If you want to personalize your PowerPoint presentation with a consistent header, you’ll need to manually position a text box or image at the top of the master slide design. PowerPoint does have a built-in “header” tool, but it won’t display in the on-screen version of your presentation—just on printed notes and handouts. Learn how to manually create a header on "Slide Master" to make your on-screen slide presentation look exactly as you'd like it to.

Things You Should Know

  • PowerPoint headers won't display in Presentation Mode, so you'll need to manually create them.
  • You can use an image or text box as a slide header in Slide Master mode.
  • You can use PowerPoint's header options if you plan to print notes or handouts.

Using an Image or Text Box as a Slide Header

Step 1 Click “View,” then “Slide Master.”

  • On a Mac, click “View,” “Master,” then “Slide Master.”

Step 2 Click the first slide in the Slide Master view.

  • All changes made to this slide will effect all other slides in the presentation.

Step 3 Insert a text box.

  • Select one of the alignment options (left, center, or right) from the “Paragraph” area to align your text.
  • To change the color or typeface, highlight what you’ve typed and choose a different option from the text formatting area in the toolbar above.

Step 4 Insert an image or logo.

  • To resize the new image without warping it, drag one of its four corners.
  • To move the whole image, click inside the image and drag it.

Step 5 Insert Word Art.

  • In some versions of PowerPoint for Mac, Word Art is inserted by clicking “Insert,” “Text,” then “Word Art.”
  • To fine-tune the text's appearance, highlight what you’ve typed and use “Text Fill” to change the color, “Text Outline” to change the border, and “Text Effects” to add effects like shadows and beveling.

Step 6 Click “Close Master View” to exit Slide Master mode.

Adding Headers to Handouts and Notes For Printing

Step 1 Click “View”, then either “Notes Master” or “Handouts Master.”

  • Choose “Notes Master” if you’d like to view and print your presentation as a single slide-per-page situated above a lined area intended for note-taking.
  • Choose “Handout Master” if you intend to print the presentation as a series of slides (with no note-taking area) on a single page.

Step 2 Click “Insert,” then “Header & Footer.”

  • Moving the header to another location on the Notes Master will not move it on the Handout Page—you’ll have to switch to the Handout Master on the Views tab if you want to reposition the header that style of printout.
  • Footers can also be moved this way.

Step 7 Click “Close Master View.”

  • If you select “Handouts,” you’ll see options to change the amount of slides per page. The default is 6, but if you want people to be able to read the content on the page, you might want to go with 2 or 3.
  • For the “Notes Page,” each slide will print on its own page with a series of lines below for note-taking.

Using a Footer

Step 1 Click “Insert,” then “Header & Footer.”

  • In PowerPoint 2003 and earlier, click “View,” then “Header & Footer.”
  • If you really needed a uniformly-centered header on the top of the page, try using an image or text box instead.

Step 2 Place a check in the box next to “Date and Time.”

  • This action will not propagate to the other slides in your presentation. You’ll have to move the footer on each individual slide.

A header and footer in PowerPoint are often used to add company branding, trademark, timestamp, author’s name, and slide numbers. Presenters often need to edit PowerPoint templates or Google Slides templates edited using PowerPoint to replace the default header and footer information. There is more than one way to add or edit a PowerPoint header, with some methods that can help embed more comprehensive branding features across your slides, such as SlideMaster.

How to Edit Automatically Added Header in PowerPoint

If you want to edit the header in PPT or make changes to the footer, go to Insert -> Text -> Header and Footer .

How to Edit Manually Added Header in PowerPoint

Sometimes, presentations might contain manually added headers and footers. Presenters add these individually by inserting images (such as a logo) and text boxes.

Similarly, you can add a textbox via Insert -> Text -> Text Box to insert a manual header.

If the information is already added, you can simply edit it by selecting and editing text or adding or removing images.  In such a case, the added header and footer can be edited in Normal mode. However, if you cannot edit it, you might need to switch to Slide Master.

A header in PPT that is applied across one or more slides and isn’t editable in Normal mode will need to be edited via SlideMaster. To access SlideMaster go to View -> SlideMaster .

How to add a header or footer in Microsoft PowerPoint slides

In Microsoft PowerPoint 2007 and newer versions, you can insert a header on notes, pages, and printed handouts. You may also add a header and footer to your slides . These elements stay at the top or bottom of each page or slide and are edited separately from the main slide area.

They may include the date and time the slides were created or published, the slide or page number, and custom text. Headers appear at the top of pages, footers appear at the bottom of slides and pages, and they can be used simultaneously.

These instructions apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, and PowerPoint 2007.

How to add a header or footer

  • In the Ribbon , click the Insert tab.

  • In the Text section, click Header & Footer .

  • In the Header & Footer window, on the Slide tab, check the box for Date and time , Slide number , and Footer to add those elements to the footer of each slide. The Footer option lets you enter custom text to display in the footer.

On slides, you can only add elements to the footer. There is no header for slides. The header is only available for notes pages and printed handouts.

  • To add elements to the header and footer of notes pages and printed handouts of the slides, in the Header & Footer window, click the Notes and Handouts tab.
  • Check the box for Date and time , Page number , Header , and Footer to add those elements. The Header and Footer options allow you to enter custom text to display in the header and footer.

  • To apply the selected header and footer elements to all slides, notes pages, and printed handouts, click Apply to All .
  • To make additional footer and header edits, click the Insert tab in the Ribbon, if not already selected, and click the Header & Footer option to open the Header and Footer window again.

