bookmarking : Utilize bookmarks in your video sections to jump to specific points for elaboration or discussion. This also makes it easier to manage and navigate longer videos during a presentation.
- Preview and Context : Before showing a video, provide a brief context or introduction to set expectations. After the video, summarize key points and relate them to your message.
- Use Annotations : PowerPoint allows you to draw or highlight on slides during a presentation. You can use this feature to annotate key elements within your video as it plays.
- Seamless Transition : Ensure transitions into and out of video sections are smooth. Use fade-ins and fade-outs where appropriate, and match the transition style to the mood of the video content.
- Polling and Feedback : Encourage audience participation by integrating live polls or feedback sessions immediately following a video section, asking for their thoughts or reactions to the content.
- Accessibility : Include subtitles or captions for your videos, ensuring that those with hearing impairments can also engage with the content fully.
- Reflection Time : Offer a moment for the audience to reflect on the video content. This can be particularly effective after presenting complex information or emotionally charged materials.
- Technical Reliability : Check the technical aspects beforehand to ensure videos play smoothly. Glitches or delays can quickly disengage your audience.
- Consistent Look and Feel : Maintain a consistent design theme throughout your presentation and video sections. This consistency can help keep your audience grounded and focused.
By applying these methods, you’ll be able to create powerful and engaging video sections that enhance audience engagement and contribute to a more impactful PowerPoint presentation.
What Should I Do If a Video Won’t Play During a PowerPoint Presentation?
If you encounter a scenario where a video won’t play during a PowerPoint presentation, you’ll need to quickly troubleshoot the situation. Here are some practical steps to take:
- Check Internet Connection : If the video is an online video, confirm that you have a stable internet connection. Try refreshing the connection or connecting to a different network.
- Verify Video Link : For linked videos, ensure that the link is intact and that the video source is not moved or deleted. Verify that the video is still available at its source.
- Supported Formats : Make sure the video is in a format supported by PowerPoint (such as MP4 with H.264 video codec and AAC audio codec). Convert the video file if necessary.
- Codec Issues : The absence of the correct codec on your computer can prevent video playback. Install the necessary codec or use a media player that provides the required support.
- Slide Show Mode : Ensure you’re in Slide Show mode as some videos may not play in the editing view.
- Compatibility View : If you’re using an older version of PowerPoint, consider upgrading or ensuring the video format is compatible with the version you have.
- Re-embed Video : Try re-embedding or re-inserting the video into the PowerPoint slide. This can sometimes resolve playback issues.
- Check for Updates : Verify if your version of PowerPoint needs any updates, which may contain fixes for video playback issues.
- Test on Different Device : If possible, try running your presentation on a different device to determine if the issue is with the original device’s hardware or software.
- Prepare a Backup : If video playback continues to fail, have a backup plan such as a direct link to the video hosted online, a backup media player ready to play the video outside of PowerPoint, or carry a transcript or summary to deliver the content verbally.
- Use Safe Mode : Open PowerPoint in Safe Mode to disable add-ins that might interfere with video playback.
- Optimize Media Compatibility : Use the ‘Optimize Media Compatibility’ feature found in the Info section of File menu for newer PowerPoint versions, which can help resolve issues with multimedia file formats or codecs.
Alwaysremember to preview and test your slides and embedded videos before the actual presentation to catch and resolve potential issues. By following these troubleshooting steps, you can minimize the disruption caused by video playback problems and maintain the flow of your presentation.

5 Of The Best Apps To Create And Edit Presentations On Android Devices
W hether you're attending school or are part of the corporate world, you're likely no stranger to presentations. They're a staple in both academic and professional settings as they're one of the best ways to share ideas with your class, client, or higher-ups. Normally, you'd rely on your computer to create your presentations, but it isn't exactly convenient for on-the-fly edits. After all, you can't just open your laptop as you're running to class or on an elevator on the way to a board meeting. You'd need something more portable for last-minute tweaks like adding speaker notes or changing the image caption in your slides.
Thankfully, you're not without options as there's a plethora of apps on the Play Store designed to help you whip up or polish presentations right from your Android device. What's even better is that some of these apps don't require you to be online, so you can stay productive anytime, anywhere. We've narrowed down the search and came up with five of the best presentation apps for Android you need to try.

Google Slides
If you're already in the Google ecosystem and using apps like Drive, Meet, and Calendar, Google Slides is one of the top presentation apps for you. One of its main draws is its seamless interconnectivity with other Google products. Create a presentation in the Slides app, and it will pop up in Drive automatically. Punch in your Google Meet meeting ID, and you can show your presentation directly in Slides -– no need to install the Meet app itself. Connect Slides with your Calendar, and you can also start presenting your Slides file for a scheduled meeting in Meet. Another nifty presentation feature of Slides is its live Q&A session that allows you to display questions on the screen as you go.