How to remove a header or footer

To remove a header or footer, follow these steps.

  • In the Ribbon , click the Insert tab, and click the Header & Footer option in the Text section.
  • On the Slide tab, uncheck the box for each currently selected element.

Why Use Headers and Footers in PowerPoint

Headers and footers appear at the top and bottom of your slides and are there to display additional information. After you insert a header or a footer, you can always edit and add more data to it. However, be careful not to overload your audience with it.

The most common use of headers and footers in PowerPoint is to help your audience follow the presentation. You can add page and slide numbers which will help you keep track of where you are when presenting the content. Plus, it’ll be easier for you to see if you’re going to finish presenting on time, or if you’re a little behind by following the page numbers. 

You can also use headers and footers to insert some of your personal information, like your brand name or some personal details that you want to be displayed in front of your colleagues. It’ll be helpful for your audience to remember your name and address you by it during the Q&A section or after you finish the presentation. 

To insert headers and footers into your PowerPoint presentation, follow the steps below. 

  • Open your PowerPoint presentation.
  • Select Insert .
  • Select Header and Footer .

  • In the Header and Footer window you’ll see two options: you can add headers and footers to your slides, or you can add them to your notes and handouts. Select the right tab and proceed adding your information to the headers or footers in your presentation.

When you open the Header and Footer window, you’ll see there are different types of headers and footers that you can add to your slideshow.

Under Slide , the first option is the Date and time footer that you can add to your slides. You can either have your Date and time footer update automatically , meaning that every time you open the presentation the date and time will be updated automatically. Alternatively, you can select to have it Fixed , meaning that the original date and time will stay the same, even if you open your presentation a month from now. 

The second option is Slide number . This one’s self-explanatory, you can use it to display a page number either on one of your slides or on all of them. 

The last option is Footer , which gives you more space to add your personal info at the bottom of your slides.

You’ll find similar options under Notes and Handouts . You can choose to add a Date and time header, a Header with your personal info, a Page number , or a Footer . 

You can select whether you want to add headers and footers to all of your slides, or to a selected one. Select Apply to insert your header or footer into the selected slide, or Apply to All if you want to add it to all of your slides at once. 

After you choose the type of a header or a footer that you want to add, you can check the way they’ll appear in your presentation on the right side of the Header and Footer window under Preview .

Then on the left side of the screen select the top slide. If you want to keep track of your PowerPoint presentation slides, you could think about adding page numbers. Here's how.

When you're presenting a PowerPoint presentation, it can be easy to lose track of what slide you're currently on---especially if it's a large one. To help, you can add slide numbers in PowerPoint to know your position.

You could, of course, add slide numbers manually to each of your slides using text boxes. This isn't an option we'd recommend because any changes you make (for instance, by adding new slides) would require you to update your slide numbers manually, too.

Instead, you can add slide numbers that update automatically on all of your slides, including any hidden slides. By default, these slide numbers will appear in your slide footer, but you can move and format your slide numbers by editing the "Slide Master" for your presentation.

To add slide numbers, open a PowerPoint presentation with several slides added and then click the "Insert" tab.

This will bring up the "Header and Footer" options box. To add slide numbers to your PowerPoint slides, click the "Slide Number" checkbox in the "Slides" tab.

Press the "Apply to All" button to add slide numbers to all of your slides.

Once applied, your slide numbers will appear on each of your slides in the bottom-right corner. If you've split your PowerPoint presentation into sections, you'll need to repeat this action for each section.

To  remove slide numbers from a PowerPoint presentation , you can follow similar steps to those shown above.

Press Insert > Header & Footer to bring up the PowerPoint header and footer options. In the "Header and Footer" box, uncheck the "Slide number" checkbox option.

You can remove the page number from only the currently selected slide by clicking "Apply" or to all of your slides by clicking the "Apply to All" button instead.

You can format your slide numbers using the PowerPoint Slide Master  to make them appear in a different font, size, color, or position.

To do this, click View > Slide Master from the ribbon bar.

This will load the Slide Master editing screen. You'll see the current position of your page number as a text box in the bottom-right section of the slide.

You can move the text box to another position to move your slide number across all of your slides.

To edit the text formatting of the slide number, select the text box and then select the "Home" tab on the ribbon bar.

You can then edit the text formatting options using the available options in the "Font" and "Paragraph" sections.

For instance, pressing the "Bold" button will make the slide numbers appear in bold across all slides.

Once you've formatted your slide numbers, return to the "Slide Master" tab on the ribbon bar and then select the "Close Master View" button.

Your slide numbers will update with new formatting across all of your slides, depending on the changes you made.

Adding slide numbers is a good way to know how many slides are left before reaching the end of the presentation. In this new Slidesgo School tutorial, you’ll learn how to enable slide numbering step by step.

  • Open your presentation in PowerPoint.
  • Go to the Insert tab.
  • In the Text group, click Header & Footer. A new window will open.
  • Header & Footer buttonCheck “Slide number” to enable it. You’ll see a little box highlighted in black on the preview.
  • If you don’t want to apply slide numbering or any other header or footer element to the title slide, check “Don’t show on title slide”.
  • Once done, to apply these changes only to the selected slide, click Apply. If you want to apply the changes to all the slides, click Apply to All (the title slide will be skipped if you’ve checked “Don’t show on title slide”).
  • Now you can edit the style of the slide numbers to adapt it to your needs.
  • Some of our templates might require a different procedure in order to add slide numbering. We recommend that you read the last section of this tutorial.
  • Run PowerPoint and open the presentation in which the slide numbers are enabled.
  • If you want to edit the style of the text, you can do so in each individual slide. In fact, you can adjust the size, color, font, position, etc.
  • If you want to adjust these parameters for all the slides at once, you need to do so in the slide master. Go to the View tab and, in the Master Views group, click Slide Master.
  • Select the slide master (the first one, which acts as the parent slide). Then, click the slide number box, which is the one that contains the text “<#>”.
  • Make any adjustments until you’re happy with the results. If you need to modify anything related to the typography, you’ll find the relevant options on the Home tab. To modify anything related to the text box, go to the Shape Format tab. You can also move the text box around to change its position.
  • Once you’re done, go to the Slide Master tab and click Close Master View. The changes will be applied to all the slides.
  • Please note that if you make any adjustment on any slide, it will be overridden by any further modification made on the slide master.
  • Open our template in PowerPoint.
  • Go to the View tab and, in the Master Views group, click Slide Master.
  • Select the slide master (the first one, which acts as the parent slide).
  • Go to the Slide Master tab and, in the Master Layout group, click Master Layout. A new window will open.
  • Check “Slide numbers” and click OK. A text box will appear at the bottom-right corner with the text “<#>”.
  • For this box to appear in all the slides, make sure you check “Footers”, located in the Master Layout group, on the Slide Master tab. This box needs to be checked for all the layout masters (please note that selecting multiple layout masters at the same time and checking this box doesn’t work as intended, since the change will be applied only to the current layout master).
  • Now you can enable slide numbers as explained in the first section of this tutorial.

How to Use Headers and Footers in Word, Excel, and PowerPoint

When you want to include details in your document, spreadsheet, or slideshow, yet not distract from the content or take up space, you can use headers and footers. These spots are ideal for things like page numbers or the date, but can accommodate other details as well. This guide walks you through inserting headers and footers and customizing them in Microsoft Word, Excel, and PowerPoint.

Microsoft Word offers the healthiest number of detail options for your headers and footers. From basics to document properties to text or an image, you can add most anything you need.

You have a couple of options for adding a header or footer in Word. You can choose a preset created by Microsoft or create your own custom header or footer.

Insert a Preset Header or Footer

Using a preset header or footer, you can quickly add page numbers or other details with a simple or attractive design.

  • To add a predesigned header or footer, go to the “Insert” tab. Select either the “Header” or “Footer” drop-down box in the “Header & Footer” section of the ribbon.

  • You’ll see several preset options that include a three-column layout, colorful designs, page borders, and specific details.

  • Once you select an option, it will be applied to the document. Select the placeholder in the header or footer to add the corresponding information.

Insert a Custom Header or Footer

If you prefer to select certain details, enter your own text, or insert an image, you can create a custom header or footer.

  • For a header, double-click the top of the page; for a footer, double-click the bottom. This opens the editing mode for the respective areas, along with the “Header & Footer” tab.

  • If you want to add your own text, you can simply enter it in the header or footer.

  • Header and Footer : choose a preset option as described above.
  • Page Number : open this drop-down box, and choose the placement of the page numbers, via “Top of the Page” or “Bottom of the Page.”
  • Date & Time : click this button, then choose the date and time format in the window that appears.
  • Document Info : choose one of the options, like “Author” or “File Name,” move to “Document Property” to select a different detail, like “Company” or “Publish Date,” or use “Field” to select a custom property, like “Hyperlink” or “Section.”
  • Quick Parts : open this drop-down box to insert AutoText you’ve set up, or access the “Document Property” and “Field” options.
  • Picture : click this button to insert an image from your computer.
  • Online Pictures : click this button to search for and select an image from Bing via the Web.

  • When you finish adding your items, click “Close Header and Footer” to continue work on your document.

Along with the details you place in the header or footer, you can choose where the header or footer displays and adjust the distance from the top or bottom.

  • On the “Header & Footer” tab, use the “Options” section of the ribbon to choose which pages should or should not have the header or footer. You can check the boxes for displaying something different on the first page or on odd and even pages.

  • Use the “Position” section of the ribbon to adjust the distance. Enter the measurement you want to use next to “Header from Top” or “Footer from Bottom,” or use the arrows to increase or decrease the measurement in small increments.

  • If you want to set the alignment, select “Insert Alignment Tab,” enter the details for the header or footer tab, then click “OK.”

Once you add details to the header or footer in Word, you may want to make some changes, such as adding more items or removing details.

  • Double-click the top of the page for the header, or bottom for the footer. Alternatively, go to the “Insert” tab, open the “Header” or “Footer” drop-down menu, and choose “Edit Header” or “Edit Footer.”

  • Make your edits, and click “Close Header and Footer” when you finish.

If you decide later that you no longer want the header or footer, you can remove it easily.

Select the “Header” or “Footer” drop-down menu on either the “Insert” tab or “Header & Footer” tab, then choose “Remove Header” or “Remove Footer.”

Note: be sure to clean up the data in your Excel spreadsheet before you start your analysis.

The header and footer sections work a bit differently in Excel than they do in Word. One important difference is that you can’t see these sections as you work in your spreadsheet; however, they are visible in the print preview and when you print your sheet.

Additionally, you have more limited options as far as the details you can add.

You have two ways to enter the header and footer editing mode in Excel. Once there, you can use the options on the “Header & Footer” tab to add the details.