Editing and creating presentations from scratch is a breeze in Slides, too. There are several Slides templates to get you started, along with a handful of themes and layouts you can switch to depending on your style and content. Slides comes with all the standard formatting options at your disposal, including font styles, sizes, colors, and emphasis (e.g., bold, italics, underline). Just like in other Google products like Docs and Sheets, Slides lets you leave comments and enable offline use for certain files.
Google Slides won't cost you a dime — all you need is a Google account. The downside, however, is that the Android app has limited font styles and doesn't let you add slide transitions. For those extras, you'll need to open your presentation in the web app on a computer.
Microsoft Powerpoint
Microsoft PowerPoint is most people's go-to presentation platform, and for good reason. The mobile app mirrors the look and functionality of its desktop and web counterparts, so you won't have a hard time navigating and using the platform. You'll find nearly all the editing tools you'd expect from the desktop and web apps, including layout adjustments, text formatting, drawing capabilities, themes, transitions, animations, and review and view modes for inserting comments and notes. Even the handy search functionality is featured in the mobile app. PowerPoint also syncs to your OneDrive in real-time (provided you're connected to the internet), making it pretty easy to switch editing between your phone and computer.
Similar to desktop and web apps, the PowerPoint mobile app allows you to present directly on your device in full-screen, complete with extra presentation aids. There's an ink tool for live annotations that you can choose to keep in the file like drawings. The app also offers a button to display a blank screen, a handy tool for Q&A sessions, or when you're using PowerPoint for quizzes and need to temporarily hide questions from students.
Downloading the PowerPoint mobile app is free, but there's a catch: if you're using a free personal account, you can only view presentations you've previously made using the desktop/web app. You can't create a new presentation or edit existing ones without subscribing to a premium plan first.
One of the affordable alternatives for Microsoft Word , WPS Office comes complete with a presentation maker and editor too. What makes it stand out from other presentation apps is its extensive collection of templates, sorted into neat categories like education, business, nature, minimal, work report, album, and medical. You can choose from at least 70 templates for education-related presentations, 40 templates for business presentations, and 30 templates for work reports, most of which are free to edit. Speaking of editing, WPS Office includes most of the standard tools you need. There are text styling features, transitions, animations, and layout options. You can also insert different extra content like a picture, background music, audio, video, shape, table, and chart into your slides.
On the other hand, WPS Office's presentation tools are beyond the basics. You can opt to auto-play your presentation for convenience, selectively hide or show certain slides, and annotate the slides with the ink tool. Another handy presentation feature is the PPT Recorder which allows you to record your presentation in full-screen, complete with audio and ink annotations. There's also a Miracast option right within the app, so you can readily cast the presentation to a bigger screen.
WPS Office is free to download and use, but you do need to sign into an account to create a presentation. If you feel like the free account is too basic, feel free to upgrade to WPS Pro which comes with extra features like document merging, image-to-PDF converter, PDF editor, document recovery, and bigger cloud space.
While you probably know Canva as a free photo editing app for Android, it's actually an excellent platform for creating and editing presentations on mobile as well. However, you'll notice it doesn't quite echo the vibe of Google Slides, PowerPoint, or WPS Office as its interface is a world away from the three (but you really won't need to spend days getting the hang of it, thanks to its intuitive and user-friendly design). Canva's customizable templates are also different from other presentation apps not only because they come in varied styles (e.g., elegant, corporate, pastel), themes (e.g., game, brainstorm, quiz), and colors but also because you can pick from more than one size (16:9, 4:3, or mobile-first).
Another thing that sets Canva apart is its app integrations. There are apps that allow you to create a QR code, use photos from Pixabay or Pexels, turn a photo into an anime-style graphic, and even translate text all within Canva. Beyond the typical photos and videos, Canva also lets you insert other fancy elements like AI-generated images, pre-made graphics, and charts into your presentation without needing to import them from your local storage. And yes, you can also run your presentation straight from the app. All of these neat features, however, are only accessible when you're connected to the internet. You can't use Canva offline.
Canva is free, but there's a Pro tier for those looking for other advanced features like image background remover, file resizer, and access to Pro templates.
Presentation Creator
Presentation Creator is similar to Canva in several ways, especially when it comes to user interface and features. Moving away from the familiar style of traditional presentation apps like PowerPoint or Google Slides, its UI leans more towards the feel of a photo editor. Its features also resemble that of photo editors, much like Canva. You'll find an element tab featuring dozens of graphics and line drawings, a text tab allowing you to add simple text, text within graphics, or AI-generated content, and a video tab letting you insert videos from YouTube, Google Photos, or your gallery. There's also an images tab providing you access not only to stock photos but also pictures from your storage and third-party sources like Facebook, Google Photos, and Google Drive.
Another nifty thing about Presentation Creator is that you can download your slides as JPG, PNG, or PDF, with options to use a transparent background if you prefer. Like other presentation apps, you can also present your slides within Presentation Creator. However, the presentation tools are pretty basic, with only the option to display the slides full screen and show or hide the next slides.
You only need to sign up for an account to use Presentation Creator, but to access more features like more stock images, background remover, AI content writer, and PDF editor, among many others, you need to upgrade to the Pro+.