  • Either go to the “View” tab and choose “Page Layout” in the “Workbook View” section of the ribbon, or go to the “Insert” tab and choose “Header & Footer” in the “Text” section.

  • Click “Add Header” to insert a header, or select “Go to Footer” in the “Navigation” section of the ribbon to insert a footer.

  • If you want to add your own text, just enter it in the header or footer.

  • Header and Footer : choose a preset detail from one of these drop-down boxes, such as title with page number.
  • Page Number and Number of Pages : click either or both of these buttons to add page numbers and/or the total number of pages.
  • Current Date and Current Time : use these buttons to insert the current date and/or time.
  • File Path, File Name, and Sheet Name : click one or more of these buttons to include the path or name.
  • Picture : use this button to insert a picture. If you add an image, you’ll see the “Format Picture” button available to format the image.

  • When you finish, click anywhere outside of the header or footer, go to the “View” tab, and choose “Normal.”

It’s also possible to use a header or footer on certain pages, scale these areas with the “Shrink to Fit” feature, or align the details with the margins.

Go to the “Options” section of the ribbon in the “Header & Footer” tab, and check the boxes for those options you want.

If you want to make changes to a header or footer in Excel or remove one, you can do so easily.

  • Open the header or footer section for editing as you did to add it, using the “Page Layout” view or “Insert” tab.
  • To edit the header or footer, simply make your changes.

  • To remove a header or footer, remove all of the content from that area.

  • When you finish editing or removing a header or footer, click away from the area, and select “Normal” on the “View” tab.

If you want to add your header or footer to PowerPoint, the options are different.

First, you can add a footer to your slides as well as your Notes and Handout pages. However, there is currently no header feature for slides, only for the Notes and Handout pages. To add a header to your slideshow, either add a text box to the top of each slide or in the Slide Master.

Let’s walk through adding both a header and footer in PowerPoint.

If you only want the header on specific slides, simply add a text box to the header section while in “Normal” view. But if you want the same header on every slide in your presentation, it’s best to add the text box to the “Slide Master,” as this will apply it to all slides.

  • To use Normal view, go to the “View” tab, and select “Normal” in the “Presentation Views” section of the ribbon. To edit the Slide Master, select “Slide Master” on that tab.

  • If you are editing the Slide Master, select the first slide thumbnail on the left side.

  • To add the text box in either view, go to the “Insert” tab and select “Text Box” in the “Text” section of the ribbon. If you prefer to use a picture, choose an option in the “Images” section.

  • Draw the text box in the header area in the approximate size you want; you can always resize it later if needed. Enter the text you want to use for the header, and drag the text box into position.

  • If you’re using Normal view, follow this same process to add the text box to the rest of your slides, or copy and paste the text box. If you’re using the Slide Master, click “Close Master View” in the ribbon, or return to the “View” tab, and choose “Normal.”

To edit or remove a header in PowerPoint, select the text box in either Normal view or Slide Master, and make your changes. To remove the header, delete the text box.

Adding a footer in PowerPoint is much simpler, as there is a built-in feature to do so.

  • Go to the “Insert” tab, and select “Header & Footer” in the “Text” section of the ribbon.

  • When the Header and Footer window opens, select the “Slide” tab. To work with both footers and headers on the Notes and Handouts pages, choose that tab instead.

  • Check the box(es) for the items you want in the footer. You can include the date and time, add the slide number, and enter custom text for the footer. To show the footer on all slides except the title slide, check the appropriate box at the bottom.

  • When you finish, select “Apply” to add the footer to only the current slide, or “Apply to All” to add it to every slide.

You can change or remove a footer in PowerPoint using the same window for the initial setup.

  • On the “Insert” tab, select “Header & Footer” in the Text section of the ribbon. Go to the “Slide” tab.
  • To edit the footer, simply make your changes. To remove the footer, uncheck all of the boxes.
  • Select “Apply” or “Apply to All.”

Why is my header not showing on all pages in Word?

If you see your header in Word, but only on certain pages, it’s likely you have the option marked to only show it on even or odd pages.

Double-click inside the header section, and select the “Header & Footer” tab. Go to the “Options” section of the ribbon, and uncheck the box for “Different Odd & Even Pages.” The header should appear on all pages in your document.

How can I preview my header and footer in Excel?

Because you only see the header and footer in Page Layout view, you won’t see it as you work on your spreadsheet. To see how the header and footer looks on a printed piece, open the print preview.

Go to “File -> Print” to see the header and footer in the preview on the right (Windows) or left (Mac).

Why can’t I see my footer in PowerPoint?

If you’ve added a footer using the instructions here but don’t see it on your slide, the issue is likely with the Slide Master.

Go to “View -> Slide Master.” Make sure you’re on the “Slide Master” tab, and check the box for “Footers” in the Master Layout section of the ribbon. When you return to your slideshow, you should see the footer.

Unlike slides which are primarily presented through a display device such as a monitor, TV screen, webinar, or a projector, Notes and Handout pages in PowerPoint are essentially intended for printing. Alternatively, they are shared as eco-friendly PDFs. These printed pages or PDFs often accompany a delivered presentation, or in some cases, they comprise the presentation. In this tutorial, we will explore how you can add Headers and Footers to make your Notes and Handout pages more professional-looking, relevant, and useful.

The terms Header and Footer typically come from word processing programs. They denote repeated elements that show at the top and bottom of every page. Headers and Footers work similarly on PowerPoint Notes and Handout pages. Explore Figure 1 , below, where all Header and Footer elements that you can place in Notes (left side) and Handouts (right side) are shown.

Typically, the term Header and Footer denotes four placeholders:

In this tutorial, you'll learn how to make these Header and Footer elements visible on your slides in PowerPoint 2016 for Windows :

  • Open the presentation where you want to add any Header or Footer elements. Choose the Insert tab of the Ribbon , as shown highlighted in red within Figure 2 , below.

  • Within the Insert tab, click the Header & Footer button, as shown highlighted in red within Figure 3 , below.

Alternate Options

  • You can also click the Date & Time or Slide Number buttons, to summon the same Header and Footer dialog box.
  • Doing so brings up the Header and Footer dialog box, as shown in Figure 4 , below. Make sure you select the Notes and Handouts tab, as shown highlighted in red within Figure 4 .

  • Note that the options you select or deselect within this tab will affect the Notes and Handout pages you see onscreen or print. All these options are explained below, as marked in Figure 4 , above:

A. Date and time

  • Select this check-box to make the date appear on your Handout and Notes pages. Then, choose whether you want the Date and time to Update Automatically , or set them to Fixed , to achieve any of the results explained below:

  • Select this radio button and then open the drop-down list, as shown in Figure 5 , below, to choose a date (or date and time) format. You can even choose the Language and Calendar type. Changing these options may show different options within the drop-down list, as shown in Figure 5 .

  • The Language and Calendar type options may be greyed out if you don't have more than one proofing language installed for PowerPoint 2016 (and Office 2016). Once you have additional languages installed , both these options will be available, as shown below in Figure 6 , below.

  • Select this radio button and enter a date in the box, as shown highlighted in red within Figure 7 , below. By default, this uses the current date. Also, the date remains the same no matter when or where you edit or deliver your presentation.

  • If you choose the Fixed option, you can actually add anything else, even if it is not a date! Type whatever you want to appear within the Date placeholder.

B. Page number

  • Select this check-box to enable the page number to be visible on your Notes and Handout pages.
  • Select this check-box to make Header visible on the Notes and Handout page in your presentation. Additionally, when this check-box is selected, the box below gets activated, as shown in Figure 8 , below. Where you can enter the content of the header. Typically, users like to type in stuff like Company's name, etc. in this area.

  • This check-box when selected, makes the Footer visible on Notes and Handout pages in your presentation. Additionally, when this check-box is selected, the box below gets activated, as shown in Figure 9 , below. Where you can enter the content of the footer. Typically, users like to type in stuff like Confidential, Draft, etc. in this area, or even copyright notices.

  • Now, click the Apply to All button to apply the Header or Footer to Notes and Handout pages in your presentation.
  • Save your presentation often.

Adding slide numbers in PowerPoint should be an easy and straightforward task, but it is not. The way that PowerPoint manages your slide numbers is confusing.

While confusing and frustrating, the last thing you want to do – and I have done this before myself – is manually add the page numbers to the slides yourself.

Manually adding slide numbers is a classic 101 timewaster that you will instantly regret for two reasons.

The first reason is, manually doing anything in PowerPoint that PowerPoint can automatically do for you (even if it requires a little research), is never an effective use of your time. If you want to have a life outside of the office slaving away in PowerPoint, you will want to push as many of these types of tasks as possible back on to PowerPoint.

The second reason is, after you manually add your slide numbers in PowerPoint, you will have to manually update them again as you add or remove slides from your presentation. If you thought it was tedious to manually add the slide numbers in the first place, believe me when I say that it is ten times as tedious to have to manually update them again, and triple-check that all your slides are numbered correctly.

Adding slide numbers in PowerPoint is one of those things that should be simple and easy (like it is in Microsoft Word) …but it’s not.

And just so we are on the same page, in this article you can use the term slide number and page number interchangeably. They are the same thing in this case.

While a lot of people can “properly” add them to the PowerPoint  Slide Master , they still can’t get them to properly show up in the  Normal View . And if you work in the professional services industry, this is something you’ll want to get right! The last thing you want to do is torpedo the overall quality of your presentation simply because you can’t get your slides properly numbered.

When you are adding slide numbers to PowerPoint, or troubleshooting your slide numbers, the first place to check is your Slide Master.

That is because the Slide Number field is driven and controlled by your Slide Master.

Continue reading to see how this is done. If your Slide Numbers are already set up properly on your Slide Master, you move to the next section.

1. Navigate to your Slide Master

In all versions of Microsoft PowerPoint, the slide numbers (or page numbers) for your presentation are driven from the Slide Master View. As such, this is one of the best places to check first if you are having trouble adding slide numbers in PowerPoint, or if your slide numbers are not properly displaying.

To navigate to the Slide Master view in PowerPoint, click the View tab and then select the Slide Master button.

  • Navigate to the View tab in your Ribbon
  • Select the Slide Master command

If you frequently need to use your Slide Master, you can use the Shift + Normal icon shortcut to jump to the slide master.

2. Navigate to your Parent Slide (the big slide)

In the Slide Master view, navigate to the Parent slide on the top left. This will be the first and largest the slide listed on the left side of your screen.

3. Open the Master Layout dialog box to find the Slide Number field

On the Slide Master tab, select the Master Layout command

To open the Master Layout dialog box in PowerPoint, simply:

  • Navigate to the Slide Master tab in your Ribbon
  • Click Master Layout to open the dialog box

The Master Layout dialog box is where you set the Title, Text, Date, Slide number, and Footer for your PowerPoint presentation. To expand your knowledge and learn how to create a template in PowerPoint, read our guide here .

NOTE: PowerPoint is a contextual program, in that it only displays tabs for the views you are in, or the objects you have selected. If you do not see the Slide Master tab in the ribbon, that means that you have not properly navigated to your Slide Master yet. See step #1 above.

4. Select the Slide Number field

In the Master Layout dialog box, make sure you have a check mark next to Slide number . Selecting this option adds the slide number object to the Parent Slide, that you can then use to automatically add and update all the slides numbers in your presentation (instead of manually adding them yourself).

You can additionally add the Title, Text, Date and/or Footer objects if you don’t already have them on your Parent Slide. These are the fields you will want to set up and properly format if you are building a PowerPoint template for your team or company.

After you select which elements you want to appear on your slides, click OK .

5. Place and format your Slide Number

With the slide number added to your Master Slide , you can now format and/or place it wherever you want. In this case, I’ve placed mine in the upper right-hand corner of my slide.

Where you place it on your Parent Slide determines where the numbers show up (by default) on all of your Child Slides. In the below picture, you can see I placed my slide number in the upper right hand corner of my slide.

NOTE: By default, your slide numbers populate to all the  Child Slides (the little slides in the Slide Master view) in your presentation. If they do not, you will need to cycle through the Child Slide layouts and delete the old page numbers individually, and then click the Footers icon in the Ribbon to add them back (another area where slide numbers in PowerPoint can be a pain).

6. Close out of the Slide Master view

To return to the Normal View, on the Slide Master tab, click the close master view command on the far right of the Ribbon.

Before you exit out of the Slide Master view, I recommend double-checking that your slide numbers are properly set up both on the Parent Slide, and all the individual Child Slides. If you accidentally missed one, now is the time to catch it.

Once you are sure the slide numbers are all where they are supposed to be, you can click out of the Slide Master View:

  • Click the Slide Master tab
  • Select Close Master View

Applying your slide numbers in the Normal View

Once you’ve set up and formatted the Slide Number field in the Slide Master view, you are ready to move on and add them to your presentation.

As an analyst or associate who is in charge of the deck, it is important to keep in mind that just because the Slide Number field is properly set up in the Slide Master, DOES NOT mean they will automatically show up in your presentation.

Continue reading to see the next steps to make sure your slide numbers properly display in PowerPoint.

1. Open the Slide Number dialog box

From the Insert tab, select the slide number command to open the header and footer dialog box

Now that you have setup (or double-checked) that your slide numbers are set up properly in the Slide Master view, now we can add them here in the Normal View of PowerPoint (woo-hoo). Let’s start by opening the Header and Footer dialog box as follows: 

  • Navigate to the Insert tab
  • Select the Slide Number command

You can alternatively use the Alt + Shift + D keyboard shortcut to open the Header and Footer dialog box. If you want to learn additional PowerPoint shortcuts like this that will save you time, read my shortcut guide here .

Regardless of how you get to the Header and Footer dialog box, this is the best and proper place to add, remove, and/or manage your presentations:

  • Date and time
  • Slide numbers

The goal again is to get PowerPoint to do the heavy lifting for you here. Even if this dialog box is new and a little confusing to you, it is worth getting this right as it will save you a ton of time in the future.

2. Apply your Slide Numbers

In the Header and Footer dialog box, select Slide Number and then click apply or apply to all to add them to your slides.

NOTE: The option to “Don’t show on title slide” can easily catch you off guard. That’s because the title slide in PowerPoint is NOT what you probably think it is. For more information, on what the title slide actually is in PowerPoint, read my guide here .

Within the Header and Footer dialog box, make sure there is a checkmark next to the Slide number .

With it selected, you get a preview of where your slide numbers will appear in the upper right-hand corner of the dialog box. After that, select either:

  • Apply , applies your slide number to the individual slide you are working on.
  • Apply to All , applies slide numbers to all of the slides within your presentation (assuming that each of the Child Slide layouts has your slid number on it).

Assuming you want to add slide numbers to all your slides in PowerPoint, click Apply to All . Clicking Apply to All, PowerPoint automatically adds the slide numbers to all your slides, based on the formatting and positioning you set up on the slide master.

As you can see in the picture below, the slide numbers now display (just as I set them up on the Slide Master).

Troubleshooting slide numbers that won't show up

Final thoughts

You did the right thing by looking up how to add slide numbers in PowerPoint. The worst possible thing you can do is get so fed up with the PowerPoint page numbering system, that you manually add them yourself.

Another good point to remember is that you can use the Header and Footer dialog box to quickly remove all the slide numbers from your presentation. Simply unselect the Slide number option and click Apply to All and PowerPoint will automatically remove them all from your presentation.

While we all wish that adding page numbers in PowerPoint was as easy as it is in Word, that’s why you are paid the big PowerPoint bucks.

Thanks for your guidance but it doesn’t completely work. I have one Master and two layouts. It will only add the page number to one of the layouts. No matter how many times I try to insert the slide number and apply to all, when ever I add a new slide, it only puts the slide number on one layout but not the other! Very frustrating because I followed all of your steps perfectly.

Align slide headers with the overall message

Your slide headers should not exist in isolation; they should support the content and purpose of the slide, as well as the overall theme or goal of your presentation.

Ensure that the language and tone of your slide header are consistent with the rest of your slides, creating a cohesive and seamless flow throughout your presentation. Your slide headers should act as cues that guide your audience through the main points you want to convey.

When your slide headers are aligned with your overall message, they create a unified and impactful presentation that resonates with your audience .

Test slide headers with the “3-Second Rule”

The “3-Second Rule” is a simple yet effective way to test the effectiveness of your slide headers. It helps ensure that your slide headers are concise, impactful, and immediately resonate with your audience.

Within three seconds of looking at your slide, your audience should be able to grasp the main message of your slide header. If it takes longer than that, it may be too complex or not clear enough.

How to Edit Footer in PowerPoint? [An EASY Solution!]

I know the feeling! You try clicking, double-clicking, and everything else that you know, and you still can’t select the elements in the footer! It is really annoying, to say the least. Does that mean, you can’t edit the footer in PowerPoint? Well, you can!

To edit the footer in PowerPoint, click on the “View” tab. Then, select the “Slide Master” view. Select the “Master Slide” or the first slide. From this slide, you can add, edit or remove the footer in PowerPoint. Changes to the master slide will apply to all slides.

Some elements in the footer of a presentation are easier to edit than others. This is based on how they are placed when designing the presentation. If they are present directly on the slide, you may find it easier to edit. However, if the objects are placed using the “Slide Master”, this article will help you fix the problem!

My goal with this article is to help you understand everything you need to know about editing or adding a footer in PowerPoint.

So, let’s get started!

1. How to Change Footer Text in PowerPoint? 

As mentioned earlier, if you are unable to select the footer elements directly on the slide, you will have to go to the “ Slide Master ” view and change the footer in the “ Master Slide. ”

Don’t worry, I’ve described the complete process in a step-by-step manner below.

Step-1: Select the “Slide Master View” option

The first step of the process is to go to the “ View ” tab from the ribbon the select the “ Slide Master View ” option, which is located inside the “ Master Views ” section.

This will take you to the “ Slide Master ” view.

Step-2: Select the “Footer” in the “Master Slide”

After you have opened the “ Slide Master ” view, you will notice that the slides in the “ Slide Navigation ” bar have changed.

Here, you can edit almost all parts of the layout of the slides in your presentation. The first slide in this view, the slide that is a little bit to the left from all the other slides is the “ Master Slide ”.

In this step, you have to select the footer which will enable you to edit the text inside the “ Text Box ” of the footer.

Step-3: Edit the text

In this step, after you select the “ Text Box ” of the footer, all you have to do is to edit the text of the footer and then select anywhere outside the “ Text Box ”.

After that, click on the “ Close Master Views ” option to close the “ Slide Master ” view and you will notice that the edit in the footer has been updated to all slides.

2. How to Remove Footer from All Slides in PowerPoint? 

To remove Footers from all the slides in your PowerPoint presentation, you have to delete the footer in the “ Master Slide ” in the “ Slide Master ” view of your presentation.

Go to the “ Slide Master ” view and follow the process described in the 3 steps below.

Step-1: Open the “Slide Master” View

The first step is to open the Slide Master view in PowerPoint as we did in the previous section.

Step-2: Select the Footer in the “Master Slide”

After accessing the “ Slide Master ” view, the first thing that you have to do is to go to the “ Master Slide ” and select the “ Text Box ” of the footer.

To do that, you have to “ Left click ” once on the “ Text Box ” and the border of the text box will appear indicating that it has been selected.

Step-2: Press the “Back Space” or “Delete” keys

While keeping the “ Text Box ” of the footer in the “ Master Slide ” selected, hit the “ Back Space ” on the keyboard of your computer and the footer will be removed instantly.

Since edits on the “ Master Slides ” apply to all the slides that are following the layout, the footers from all the slides will be removed by removing them from the “ Master Slide ”.

3. How to Add Footer to All Slides in PowerPoint? 

Open the “ Slide Master ” view (as described in the previous sections) and follow the steps given below to add a footer to all slides in PowerPoint.

Step-1: Go to the “Header & Footers” option

After opening the “ Slide Master ” view, the first step is to click on the “ Header & Footer ” option which is located in the “ Text ” section of the “ Insert ” tab. This will open a pop-up window.

Step-2: Check the Footer box and type in the text

From the pop-up window, click on the box next to the “ Footer ” option and then type in the text that you want to add in all the slides as a footer inside the rectangular box below.

After that, click on the “ Apply to All ” button and the footer will be added to all the slides in your PowerPoint presentation.

4. How to Add Logo to a Footer in PowerPoint? 

To add a logo in the footer of your PowerPoint presentation, you have to insert an image in the “ Master Slide ” of your presentation.

Go to the “ Master Slide ” using the steps described earlier and follow the instructions given below.

Step-1: Open the Slide Master View

As usual, in order to make changes to the complete presentation, you will need to open the “Slide Master”.

Step-2: Insert the Logo to the Master Slide

Once you are in the “Master View”, the first step to adding an image/logo in the footer of your PowerPoint presentation is to upload the logo to your presentation. Go to the “ Insert ” tab and click on the “ Pictures ” option, which is located in the “ Images ” section.

This will open a drop-down menu. From the drop-down menu, click on “This Device.”

Step-3: Select the logo file

After you click on “ This Device ”, a new window will pop up on your screen. From that window, go to the folder on your computer which contains the logo you want to add and click on it. Then hit the “ Open ” button at the bottom right corner of the pop-up window to add it to your PowerPoint presentation.

Step-4: Format the logo and place it in the area of the footer

After adding the image to the slide, simply resize it and place it in your preferred area as a footer. This will add the logo to all the slides that are using the layout of the “ Master Slide ” in your PowerPoint presentation.

5. Can You Add Multiple Footer in a PowerPoint Presentation? 

Unfortunately, you can’t add multiple footers in your PowerPoint presentation directly. However, there is a workaround to this problem. The “ Master Slide ” in the “ Slide Master ” view is a master key to all the slides with the layout of the “ Master Slide ”.

You can use two different custom layouts to create a two-footer option. Then, when designing your presentation, simply choose the type of custom layout for the slide depending on the type of footer required.

Let me show you step by step how this can be achieved.

Step 1 – Go to the Slide Master View

As always, the first step is to go to the slide master view. By now, you should know exactly how this can be done. If you are not sure, simply scroll up and read through the first section of this article.

Step 2 – Add a Custom Layout

To add a custom layout, simply click on the “ Insert Layout ” option in the ribbon. This will add a new custom slide layout after the select layout slide.

Step 3 – Delete All Placeholders

The next thing that you want to do is to delete all the placeholders so that you are left with a blank slide.

To delete, simply click anywhere on the slide (outside the boxes), and press “Ctrl+A”. This is a shortcut to select all. Then, press the “Delete” or “Backspace” key on your keyboard.

You will now be left with a blank custom layout slide.

Step 4 – Duplicate the Blank Custom Layout Slide

Next, create a copy of this blank custom layout slide that we just created. You can do this by simply using copy and paste in PowerPoint .

Alternatively, you can also right-click on the slide, and from the options, choose “ Duplicate Layout “.

Step 5 – Create Multiple Custom Footers

Now, create the two different footers on both the custom layout slides respectively. Do so just as you would on a normal slide.

For the sake of this example, I’ve added the logo of my brand – artofpresentation.

Step 6 – Rename the Custom Layouts

Now, rename the custom layouts so that you are able to easily identify the two layouts with two different footers and exit the slide master view.

Step 7 – Selecting the Layouts

The final step of the process is in the front end.

When inserting the slide with the custom layout option, simply click on the “Home” tab . Then, click on “Layout”. From the dropdown, choose the layout with the custom footer that you want to apply.

As you can see in the image above, two different footer styles have been applied to two different slides using custom slide layouts in the slide master view.

One thing to remember is that make sure that you delete any pre-existing footer from the “Master Slide” in the slide master view.

You can also add the footer directly to a specific slide in “Normal View” . To do that, create a custom blank layout by deleting the elements as mentioned in the steps above.

Then, in “Normal View”, insert the blank custom layout, and add the elements directly to the footer of a specific slide instead of using the “Slide Master View”.

6. How to Lock Footer in PowerPoint? 

There is no direct way to lock the footer of your presentation in Microsoft PowerPoint so that other people with the PowerPoint file cannot edit it.

However, there are third-party software that can help you to do this. I would like to recommend “ OfficeOne: Shape Locker. ” It is a software that allows you to lock not only the footer in your PowerPoint presentation but also headers, shapes, objects, images, and more.

To use this software, all you have to do is download it from their website using this link and it will be automatically integrated into your PowerPoint. You will find it in the “Design” tab of your PowerPoint presentation. 

7. PowerPoint Footer Not Showing? Here’s What to Do!

Some users have complained that they can’t add a footer or the footer that they have added to their PowerPoint presentation is not showing on the slides. This may happen because there is no placeholder for a footer in the “ Master Slide ” of your PowerPoint presentation.

To add a placeholder in the “ Master Slide ” of your presentation, follow the simple steps given below.

Step-1: Select the “Master Layout” option

The first step is to “ Right Click ” on the “ Master Slide ” and select the “ Master Layout ” option which is the second to last option in the drop-down menu.

Step-2: Ensure that the “Footer” is enabled

In this last step, all you have to do is to click on the box right before the “ Footer ” option and then hit the “ OK ” button at the bottom right corner of the pop-up window.

After that a placeholder for the footer will be added to your “ Master Slide ” and you will be able to see the footer in your PowerPoint presentation.

Customize page numbers and their formats in different Word document sections

To use different page numbers or formats in different sections, create Page breaks and set page number for each.

The following shows an intro with lower case Roman numerals. You can use any other format instead.

Select between the intro and the body of the document and go to Layout > Breaks > Next Page .

Tip:  To see section breaks and other formatting marks, go to Home and select Show/Hide (¶) to turn on the display of formatting marks.

In the header for the body section, deselect Link to Previous . If Link to Previous is dimmed, check to make sure a section break was created.

In the intro section select Page Number and choose a location and style. If your change only affects the first page of your section, make sure Different First Page is not selected.

To choose a format or to control the starting number, select Page Number > Format Page Numbers .

Do either or both of the following:

Select Number format to select the format for the numbering, such as a, b, c or i, ii, iii for the intro.

Under Page numbering , choose Start at and type a number that you want to start the section with. For example, restart numbering at the beginning of the body section.

Select Close Header and Footer , or double-click anywhere outside the header or footer area to exit.

Note:  Headers and footers are linked separately, so if your page number is in the header, turn off linking for headers. If your page number is in the footer, turn off linking for footers.

Go to Header & Footer > Page Number , and then click Page Number .

Choose the position and alignment of page numbers. If you don't want a page number to appear on the first page, clear Show number on first page .

To choose a format or to control the starting number, go to Header & Footer > Page Number > Format Page Numbers .

To change the numbering style, select a different style in Number format .

To change the starting page number of the newly created section, select Start at , and then enter a number.

Select OK .

Select Close Header and Footer , or double-click outside of the header or footer to exit.
